4 Introduction The completion of a thesis/dissertation can seem to be a cumbersome and detailed process. To assist you in successfully completing your degree requirements, the Graduate School has prepared the Thesis & Dissertation Format Guide (Guide). This guide details the thesis/dissertation requirements covering the preparation and its submission. The University of the Pacific requires a dissertation for Ph.D. and Ed.D. degrees and a thesis for most master s degrees. Although your thesis or dissertation advisor supervises the preparation and final drafts of your document to assure the highest level of quality, the responsibility for writing and editing rests on you, the student. It is also your responsibility to meet all applicable deadlines for all thesis/dissertation and degree approval processes. The deadlines are published each semester in the University s Academic Calendar and available on the Graduate School website. As a permanent record of scholarly research, all theses and dissertations completed at Pacific are made available to the public through the University Library and are published online by ProQuest. Finally, the Graduate School staff wish to congratulate you on reaching this final milestone in your graduate degree. Writing Center Responsibilities Responsible for certifying that all theses and dissertations have been prepared in accordance with the regulations in this guide. The Writing Center will only review the document for formatting compliance, as such we will not check for grammatical errors, proper citations, or typos. Maintain a 5-business day turnaround for edits of theses/dissertations. Student Responsibilities Carefully review and proofread the thesis or dissertation before final approval. Submit all required forms and manuscript by deadlines stated in the Graduate School calendar. These deadlines will not be extended. As a student, you are responsible for the content in the document. Graduate School Responsibilities The Graduate School certifies that all forms related to Theses and Dissertations are processed with the Registrar s Office. A Graduate School representative will communicate with the student regarding ProQuest uploading instructions upon receipt of the Graduate Program Defense & Completion Form
5 Thesis/Dissertation Checklist Once committee members have been finalized submit the completed Thesis/Dissertation Committee Appointment Form to the Graduate School. Become familiar with the formatting requirements by reading the Thesis/Dissertation Formatting Guide carefully. Apply for graduation by the deadline established by the Registrar s Office. If the application for graduation is submitted to the Registrar s Office after the stated deadline, you may be subject to a monetary fee payable to the Registrar s Office. Deadlines can be found on the Graduate School calendar. Defend the thesis/dissertation and make any changes required by the committee. Upon final approval, complete the Graduate Program Defense and Completion Form and submit to the Graduate School by the established deadline. Please note that each member of the committee must sign and apply a grade. Upon receipt of this form, a Graduate School representative will instructions for ETD submission. Pay a $100 formatting fee. Upload final document to ETD. If a copyright is required, please ensure to order it in this step via ProQuest. Await notification of ETD approval. If formatting changes are required, you will be notified via . This process may take several rounds and can span a few weeks.

7 Preparation of Manuscript Approved Styles Individual departments have approved specific styles specific style manuals that reflect the requirements of their specific disciplines. Use these styles for citations and references in your thesis/dissertation, but follow the formatting outlined in this guide for all preliminary pages, order of sections, pagination, margins, appendices, and headings as described and illustrated in the following sections. The headings illustrated in Appendix A of this guide (page 13) come from the most current guidelines in the American Psychological Association and is preferred for all disciplines at Pacific. Other heading styles may be acceptable if used consistently throughout and approved by the student s Committee Chair and the Graduate School. The following is a list of specific style manuals approved by degree programs. Contact the Graduate School office for further clarification. 8 The thesis/dissertation can be divided into three (3) main parts: - Preliminary Pages - Body or Text - Reference Material Arrangement and Content This guide describes the format for the preliminary pages that must be used for all theses and dissertations at Pacific, regardless of academic discipline. Individual department guidelines determine the style and format of the citations in the text and references. Arrangement of Manuscript The thesis/dissertation contains the following elements: Page Number Page Title Required? Blank Page Place one (1) blank page at the beginning of the manuscript. Title Page The specific form described for the title page is standard for all theses and dissertations from Pacific, regardless of academic discipline.
9 MAJOR: The official academic major that has been approved by the Board of Regents. A list of officially approved Graduate Degrees appears on PAGE 6 DATE: Indicate the year of degree conferral, not date of defense or date you submitted your Thesis/Dissertation. This is page 1, printed on top right hand corner. Thesis Title Example Dissertation Title Example Approval Page Include a list of names and correct professorial titles of members of your committee; but should not contain their signatures. Include Dean of Graduate School. Page number included. Example on: PAGE 17 Copyright Page (if applicable) Psychology MA and all Ed.D. and Ph.D. students must apply for copyright and pay the appropriate fee via ProQuest. Applying for copyright is done electronically via ProQuest (ETD) and must be requested at the time of purchase. Please contact the Graduate School with any further questions. Page number included. Example on: PAGE 18 Dedication Page (Optional) If included, the dedication is to be placed after the Copyright Page Page number is included. Example on: PAGE 19 Acknowledgement Page (Optional) If included, the acknowledgement page follows the Dedication Page Page number is included. Example: Page 20 Abstract (Required) The abstract is a concise summary of the thesis/dissertation, intended to inform the prospective reader about its content. It usually includes a brief description of the problem investigated, procedures/methods, and the results or conclusions. Spacing: Double-spaced Title: Identical to the one on the title and approval pages. Should be centered, in upper and lower-case letters. If there is a second page, it should NOT have the title or note a continuation. Example on: PAGE 21 Lists (Tables/Figures/Illustrations/Abbreviations/Symbols) Required whenever there are more than one (1) table, figure, illustration, etc., in the manuscript. Each list begins on a new page. Table: columnar arrangement of information organized to save space and convey relationships at a glance. General rule of thumb: Tables can be typed, but figures must be drawn. Figure: Graphic illustration such as a chart, graph diagram, map, or photograph. Glossary: Is optional but recommended if the thesis/dissertation content is highly technical or includes highly specific terminology specific to the discipline not widely known. Can also be contained in the first chapter as a section with Definitions. Example: Lists of Tables; List of Figures; Example of Table in Text
10 Table of Contents A Table of Contents (TOC) is a topic outline of your thesis/dissertation. Should appear immediately after the Abstract, and include everything that appears after it. Example: PAGE 22 Features Headings - Contains the main heading (CONTENTS or TABLE OF CONTENTS) - Requires all capital letters - The headings listed MUST match word-for-word the headings in the text. Headings that are bolded/italicized in the text are NOT bolded/italicized in the TOC. Margins Number of Heading Levels 1 inch margins - All Level-1 and Level-2 headings are included. - The number of other heading levels to be included are chosen by the student and Committee Chair - If additional level headings are added to the TOC after the required Level 1 and Level-2, all headings of the added levels are to be added. Example: If a Level-3 heading is listed within the TOC, all Level-3 headings should be included. Appearance Page numbers are aligned on the right with dot leaders connecting to the headings (REQUIRED) Subheadings should be consistently indented according to their level Long headings that run over the next line should be appropriately indented. Inclusion of Captions Short captions of figures, illustrations, or tables can appear in the TOC if they exactly match what appears in the manuscript. Long captions can be used and stopped at the first period or other logical stopping point in the caption.
11 General Formatting Requirements The following format requirements apply to all Pacific theses and dissertations, regardless of field of study. Margins Left: 1 Inch Right: 1 Inch Top & Bottom: 1 inch Applies to all material except page numbers, including figures, headers/footers, footnotes/endnotes, and full-page images. Page Numbers: 3/4 inch from end of page Justification All text in the thesis/dissertation should be LEFT-JUSTIFIED Hyphenation Should be used sparingly Widows and Orphans Throughout the manuscript, there should be at least two (2) lines of a paragraph on a page. Therefore, pages should not end with widows and orphans. Widow: page should not end with a single line of a new paragraph that continues on a new page Orphan: single line from a paragraph that begins on the preview page. Spacing Double-spaced: abstract, dedication, acknowledgements, table of contents, body of manuscript; except for blocked quotations, captions, items in tables, lists, graphs, charts Single-spaced: footnotes/endnotes, bibliographic entries, lists in appendices. There should be two (2) spaces appearing after periods between sentences. Font and Size General Font type must be used consistently throughout manuscripts including page numbers, captions, and other elements. - An exception may be made in the appendices, where some variation in font and size may be permitted. Appendix title, margins, and page numbers should conform to the rest of the manuscript. Suggested Fonts: Size Boldface Italics Underlining Arial Century Courier New Garamond Georgia Microsoft Sans Serif Tahoma Times New Roman Trebuchet Verdana Any 10, 11, 12-point size can be used. 12-point Times New Roman is preferred but not mandatory. Boldface, Italics, Underlining Should be used sparingly to remain effective Should be used to indicate titles, Latin scientific names (in text only, not headings), non-english words, and emphasis. Should be avoided in the text.
12 Figures and Tables Placement Whenever possible, figures/tables should appear embedded in the text of the manuscript as close as possible to the first time it is referenced and separated by triple spaces above and below the surrounding text. Large figures/tables can appear on separate pages, centered horizontally and vertically. Oversized figures and tables should be avoided but they can be divided into sections and arranged on adjacent pages of standard size if needed. Example: PAGE 23 Placement: - Figures: Below the Figure - Tables: Above the Table Style of caption and titles must be consistent throughout manuscript. Titles and Captions Spacing: Single spaced and appear on the same page as the figure/table whenever possible. If necessary, the title and caption can appear on a page facing the figure/table and should be oriented to accommodate easy reading. Pagination and Captions Pagination: Arabic numerals are used in the top right corner of the header, beginning with Title Page and continuing sequentially to the last page - Begin each chapter on a new page. Captions: Specific styles for captions should follow APA style, unless an individual department has an alternate style. Captions must be used consistently throughout the manuscript. Oversized Figures and Tables Oversized figures and tables might be reduced by photography, photocopying, or electronica methods to arrange the material on regularly sized paper. If these techniques will not work and oversized paper must be used, samples must be approved by the Graduate Schoo. Photographs and Computer-Generated Images: Photo-generated and scanned images in all parts of the thesis/dissertation must be publication quality. 13 Appendix A: APA Heading Style Example in Text Centered Bold-faced 1 inch margins Chapter 1: Introduction Main headings, or chapter headings, must appear at the top of a new page, centered, and in Uppercase and Lowercase letters, and bold-faced. Please include the main heading for the Introduction. This level is required in the Table of Contents. Information About the Introduction These level two headings are left justified and have important words capitalized and are boldfaced. They do not appear at the top of a new page unless that is where they would otherwise appear in the text. This level is required in the Table of Contents. Continuing with the introduction. These level three headings are indented, have the first word capitalized and are followed with a period. The next paragraph begins on the same line as the heading with two spaces after the period. Optional to include level in the Table of Contents (TOC). Continuing with the introduction. These level four headings are indented, italicized, bold-faced, and with the first word capitalized. 26 Appendix U: Appendices APPENDIX A: DIRECTIONS FOR APPENDICES Appendices contain ancillary material that adds to the main body of the text but is not critical to the understanding of its contents. They should be the same font and size as the other portions of the thesis/dissertation, although alternatives are permitted (if approved by the Graduate School). Exceptions might be copies of forms used in gathering of experimental data, informed consent documents, drawings of special equipment, and examples of output generated by computer programs. Appendices should NOT include material that has been published or can be referenced; e.g., photocopies of textbook material, photographs, text, etc. The quality fo anything that appears in an appendix should be appropriate for publication. Regardless of material, the margin requirements must be maintained. If the appendix appears in landscape, rather than portrait mode, the binding-edge margin should be maintained. The word Appendix and title must appear that the top of the first page of each appendix, centered on the time. If you have multiple appendices use the following label format at the top of the first page of each appendix: Appendix A: Title; Appendix B: Title; Appendix C: Title, etc. Each appendix should be listed in the Table of Contents along with the title. Any Tables of Figures in the appendices must appear in the appropriate List of Tables or List of Figures. If the top margin on the first page of the appendix will interfere with the formatting of the content of that appendix, the use of a vertically centered title page as the initial appendix page is allowed. This page would appear at the beginning of the appendix, is paginated in sequence, and contains the correct appendix identifiers.
27 Frequently Asked Questions What is the purpose of the final submission? The purpose of the final review of the completed thesis/dissertation is to evaluate the format, style, organization, and other University-wide regulations have been met. How do I pay my formatting fee? The formatting fee is payable via the online payment system, CashNet. Instructions on how to pay for this fee will be delivered via upon receipt of the Graduate Completion Form by the Graduate School. What do I need to submit for final submission review? Submit the completed Graduate Defense and Completion Form to the Graduate School. Please note that all members of your committee must sign and apply a grade. When must I submit my thesis/dissertation for final submission review? The final submission should be at least two weeks after your final oral examinations, but no later than the deadline for the term in which you plan to graduate. Deadlines can be found in the University calendar as well as the Graduate School Calendar. Can I check formatting before submitting the final version? Of course, in fact, it s encouraged! Do not hesitate to drop by or the Writing Center with an example of what you may have a question about. How long does the Graduate School take for final review? The turnaround time for final review of thesis/dissertations is 5 business days. At very busy times (e.g., 2-3 weeks prior to the Final Submission deadline), it may take up to 7-10 business days. My department requires APA style, which may be different from the formatting guidelines here. What should I do? All theses and dissertations from Pacific must conform to the formats in the Guide for preliminary pages. The APA style can be used for headings, tables, figures, titles, captions, citations, and references. The formats described in this Guide should take precedence, but can be adapted to another style IF approved by the Graduate School in advance of the final submission. The style used in the body of the thesis/dissertation must be used consistently throughout. Am I required to purchase physical copies of my manuscript? As far as the Graduate School is concerned, you are not required to purchase any physical copies of your manuscript. We encourage you to check with your program to determine their specific requirements. Many students opt to purchase a copy for themselves to have a record of their scholarly work, but ultimately it is a personal decision to make.
