2 Page 2 THE ARC RECREATION NEWSLETTER All trips must be paid for in full before the event. You will receive a call at least one week prior to the event if you are on the list to attend and to finalize /confirm payment. If you do not receive a call that means you are on the waitlist for the event. If there is a cancellation, you will be called as soon as possible to confirm that you are now on the list to attend the event. Refunds will be given on a case by case basis: If we are able to fill your space, a full refund will be given. Partial refunds may be given if we are unable to fill your space and we have non refundable expenses which we have already incurred. (for example..tickets to a show) If you are confirmed and do not show up, no refund will be given. Canteen Night Activities: You will not receive a confirmation call. You do need to sign up for these events, especially if you are using Arc Transportation. (Please make sure you sign up to events like craft nights or Thanksgiving Dinner so we can have enough crafts/food). Drop offs for private pay events cannot be done more than 15 minutes before an activity. When dropping off, always accompany the participant inside in case staff has any questions or changes to communicate regarding the event. All activities are subject to changes determined necessary by The Arc staff (for example due to weather we may move activity). Any questions please call (610)
3 THE ARC RECREATION NEWSLETTER Page 3 Payment Schedule We require a deposit for all trips. The deposit will be 10% of the full trip cost and each trip will specify when a deposit is due. The deposit is used to secure your spot and also is Non Refundable. Full payment for the trip is due before the departure date of the trip. Drop Off Please follow the drop off and pick up times that are listed in the Newsletter. We allow for extra time before a trip so staff can review the trip and any necessary information with the person who is dropping off. Please accompany the traveler into The Arc when dropping off in case the staff has any questions. Please do not be late when dropping off for an overnight trip, we are on a schedule that may include airplane departure time. When picking up at the end of the trip, please consult the newsletter for the time and date of pick up. If there are any changes to the pick up times/location, staff will inform you via the phone number you provided on the Arc Intake Form. Cancellations Cancellations for overnight trips need to be made 30 days prior to a trip. With 30 day notice, we will refund what we can; sometimes we will not be able to get back money for airfare but may be able to get you a credit for a future flight. All refunds will be made on a case by case basis. The specific refund policy for each trip will be provided to you in writing, before an individual makes their first deposit on the trip. Supervision The Arc operates at no more then a 1:4 ratio (staff:participant). We understand that some travelers may have extra needs and we need to be made aware of this before a trip so we can make appropriate accommodations. Depending on individual needs there will be an increase in cost to an individual to accommodate more staff on the trip. If a one on one is needed, we can also provide that at an extra cost. Medication Medication is to be clearly labeled and in original packaging. If they are in weekly pill cases we need extras for the trip in the original bottles. The Arc intake form should be filled out in its entirety before a trip. We can review and edit the current form if there are any changes to medication. Arc staff will fill out a medication log before departing the trip which should be verified by the traveler. We will support individuals to self administer their medications. Lost Items We will make every effort to help individuals keep track of their possessions on a trip, however, all items brought on the trip are the responsibility of the traveler. We encourage travelers to label their belongings and only bring necessary items. Spending Money If you would like to bring spending money on a trip you can always do so. Spending money will be used for items such as souvenirs. Identification There are now strict laws in place regarding air travel. When signing up for a trip please provide us with the full name (including if there is a middle name or initial) on the individual s State identification (ID). Also, staff will collect all ID s on the day of the trip so we are organized while going through security at the airport. Please also make sure that the ID is not expired. Insurance All travelers can purchase travel insurance for their overnight trip. The policy will be purchased for the individual should they choose to get the insurance and will be an extra cost to the individual. The Arc is not responsible for the follow up on any insurance claims.

27 THE ARC RECREATION NEWSLETTER Page 27 TITLE: Client Grievance Policy and Procedure for Clients/Parents/Guardians POLICY: Any client, parent/guardian of a client or any person acting on behalf of a client participating in a program of The Arc of Chester County has the right to file a grievance about conditions, services or lack of services provided by The Arc or appeal an administrative decision made concerning the client. PROCEDURES: A grievance about any aspect of a program or an administrative decision shall be provided in writing or orally, to the appropriate Program Director. The Program Director shall respond in writing within three (3) working days and shall provide a copy of the letter to the Executive Director. NOTE: Any grievance alleging abuse should be made directly to the Executive Director, who shall investigate immediately. The Executive Director shall respond to the grievant in writing within two (2) working days. If the grievant is dissatisfied with the response, or if no response is received, he/she may appeal in writing to the Executive Director. The Executive Director shall respond in writing within three (3) working days and shall provide a copy of the letter to the President of The Arc Board of Directors. If still dissatisfied, or if the grievance is against the Executive Director of the Arc of Chester County, the grievant may appeal in writing to the President of the Board of Directors and shall forward a copy of the letter to the Executive Director. The president shall respond within three (3) working days and shall provide a copy of the letter to the members of The Arc Executive Committee, which shall act as an ad hoc Grievance Committee of the Board. The parent/guardian shall have the responsibility of notifying the County Case Management office that he/she has filed a grievance. Clients filing a grievance without the assistance of a parent/guardian shall be assisted by Arc personnel. In order to ensure appropriate representation, Arc staff shall also assist in notifying when applicable the County Case Management office and the Executive Director and/or The Arc President. The Executive Committee or another Board Committee shall meet with the grievant within five (5) working days. The grievant shall document the procedures he/she followed in the effort to reach an administrative resolution, including who was contacted and the nature of the response. The Committee shall determine the significance of the grievance and the resolution desired by the grievant. The Committee shall then meet, within five (5) working days, with the appropriate administrative representatives. The purpose shall be to resolve the grievance, and the Committee may invite the grievant to be present, if appropriate. Unresolved issues may be brought to a hearing chaired by a member of the Board Committee. This hearing shall be conducted within five (5) working days, and the Committee shall ask that the grievant and all appropriate Arc personnel be present. Notes of the proceedings shall be kept.
