2 Slide 3 What does this include? New Title (Approval) Notifications in OASIS Slip Notifications Approval Plans Review Shelf Patron Select Plan We will provide you with some guidance to managing your book approvals in OASIS which now, for many, is more than just your traditional print book approval plan. *Many of you have electronic slip notifications setup in OASIS, which is profiled. Instead of receiving the book for review you are receiving a slip with information for you to base your decision on. From there you would process the slip(s) similar to placing a firm order but with fund codes, etc already built in to the Order Information record. *An approval plan is an arrangement where Coutts provides pertinent books (print and electronic) automatically to a library. This is also based on a profile, usually one where you and your collection consultant have spent hours crafting and testing. *In addition to these traditional book and slip approval plans you now have options when setting up these plans with your collections consultant to: incorporate print/ebook preference by subject or by publisher review your print/ebook and accept or reject prior to shipping and invoicing using the review shelf establish a waiting period by subject or by publisher (i.e. prefer ebooks in physics, and you are willing to wait up to 60 days if the print version is published first) this goes on a hold shelf customer can now review the non-preferred formats waiting for the preferred format to appear - and can accept/reject setup an approval output option for a MARC record especially designed for Patron Select programs

3 Slide 4 What is the OASIS Review Shelf? OASIS Review Shelf The OASIS Review Shelf is a collective term that refers to several New Title menu options allowing individual users to review their approval titles prior to a pre-determined review by date. Slide 5 Traditional Approval Plan In a traditional approval plan a profile is crafted by the collection consultant and the individual selectors for the library to receive books and or slips. The slips are electronically delivered to the selectors Slip Notifications folder where further review and selection is done. An order is then placed against the selected titles (this is basically a firm order with pre - assigned order information) For the book approval the library receives the books, which are reviewed and purchased or returned by the library - unless we also have provided physical processing. The profiled approval book titles appear in the Approval Books Selected folder under New Titles and will have a red check status which says Approval Book Selected for the Library. Once the book is shipped and invoiced the check status will change to Approval Book Shipped.

4 Slide 6 Review Approval Books Review Approval Books allows the individual selector to review and reject their profiled titles prior to shipment. Selectors who wish to accept the title can either do nothing or push the title through using the Accept action. Accepted items move to the Approval Books Selected folder and rejected items move to the Review Approval Rejects folder. The option to retain on list or remove from list is available and will result in rejected, accepted remaining in your Review Approval Books folder along with items that still need to be reviewed.

5 Slide 7 Review Approval Rejects Review Approval Rejects allows all users to review and accept titles which have been rejected by them or by their colleagues. The selector who has rejected the titles is noted in the red check status phrase. The folder they rejected this in is also highlighted next to the initial selector s name. Actions which can be taken on these are Accept which will forward the title to the Approval Books Selected folder. Or, you can delete the title or forward the title to a list or non-oasis user..

Slide 11 Management Reports for Approvals Reports for Approvals Profiles Books and Slips Comparison Activity Snapshot Returns Activity Profile Analysis Approval Coverage Centre Certain Management Reports are specifically designed for approvals. There is a description for each report and when selected you are taken to a template that guides you through what needs to be filled out. Once you have entered the necessary criteria for the report needed you select generate in the lower right corner of your screen and the report will be ed to you within a few minutes in an excel format.
