1 POSITION DESCRIPTION Library Services Assistant-Advanced Position Summary This is a nonexempt paraprofessional position supervised by the Chief Cataloger (a Librarian-Supervisor). Under general supervision of the Chief Cataloger, this position is devoted to: A) preparing edited and original catalog records and coordination of the processing of materials into the library s general collection; B) maintaining the online and paper public catalogs; C) coordinating the processing of materials for the Library s special collections; D) preparing serial publications for the bindery; and E) performing administrative and other library tasks and special projects. Goals and Worker Activities 60% A. Preparation of original and edited catalog records and coordination of the processing of materials into the library s collections. A1. Edit monographic cataloging records previously entered into the OCLC international bibliographic database by member libraries to conform to current Society and national standards; upgrade monographic records input by member libraries in the OCLC database utilizing the Library s enhance authorization; prepare those bibliographic records for transfer into the University of Wisconsin-Madison s online catalog. A2. Prepare original catalog records for monographs in the subject areas of genealogy and local history not found in the OCLC international bibliographic database according to current International Standard Bibliographic Description (ISBD) and RDA (Resource Description and Access), with proper machine-readable cataloging (MARC) tags, for input into the OCLC database and the University of Wisconsin- Madison s online catalog; assign Library of Congress call numbers to such. A3. Search the OCLC name and subject authority files to verify current forms of all name and subject headings assigned to monographs being added to the library s collections. A4. Maintain and update copy holdings and volume holdings records for monographs, annuals, serials, directories, and bound periodicals in the library s general collection; create original volume holdings records for those items lacking such in the Alma; verify holdings and rectify errors in information as necessary. A5. Train and direct staff, in the use of the OCLC international bibliographic database; train and direct staff in the use of the UW-Madison s online catalogue.

Serve as the resource person for the library s labeling unit; train and direct staff in labeling and processing newly received materials into the library s collections; perform similar work as necessary in absence of adequate support staff. A7. Answer all reference questions concerning library materials in process. 10% B. Catalog maintenance. B1. Deaccession and decatalog items withdrawn, declared missing or discarded from the library s collections and update the Alma database as necessary; perform other catalog maintenance tasks as necessary. B2. Train and direct library assistants in pulling outdated card sets from the public catalog, retrieving materials from library stacks, and performing other similar tasks as necessary. 15% C. Coordination of the processing of materials for the library s special collections. C1. Coordinate, add, and transfer materials to Rare Books Collection; correct and update existing records for those materials for transfer into Alma; deliver materials to the Rare Books Room with proper identification and bibliographic records. C2. Create original catalog records and assign call numbers and subject headings for materials added to City and Telephone Directories Collection; produce shelf list cards for these materials; review, verify, edit and update existing bibliographic, copy, and detailed holdings records in Alma for city and telephone directories; rectify discrepancies in information as necessary; serve as resource person for this collection, answering all questions and resolving all problems concerning the library s city and telephone directory holdings; train and direct staff in these same duties. 10% D. Prepare serial publications for the bindery. D1. Collate periodicals received from Acquisitions; create or update holdings records in the local catalog for them. D2. Create bindery slips using the bindery software.

3 5% E. Performance of administrative and other library tasks and special projects. E1. Coordinate and direct work of library assistants in adding materials to and removing materials from new book display on weekly basis; provide materials to library patrons requesting items from new book display. E2. Coordinate and conduct special projects as assigned by the Chief Cataloger

4 KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED 1. Knowledge of accepted library descriptive cataloging practice. 2. Knowledge of accepted library subject cataloging practice. 3. Advanced knowledge of bibliographic formats and standards for the OCLC international bibliographic database; ability to search, update, correct, upgrade, and input ISBD/RDA records with proper MARC tags. 4. Advanced knowledge of the capabilities of Alma or other library services platform; ability to search, update, and correct records. 5. Ability to effectively locate, read, evaluate and use bibliographic records and databases. 6. Ability to analyze publications for subject content and assign appropriate subject headings. 7. Ability to analyze terms for conformity to Library of Congress name and subject headings in order to assure consistency in cataloging records. 8. Ability to adapt readily and effectively to the rapidly changing world of information systems, and to each succeeding generation of tools needed for locating and accessing information and data. 9. Ability to train and coordinate the work of LTEs and student assistants. 10. Attention to detail. 11. Ability to work effectively in a team environment. 12. Excellent organizational skills and the ability to manage several projects at once. 13. Knowledge of modern office procedures. 14. Ability to use computer applications, including Microsoft Office Suite. (Word, Access, Excel). 15. Ability to utilize the World Wide Web (Internet) 16. Ability to work independently without supervision.

5 Physical demands of this job are: Continuously sitting at the computer terminal. Occasionally walking to, crouching at and standing at files and other office equipment. Working at the computer terminal, telephone and files causes occasional twisting and reaching. Computer terminal entries require continuous fingering in repetitive motions. Periodically talking with, and listening to Society staff; state officials; professionals; and members of the public in the performance of job duties for this position. Must be able to lift at least 35 pounds and have the physical dexterity and flexibility necessary to work in an office environment.
