Le Passe Mot Biannual publication number 95 April 2015 September , rue Saint-Louis Gatineau (Québec) J8T 5L8 Tél. : Téléc. : Adresse courriel : biblio@crsbpo.qc.ca Site internet : The 2015 Annual General Meeting of the Réseau BIBLIO de l Outaouais The next Annual General Meeting of the Réseau BIBLIO de l Outaouais will be held Saturday, June 6 at the Campbell s Bay s recreational Centre in the MRC of Pontiac (2, Second Street in Campbell s Bay). The event will start at 10am. Information about the event (registration, schedule, map, etc.), will be included in the meeting s notice, which will be sent in May Note that this year s theme will be «Atomes crochus»! Do not forget to book this date on your agenda! Important Reminder For the smooth running of the Committee, it s ESSENTIAL that all its members are kept informed of all information received. Don t forget to pass this LE PASSE MOT Newsletter to ALL members of the Library Committee. Ebooks With the ministère de la Culture et des Communications du Québec financial aid granted to the Réseau BIBLIO de l Outaouais, over a period of two years, about 30 titles are added each week on the «pretnumerique.ca» platform. More than ebooks are now available for your users. In May 2015, The Réseau BIBLIO de l Outaouais will launch the contest «A library at your fingertips» to promote the ebook loan service. Each member library will receive an ereader as a local prize to be drawn among the participants. These ereader are offered by the Réseau BIBLIO. The promotional material for the contest will be sent to libraries during the month of April. LE PASSE MOT ISSN Dépôt légal électronique : Bibliothèque et Archives Canada Bibliothèque et Archives nationales du Québec In addition, monthly statistics will shortly be available. This will allow you to get the total number of subscribers and loans per month at your library. A report will be created by the staff of the Réseau BIBLIO and will be ed to you like the other Symphony reports you receive each month. We would like to remind you that the staff of the Réseau BIBLIO de l Outaouais offers support to the users who have difficulty downloading ebooks from the «pretnumerique.ca» platform to their electronic devices (tablet, EReader, computer, Smartphone). We suggest you invite your user to contact Pascal Demers, library support technician at the Réseau BIBLIO de l Outaouais page 1
for assistance. Pascal can be reached by phone, or ext. 27 or Note, however, that the RÉSEAU BIBLIO does not provide support to customers for technological issues that are not related to the downloading of digital books via the Pretnumerique.ca platform (including the initial configuration of an ipad or computer, virus problems, etc.). Promotional Labels for your library s services These three promotional labels were distributed to libraries, municipalities and all media. Feel free to use them in your communications. They were designed to fill empty spaces and promote the services of your library in your community. As for the RÉSEAU BIBLIO, it uses them to present products and services in its brochure. You cannot find them? Request them to the Réseau BIBLIO s staff. Mark Item Used At the end of the opening session, the library is invited to register (scan) books left on tables by users using the expert «Mark Item Used» of the "Special" group from the «Prêt» module. This statistic is compiled into your loan report you receive via every month. It is recognized in Quebec libraries that on-site consultations are to be considered loaned books. page 2
Reminder for adding your periodicals in Symphony When adding your periodicals in Symphony, remember to enter the correct information about the document s type and category. Always enter «Périodiques» to avoid errors in the statistics. See the following example to guide you. Audio books can now be borrowed via ILL Since February 12, 2015, audio books can now be borrowed through the interlibrary loan (ILL) service to meet the needs of your customers. Yan can share this information with your users. We take this opportunity to remind you that it is important that when you make an ILL request with the VDX software, you select the desired document format (paper or audio book) so that your customer receives the correct document. To this effect, we remind you that the search for a document with the correct ISBN number greatly increases the success of your search. Remember that DVD, videotapes and CDs are excluded from the ILL service. Online Charge History All subscribers can now view their charge history from their user record in the online catalogue of the Réseau BIBLIO de l Outaouais. Once connected to his record (with their 14 digits user number and PIN BIBLO) and by choosing My account, and then Review my account, the user has access to the contents of his record Summary. Depending on the user s activity, different sub-sections are clickable to view Checkouts information (list of borrowed items, overdue materials and fines if there is any), Holds (list of reserved documents with the title and the document s call number) and the Charge history of their user record (highlighting the list of borrowed items with title, author and call number as well as borrowing and return dates of the documents). page 3
New promotion for the MUSEUM PRIVILEGE CARDS To promote the MUSEUM PRIVILEGE CARDS (more than 25 tourist attractions) offered in libraries, the Réseau BIBLIO de l Outaouais will send you new promotional posters in April We invite you to place these posters in the library and in the busiest places in your municipality. These diverse partnerships are a way to expand your services to your community by offering citizens great opportunities for fun and to take advantage of the region s resources. We remind you that the Canada Science and Technology Museum is currently closed for renovations. The museum should reopen in page 4
Library Renovation Regional Project Aménagement BIBLIO More than 14 municipalities have submitted renovation proposals and specialized equipment purchases for their library as part of the regional consolidated project «Aménagement BIBLIO». The next steps are the validation of each project by the ministère de la Culture et des Communications du Québec (MCCQ), which is currently in progress and, hopefully, will eventually conclude by a funding announcement by the ministry since this project meets all the goals in terms of access to reading and libraries development of MCCQ. Stickers «NEW RELEASE» and «CULTURAL CREATIONS OF THE OUTAOUAIS» We remind you that the "post-it" type stickers are offered by the Réseau BIBLIO de l Outaouais to help your customers quickly identify new acquisitions you added to your local collection or works (books, music and movies), created by Outaouais authors and artists, you own in your library. With these stickers, your customers will be able to quickly find new books and works created by Outaouais artists offered at your library. We take this opportunity to suggest that you reserve a section in your library for the Outaouais authors and artists to properly highlight the cultural richness of works created in the Outaouais region. These stickers are offered in English or French for $0,25 each. If you want to purchase some of these stickers «Nouveauté», «New release», «Œuvres de l Outaouais» or «Cultural creations of the Outaouais», please contact Claudette Deschênes at or ext. 21 or by at: claudette.deschenes@crsbpo.qc.ca. Volunteer Week from April 12 th to the 18 th, 2015 Réseau BIBLIO encourages municipalities to take advantage of the Volunteer Week, from April 12 to 18, 2015, to honor their BIBLIO volunteers. The energy of our 263 volunteers makes the success of our libraries. Thank you! page 5
World Book and Copyright Day 2015 Affichez-vous avec votre livre! In 2015, the Journée mondiale du livre et du droit d auteur (JMLDA), celebrates its 20 th anniversary. Next April 23, under the theme Affichez-vous avec votre livre!, celebrate books, reading, and draw attention on the importance of copyright. Talk about the books you like to your users, introduce them to your favorite authors and organize an activity in your library. TD summer Reading Club 2015, under the theme «Play!» The Réseau BIBLIO de l Outaouais partners with the Bibliothèque et Archives Canada (BAC) and the TD Bank to offer kids a reading club and to keep encouraging them to read throughout the summer. Play! is the theme of the Summer Reading Club Its goal is to encourage kids from 3 to 12 yrs old to see reading as a game and thus, make them understand that the positive emotions associated to playing can also come from reading a good book. The 2015 theme s objective is for kids to have fun reading and exchanging opinions on a book while having the freedom to choose, explore and discover on their own. You will receive by the end of May the promotional materials for the TD Club 2015 and the material to be distributed to children who join the Club at your library. Ideas and useful tools to host activities for the Club in your library can be found at: Do not hesitate to use them! In summer of 2014, the Notre-Dame-de-la-Salette library hosted its TD Reading Club in a fun and educational way for kids. Each child enrolled in the Club had a motivation card. A smiley sticker was added to the child s card each week for his attendance at the Club s workshops and according to the number of books read. After each book completely read, the children were asked to roll the «Dés à livres». Questions about the books were on each side of the dice. Children who got the right answer had the opportunity to earn more stickers. When a child encountered a new word during his/her reading, he/she could write it down on a board in the library. Later, the library s staff would explain the meaning of this word to the kids. page 6
Le printemps des revues March 26 to April 16, 2015 Organized by the Société de développement des périodiques culturels québécois (SODEP) and in collaboration with the publishers, this annual rendez-vous is the perfect opportunity to have fun and discover the revues culturelles québécoises, which are great vehicles for reflection, debate and creation. In the Outaouais region, more than eight libraries have built exhibition spaces where citizens and students can discover the richness and diversity of Quebec s cultural magazines; a written heritage that provides a true overview of thought and cultural life. The users of these libraries can also participate in a contest organized by the SODEP in collaboration with Radio-Canada. Many prizes to be won: subscriptions to magazines and cultural events, among others. We hope that the Printemps des revues will be back in 2016 for a 6 th edition and that we will be able to offer this program/contest to all libraries of the Réseau BIBLIO de l Outaouais. The Réseau BIBLIO s portal is revamped! The Réseau BIBLIO de l Outaouais has revamped its portal and the web pages of member libraries to make the site more user friendly for library users and to allow them to easily find the available BIBLIO services. Go take a look! page 7
Training offered by the Réseau BIBLIO Two training sessions on the use of VDX will be held at the Réseau BIBLIO s headquarter in April: VDX update Date : April 21, 2015 Location : Réseau BIBLIO s headquarter (2295, rue Saint-Louis, Gatineau) Time : 9am to noon Language : French Cos : Free Date : April 27, 2015 Location : Réseau BIBLIO s headquarter (2295, rue Saint-Louis, Gatineau) Time : 9am to noon Language : French Cost : Free This workshop will allow participants to review the features of interlibrary loan (ILL) through VDX. The different steps of an online ILL request are discussed during the training: document search, entering an ILL request, management and monitoring ILL requests (borrower function), management and response to requests from other libraries (lender function), use of electronic shipping tool from Canada Post and use of ZPortal (to train users of your library). You can register by contacting Claudette Deschênes at (819) or at ext. 21. You can also contact her by at: biblio@crsbpo.qc.ca. These training activities want to encourage and support the library committees in their efforts to better meet the needs of their customers. We invite each library manager to offer his/her team these training workshops so that anyone interested can participate. The CRSBP also provides, on request, in French or English, individual training on many topics. These courses are offered at your library. You can find this document on the Réseau BIBLIO de l Outaouais under Support/ Formation. Bookmarks Local bookstores are sending us bookmarks throughout the year. If you are interested in receiving some of these bookmarks, please contact Claudette Deschênes at or at ext. 21. You can also contact her by at: claudette.deschenes@crsbpo.qc.ca. page 8
In the spring, we check our collections! With the arrival of spring it is the time to dust, to give a breath of fresh air to the library and thus, start the season in style. Weeding Weeding is as important as buying. Tools are available in the Extranet under Guides techniques/gestion et développement des collections.pdf and Politiques/Règlements/ Politique de développement de la collection locale.pdf Weeding criteria Retention calendar Weeding procedure The inventory Doing an inventory is to list all the documents in a library to update the library s catalogue database. For more information or support, contact Jonathan Careau at or at ext. 33 or by jonathan.careau@crsbpo.qc.ca. REMINDER Windows 8 is not presently compatible with Symphony. Thus, it is important to avoid installing this Windows version on your workstations that are used by your library committee members. Always available Make recognition a priority! The promotional items of the Réseau BIBLIO make nice gifts to thank your volunteers. Contact Claudette Deschênes (819) or ext. 21 or by at: claudette.deschenes@crsbpo.qc.ca. page 9
Liven up your library all year long! The Réseau BIBLIO de l Outaouais invites you to get together with one or some libraries of your MRC to offer the same activity/activity host on the same day to reduce the costs (km, price of the activity / host s fee, etc...). If you are interested by this idea, contact Jonathan Careau by jonathan.careau@crsbpo.qc.ca or by phone at or ext. 33. We would like to remind you that you the CRSBP provides a financial assistance of 35% of the cost of the activity up to $100 per activity. All proceeds must first be deducted from the costs of the activity (registration fees, sponsors, etc...). A maximum of $200 annually per library and up to the available budget. Activities are required to be organized by the library. (The CRSBPO does not allocate funding for activities organized by schools). To benefit from these funding, affiliated libraries must fill the application for reimbursement for the created activity. This application form is available on the Extranet of the CRSBPO under Animation/Promotion / Animation culturelle en bibliothèque / Guide d animation / Demande de remboursement.pdf and forwards it to the CRSBP with the required receipts. Selection and acquisition of books for your local collection Consult the Collections magazine online to help you with the selection and acquisition of books for your local collection: The Collections magazine from the National Association of Book publisher aims to highlight the literary value of Quebec creators and convey it to libraries. Published six times a year, the magazine features a specific theme per issue, all within a framework to facilitate the development of collections and the creation of library activities. Schedule of the CRSBPO Note that as of June first, until September 4, 2015, the summer opening hours of the CRSBP will be as follows: Monday to Friday from 8:30am to noon and from 1pm to 4pm. page 10
