4 BibTeX Overview There is a good chance that citations of your publications are already stored in another software system such as a reference manager or database for example, EndNote, Google Scholar, Mendeley, RefWorks, Scopus, Web of Science or Zotero. Those software systems enable you to pick records and then export them into a BibTeX file. This feature enables you to upload that BibTeX file so that you do not need to rekey those citations. Below you will find details on how to export publication information from a few common software systems into a BibTeX file. What is BibTeX? How to Export Publications to a BibTeX File? 5 WHAT IS BIBTEX? BibTeX is the most broadly supported standardized way to structure publication citations in a file. This makes it easy to move citations between two software applications. You export citations from one software application into a BibTeX file and then import that file into another software application. In this case, you are exporting from another software application and importing into Activity Insight. Tidbit #1: BibTeX is a very proven file format, as it was created more than 20 years ago, in 1985! Of course, it has evolved over the years. Tidbit #2: You can open a BibTeX file with any common text editor, including Microsoft Word, TextEdit or Notepad. Here's an example of a BibTeX file that you can open. You will see that it is, perhaps surprisingly, straightforward to read.

6 How To Export Publications To A BibTeX File?

7 EXPORTING BIBTEX FROM GOOGLE SCHOLAR While it is possible to export a specific citation within your Google scholar search results to BibTeX, the intention is that one would first aggregate his or her citations via Google Scholar Citations prior to generating the BibTeX file for import into Activity Insight. 1.Navigate to Google Scholar. 2.Select My Citations. 3.If you are not yet logged in, enter your credentials to sign in. Upon signing in you should land on your profile page where you will see a list of your "articles." 4.If you would like to export only select articles to your BibTeX file, choose these from your profile. If you would like to export all of your articles, simply leave things as they are. 5.In the Actions drop-down list choose to Export your articles. 6.On the Export Articles page, ensure that the File Format selected is BibTeX. Then select to export either the selected articles or all articles, depending on your need. 7.Save the export file. For more information please see the Google Scholar help guide.

8 EXPORTING BIBTEX FROM REFWORKS To export citations to a BibTeX file: 1.Log into RefWorks. 2.Navigate to References or Tools and select Export. 3.Choose to export All References or a specific folder. 4.Select BibTeX as your Export Format. 5.Select Export to Text File. 6.Save the resulting file as a.bib file to your preferred location. 9 EXPORTING BIBTEX FROM SCOPUS To export citations to a BibTeX file: 1.Choose the references you would like to export and then select Export. 2.Select the BibTeX export format. 3.Select to include the Complete format for the items in your export. 4.Select Export. 5.Save the resulting file to your preferred location. 10 EXPORTING BIBTEX FROM WEB OF SCIENCE To export citations to a BibTeX file: 1.Navigate to the Results page and choose the records you would like to export. 2.Select to include the Full Record for each item in your export. 3.In the Save To menu select the BibTex file format. 4.Select Save to proceed. 5.In the resulting dialog box select Save or OK. 6.Save the resulting file to your preferred location. 11 EXPORTING BIBTEX FROM ZOTERO ONLINE To export citations to a BibTeX file: 1.Navigate to Zotero's homepage and log in to your account. 2.In the menu bar select My Library and from the list on the left-hand side, select the citation collection from which you would like to export. 3.In the pane on the right select the citations you would like to export. 4.Select the Export icon, which appears just above the Date Modified column. 5.Select the bibtex output option. 6.Select to save the file. 7.Navigate to the location where the file was saved. 8.Rename the file and add a ".bib" or ".txt" extension (e.g., FacultyNameZoteroExport.bib). 12 EXPORTING BIBTEX FROM ZOTERO STANDALONE To export citations to a BibTeX file: 1.Within My Library in Zotero Standalone select the collection from which you would like to export. 2.If you are using a Mac, select the Settings gear icon and choose Export Library... from the menu. 3.If you are using a PC, right click on the collection you would like to export and select Export Collection or select the collection from the list and go to File and select Export Library... from the menu. 4.In the Export... box select BibTeX as your format and select OK. 5.Save the resulting file to your preferred location. 13 How To Use The BibTeX Feature in Digital Measures?

14 Step 1: Upload File To begin, select the Intellectual Contributions screen. Here you will find a new button labeled Import Items. Select this button.

15 From here select option A, then upload a BibTeX file from your computer and then select Continue

16 Step 2: Handle Duplicates Activity Insight uses advanced duplicate detection logic to check the records from the file to see if any might already be in the system. We do not want duplicates! The records that might be duplicates are presented to you to review as seen below. 17 As you can see from the previous screenshot, 10 potential duplicates were found. For each of the potentially duplicate records, you must now pick Skip as selecting "import" will create another record and not overwrite the existing record. As the existing records have certain fields modified by the school and APO it is a best practice not to import the duplicate records. You can limit the records that are displayed to all records or only those that still need review using the drop-down menu at the bottom. Once you have indicated whether each record is or is not a duplicate, a Continue button will appear as you see below. 18 Step 3: Pick Collaborators We now move on to link the names from the file to the user accounts in Activity Insight. Here, a list of the names of people that are in all of the records from the file are displayed. 2 names matched the users that are in the system according to the screenshot below. Click on the Select a different account if you believe the names in the red circle do not match the description in the red rectangle. Click on Continue once you have reviewed it. 19 Step 4: Review Records and Import This step enables you to flip through the records that you are about to load, to look them over to ensure everything looks good. Use the left and right chevrons to move through the records. When you are satisfied that everything looks good, select Finish Import. 20 Activity Insight presents a confirmation box to ensure you wish to proceed. Press Import Records to continue. Import Complete: The records are loaded into Activity Insight immediately and you will see a notification that the records are successfully imported!

21 BibTeX Import Limitations Primarily the fields center around the publication and not around the author in a BibTeX file. The following information is generally not found in a BibTeX file: Peer Reviewed/Refereed information Permanent Chronological Number Number of Citations Full Text (pdf document). Web link is populated if the BibTeX file has it. Percent and role of contribution Published publications only are included in the BibTeX file. Sometimes a BibTeX file may have some information merged in one field. eg: Publisher Name, City, Address, Country.

23 PubMed Overview With this new PubMed Imports feature, faculty can now pull their citations into Activity Insight directly from PubMed without first saving them into a BibTeX file. What is PubMed? 24 What is PubMed PubMed is a resource provided by the US National Library of Medicine that provides free access to MEDLINE, the NLM database of indexed citations and abstracts to medical, nursing, dental, veterinary, health care, and preclinical sciences journal articles.

25 How to use PubMed Feature in Digital Measures?

26 PUBMED IMPORT Step 1: Search PubMed To begin, select the Intellectual Contributions screen. Here you will find a new button labeled Import Items. Select this button.

27 From the two import options choose Option B: Import by connecting to PubMed. Next enter your search criteria. This is autoselected as Author and your name pops up on the text field. If you wish to select any other criteria, you can click on the drop down in red circle and a whole list of search criteria pops up. Test account 1

28 Of course, you can enter additional search criteria by selecting a PubMed field(s) and entering your parameters. To add more than one search criterion, select the plus sign. Note that the search criteria you enter will be combined with and logic. For example, entering the criteria above will focus the results from PubMed on those citations that have a publication date between 2009 and 2013 and have one or more text fields that contain the keyword "Neuropharmacology". If you change your mind, you can use the minus sign to remove a search criterion. Once you have selected your search criteria, simply click Continue.

29 Step 2: Choose your Records Activity Insight will return the citations found in PubMed that match the search criteria you entered. From there you will need to select the records to import. To do this you can choose to Select All (Green Circle) or check the box next to individual records. Then click Continue. 30 If you are uncertain about a citation you can select to See the full record..., which will show you the full set of details that will be imported into Activity Insight for that record should you choose to proceed. 31 If too many records were returned or the record you expected to find does not appear you can hone your search right from this screen. Just select the click here link, update your criteria and select Continue. 32 Step 3: Handle Duplicates Digital Measures uses advanced duplicate detection logic to check the records from the file to see if any might already be in the system. We do not want duplicates! The records that might be duplicates are presented to you to review as seen below. 34 Step 4 : Pick Collaborates A list of the names of people that are in all of the records from the file is displayed. 2 names matched the users that are in the system according to the screenshot below. Click on the Select a different account if you believe the names in the red circle do not match the description in the black rectangle. Click on Continue once you have reviewed it. 35 Step 5: Review Records and Import This step enables you to flip through the records that you are about to load, to look them over to ensure everything looks good. Use the left and right chevrons to move through the records. When you are satisfied that everything looks good, select Finish Import. 37 PubMed Limitations The Pubmed information revolves around the publication similar to BibTeX characteristic. It does not generally include the following information: Peer reviewed/ Refereed Information Permanent Chronological Number Number of Citations Full Text (pdf document) Percent and role of contribution If the faculty name is very common, publications need to be checked to make sure the faculty is actually the faculty you want to import.
