4 REPORT VERSIONS AND HIGHLIGHTS Report versions available This report is available in 2 versions: this summary version and a full version. Both are available in PDF at The summary version includes the highlights, as well as the summary tables and graphs from the full version. Detailed figures and notes for individual units are available in the full version, which, for the first time, provides links to tables and graphs from its table of contents. Collections The number of print volumes increased by 121,929 or 1.6% (full version Table 1a). This is the smallest number of gross volumes added in the last 15 years, in part reflecting rising costs and the shift to electronic formats. The number of physical serial subscriptions decreased by 1,916 or 3.1% (full version Table 3). This reflects, in large part, the effort underway to eliminate unnecessary and costly duplication of serials in physical and electronic formats. This is the fifth consecutive year the number of non-electronic subscriptions and commercial binds has decreased (Summary Graphs 1 & 5). At the same time, the number of e-journal holdings in the Library Catalog increased by 6,068 or 14.7% (full version Table 4). In the fall of 2005, the Library began a project to move close to 1 million volumes to the Library Annex. With the net addition of 374,178 volumes in 2006, the Library Annex holds over 2.2 million volumes or 28.6% of the Cornell Library s print collection (full version Table 1). The number of slides and filmstrips increased by 12,050 items or 30.4%, reflecting, in large part, a transfer of slides from University Photography to RMC. Services/Usage The number of circulation transactions for library materials decreased by 1.5%, while the circulation of equipment purchased for patrons use in the Library (ranging from laptops for use within the Library, to polling devices used by students in their classes) increased by 11.8% (Summary Table 2). The number of charges decreased by 2.9%, while renewals increased by 4.1%. Total circulation (of all collections and equipment) showed a 0.1% decrease. The volume of Interlibrary Loans (ILL) continued to increase this year. The lending showed a lower rate of increase (1.9%) than borrowing (7%) (Summary Table 2). Similar to last year, Borrow Direct, a service that allows patrons to directly initiate expedited requests after a combined search of the library catalogs of Brown, Columbia, Cornell, Dartmouth, University of Pennsylvania, Princeton and Yale accounted for 33.3% of filled lending and 44.9% of filled borrowing requests respectively (full version Table 8). Library-to-library delivery is a service that allows Cornell-affiliated patrons to request that a book be sent from one library to another for more convenient pickup. Jointly, the libraries that reported in 2005 saw a 33.1% increase in 2006 (full version Table 6a). iv

5 The use of the Library s Enhanced Returns policy, implemented in 2001, which allows patrons to return items borrowed to any library, increased by 7.6%; 16.1% of total returns in 2006 were made at libraries other than the owning library (full version Table 5b). In October 2005, the Library launched a new service to deliver books to faculty members departmental offices. The Library filled 1,280 such requests from October through June (full version Table 7). 17,139 people (or an average of over 100 people per night) used Uris Library between 2 and 8 a.m. during the academic year when Uris is open for study 24 hours, Sunday-Thursday (full version Table 16 footnote). The number of user instruction sessions offered and session participants were up 22.2% and 6.4% respectively (Summary Table 2). The use of the citation management software, Refworks, and the journal table of content delivery service, MyContents, are shown in Table 10. This year, users added 351,237 references (compared to 99,959 for half of 2005) to RefWorks through library databases interfaces as well as manually. The use of MyContents increased, but at a slower pace. At the end of 2006, 1,934 users (a 2.1% increase from 2005) received 10,340 tables of contents electronically from 959 journal titles. The use of the Library Gateway increased by 23.5% from last year: close to 9 million visits to the Library Gateway were tracked by Web analysis software (full version Table 9b). 19 APPENDIX B DEFINITION OF TERMS Added: Added physical units or titles are those units or titles that have been cataloged according to Anglo-American Cataloging Rules or for which other inventory records have been made available to users (e.g., minimal or provisional catalog records, accession records, or records in a database file). Association of Research Libraries (ARL): A 123-member association of North American research libraries, of which Cornell is a member: Audiovisuals: Materials that are displayed by visual projection or magnification or through sound reproduction, or both, including sound recordings, motion pictures, video recordings, etc. Book/monograph: A non-serial publication of any length bound in hard or soft covers or in loose-leaf format. Includes sheet music and Braille. Borrow Direct: A rapid book request and delivery system. It enables Cornell faculty, staff and students to search the combined library catalogs of Brown, Columbia, Cornell, Dartmouth, University of Pennsylvania, Princeton and Yale, a collection of over 40 million volumes, and directly request expedited delivery of circulating items. Circulation: The act of lending an item from the library's collection for use generally (although not always) outside the library. This activity includes charging, either manually or electronically, and renewals, each of which is reported as a circulation transaction. Computer files: Computer-readable disks, tapes, CD-ROMs and similar machine-readable files comprising data or programs that are locally held as part of the library s collection available to library clients. Includes only those items received in physical form. Enhanced returns: Circulating items returned at other than the owning library. Expenditures: Includes all funds that come to the library from the regular institutional budget and from sources such as research grants, special projects, gifts and endowments, and fees for service. Does not include encumbrances of funds that have not yet been expended. Finding aid: A document that describes an archival or manuscript collection and the person or organization that produced it, as well as a list of the contents that tells users how the collection is structured and where to find particular materials in it. 14

Equipment circulation: Circulation transactions of items that are not part of the general collection, such as laptops, laptop peripherals, digital cameras, calculators, etc. Laptop activity is recorded separately from that of other equipment. Faculty office delivery: A free service that allows Faculty members to request library books for delivery to their department mailroom or administrative office, Monday through Friday, during regular office hours. Requests are limited to book materials from the regular circulating collection of the Ithaca and Geneva libraries; journals, videos, or other special collection items are excluded. Gate counts: Number of times a person was counted visiting the library. Includes anyone entering the library: patrons, staff, etc. In-library use counts: Counts of items reshelved, but not checked out. Instruction sessions: Information contacts in which a staff member, or a person invited by a staff member, provides information intended for a number of library clientele and planned in advance. Information service to groups may be bibliographic instruction, library use presentations, or cultural, recreational or educational presentations. Presentations both on and off the library premises are included as long as they are sponsored by the library. If the library sponsors multi-session or credit courses that meet several times over the course of a semester, each session is counted; however, for courses with a constant enrollment, each participant is counted only once. Interlibrary loan: A transaction in which library material, or a copy of material, is made available by one library to another upon request. It includes both lending and borrowing. The libraries involved in interlibrary loan are not under the same administration or on the same campus. Library-to-library delivery: A service that allows Cornell-affiliated patrons to request that a book be sent from one library to another of their choosing for more-convenient pickup. Manuscripts: Works written by hand or keyed, including books, dissertations, letters, speeches, music, legal papers and printed forms completed by hand, as well as collections of such materials. Includes archival material. Microforms: Photographic reproductions of textual, tabular or graphic material reduced in size so that they can be used only with magnification. The two main types of microforms are microreproductions on transparent material (microfilm, microfiche, aperture card, ultrafiche) and reproductions on opaque material (microprints, microcards). Each microcard, microprint and piece of microfiche is counted separately. MyContents: Part of the MyLibrary personal electronic services, MyContents allows users to select tables of contents of journals to be sent to them via or over the Web in formats they specify as they become available. 15

MyDocument Delivery: Part of the MyLibrary personal electronic services, MyDocument Delivery is a fee-based electronic document delivery through which faculty, students and staff may request copies of journal articles, book chapters and other materials located in the print collection of CUL. Documents are scanned and made available on the Web as PDF files. The service is free for: material from the Library Annex; patrons with permanent or temporary disability; and patrons whose regular address is a remote location, such as the Lab of Ornithology. Non-book materials: Includes: materials displayed by visual projection or magnification or through sound reproduction, or both, including sound recordings, motion pictures and video recordings, and graphic materials; maps; and computer files. Number of user seats: Seats provided for users for reading or studying with or without equipment. Includes seats in carrels and in seminar and study rooms. Excludes classroom, lecture room or conference room seats that are never open to the public for general seating. Preservation/conservation: Conservation includes remedial and protective treatment (both mechanical and chemical) of bound volumes, manuscripts, maps, posters, works of art on paper, photographic materials, magnetic tapes and other library materials to restore them to usable condition and/or to extend their useful lives. The intent is to preserve information in its original form. Preservation involves the reproduction of materials (e.g., the copying of information onto the same, similar or new media). Preservation digitization includes only that digitization done to replace deteriorated items, guard against the loss of materials due to normal use, or permit greater use while guarding original materials from excessive use. Printed volume: A single physical unit of any printed, typewritten, handwritten, mimeographed or processed work, distinguished from other units by a separate binding, encasement, portfolio or other clear distinction, which has been cataloged, classified and made ready for use. This is typically the unit used to charge circulation transactions. Includes monographs and bound volumes of serials, including government documents. Reference transaction: An informational contact that involves the knowledge, use, recommendations, interpretation or instruction in the use of one or more information sources by a member of the library staff. The term includes information and referral service. Information sources include 1) print and non-print materials; 2) machine-readable databases (including computer-assisted instruction); 3) the Web; 4) the library's own catalogs and other holdings records; 5) other libraries and institutions through communication or referral; and 6) persons both inside and outside the library. When a staff member utilizes information gained from previous use of information sources to answer a question, it is reported as a reference transaction even if the source is not consulted again during this transaction. Directional transactions are NOT counted as reference transactions. Includes transactions in person; by phone/fax; and via , a library s Website or other network communication mechanisms designed to support digital reference. 16

RefWorks: A citation management package made available campus-wide in January Citation management software allows a user to organize and retrieve information such as citations for books, articles and Web sites, by interfacing with library databases as well as handentering data. Citation managers can also be used with word processing software to insert properly formatted footnotes or citations into papers and create properly formatted bibliographies. Serial: A publication in any medium issued in successive parts bearing numerical or chronological designations and intended to be continued indefinitely. Includes periodicals; newspapers; annuals (reports, yearbooks, etc.); the journals, memoirs, proceedings, transactions, etc. of societies; and numbered monographic series. Sound recordings: Material on which only sounds are stored (recorded) and that can be reproduced (played back) mechanically or electronically, or both. This includes audiocassettes, audiocartridges, audioreels, talking books, audio compact disks, wires and other sound recordings. Subtracted: Physical units that are withdrawn from CUL or transferred from one CUL library to another, including the Annex. Title: The designation of a separate bibliographic whole, whether issued in one or several volumes, reels, discs, slides or other parts. A book or serial title may be distinguished from other such titles by its unique International Standard Book or Serial Number. The term applies equally to print, audiovisual and other library materials. For unpublished works, it is the term used to designate a manuscript collection or an archival record series. When vertical files materials are counted, a file folder is considered a title. Withdrawn: Withdrawn physical units or titles are those that have been removed from library collections and for which catalog records have been removed or marked to indicate that the items are no longer in the collections.
