4 Reference Books ADULT FICTION AND NON-FICTION BOOKS POLICY All of the adult fiction and non-fiction collection is processed in relatively the same manner. However, there are certain special categories in the collection that have different and special procedures. These differences will be noted elsewhere. PROCESSING Barcode This is a 2 x 3/4 inch dumb barcode. Apply barcode to front cover of the book ½ from the spine and ½ from the bottom edge of the book. OCR label This is a 2 x 1/4 inch OCR number. Apply the OCR label to the upper left corner of the inside of the fly page ½ from the top and ½ from the spine. Numbers read from bottom to top. Property Stamp or Property Label The property stamp is a two-lined rubber stamp giving the imprint JOHNSON COUNTY LIBRARY, SHAWNEE MISSION, KANSAS or a single-lined stamp giving the imprint JOHNSON COUNTY LIBRARY. The property label replicates the rubber stamp and is printed with: Johnson County Library Shawnee Mission, Kansas All books are to be stamped in 2 places using the JCL property stamp. The first place using the two-lined JCL property stamp is on the top edge of the book centered. If the 2 lined property stamp (Johnson County Library - Shawnee Mission, KS) will not fit on the top then use the single line stamp that says Johnson County Library only. These are our current branches as of 2007: Central, Corinth, Oak Park, Cedar Roe, Lackman, Blue Valley, Gardner, DeSoto, Spring Hill, Shawnee, Leawood, Antioch, and Edgerton. The branch label uses a 14 point font for the name of one of the thirteen branches of Johnson County Library. You should be able to see at least 2 characters on a spine label. If the spine of the book is too thin to show the two characters, the spine label is then put on the top left-hand corner on the front cover of the book. The guideline for placement is ½ from the spine and ½ from the top of the book Mnemonic This is a 1 W x 3/8 H self-adhesive label with a two letter abbreviation of each of the branch location. They are as follows: CE, CO, OP, CR, LA, BV, GA, DS, SH, SE, LE, AN, ED Place the branch mnemonic sticker on the bottom edge of the spine label centered. Adjust placement of the mnemonic so that it does not cover any printed portion of the spine label and allows a ¼ space from the bottom of the book. This will give room for the protective label to properly adhere all around the spine/mnemonic combination. Protective Label This label comes in a variety of sizes. We use the 1 x 2, 2 x 3, and 2 x 4 inch sizes on hardcover books only. It prevents the spine and mnemonic labels from coming off the book and keeps them clean and legible. Completely cover the spine and mnemonic going past the labels just a bit for good adhesion and protection. Books that need to be jacketed do not need to have the protective label applied to the spine label. They will get a Mylar jacket covering that will do the same thing. On some books this protective label will not adhere, please proceed to the Tape instructions further along this manual.

Jacketing This Mylar jacket of 2 mil consistency comes with paper backing. We use the 8, 9, 10, 12, 14, 16 inch sizes. Books with a paper dust cover and not protected with a Mylar book jacket need to be covered with the appropriate sized Mylar jacket. Tape This is the 2 or 3 inch book tape by Scotch. On some books the protective label will not adhere, so you will need to tape over the spine label using 2-inch book tape. This is especially true of cloth books. Any paperback book will need the 3" tape to reinforce the entire spine from top to bottom. This will also cover the spine/mnemonic labels at the same time. Book Run This is the courier area lined with tubs for each of the branches and other areas of delivery. Sort books before placing into tubs for the couriers to take to the branches.

The first is being phased out due to unavailability. It is a flexible, self-adhesive (6x 6) plastic pocket with a clear back so that you can see the information under the pocket. The second is a 4 x 4 or 6 x 6, clear, corner pocket. Both are attached at the bottom of the book. See maps, for more directions. Tape This is the 2 or 3 inch book tape by Scotch. Maps This feature is mostly found in travel books. On the inside of the back cover detach the map at the perforation. Place a JCL Branch/Property label, on the front, at the very top of the map. You do not need to write the barcode number on this label. Attach a flexible, self-adhesive (6x 6) plastic pocket to the inside back cover at the very bottom of the cover. It will wrap over to the outside cover. When using a clear corner pocket, apply it to the bottom right of the back of the cover. The map goes into this pocket. The size of your map will determine the size of the corner pocket you use. Booklets, leaflets, patterns & etc. (loose stuff) Patterns usually come in a large envelope stuck to the back cover. Give the envelope a little reinforcement with glue to the back of the envelope or tape it down a little more securely. If one is not provided, apply a pocket or envelope to the inside back cover and carefully stuff the items into the pocket.
10 Reference Books ADULT FICTION AND NON-FICTION BOOKS WITH AUDIO VISUAL ACCESSORIES Policy This is a book containing DVD, CD, music CD, Diskette, CD-ROM Barcode This is a 2 x 3/4 inch dumb barcode. The bar coded label should be placed in the upper, left, corner next to the spine reading up. The guideline for placement is ½ from the spine and ½ from the top of the book Compact disc label This label has a blue background, a round gold disc on it and says Compact Disc. Place as many disc labels as the book contains discs next to the barcode. I.e. four discs = four labels. Cover the sticker/s with the appropriately sized label protector Warning Label This is an orange label stating responsibility of patron for diskette (3.5 floppy/flippy). Place orange label on the front cover of the book next to the barcode. Cover with a clear, spine label protector. We do not put this label on books that contain CD-ROM s. Disclaimer This red and white label is applied to any material containing audio visual material. It says: The Library assumes no responsibility for patron equipment problems occurring during the use of Library AV materials. JCL Branch /Property Label The JCL branch/property label is 3 x 5/16 inches and is printed with the following. First line: Johnson County Library; Second line: Central (or whichever branch is needed. See following list.) These are our current branches as of 2007: Central, Corinth, Oak Park, Cedar Roe, Lackman, Blue Valley, Gardner, DeSoto, Spring Hill, Shawnee, Leawood, Antioch, and Edgerton. 11 Reference Books Plastic Pocket 6 x 6, plastic, adhesive, containing double pockets CD-ROMS This pertains to circulating copies only. When a book comes with a CD-ROM, ONLY THE CIRCULATING COPIES retain the CD-ROM. Apply a round JCL branch/property label on each CD contained in the book. Write the OCR number on each round label using a black, Sharpie, ink pen. JCL does not use security measures at this time. Place the CD in a white protective paper pocket and place into plastic pocket. For books that do not have an existing pocket apply a new, self-adhesive (6 x 6 1/4 ) double pocket preferably on the inside of the back cover of the book. Apply a label with the letters CD in uppercase on the pocket. Attach a red and white disclaimer label above or below the pocket. Apply one blue and yellow CD label for each disc in the book, on the front cover next to the barcode and cover it/them with an appropriately sized clear, spine label protector. If there is more than two discs, apply a second plastic pocket on the front of the inside cover and duplicate you efforts with the remaining discs. CD-ROM AND WORKBOOK Handling will vary and will be determined on a case by case basis. Please consult with the Processing Leader when there is a question or suspicion that the materials will not be able to get processed as one item. Example: a text book came with a CD-Rom and a workbook. The CDROM was made to be used with the workbook and not the text book. So, the text book was processed to stand alone (with its own barcode etc). The CDROM was placed with the workbook in a large CD-Rom case and processed as a CDROM. The text would be labeled as Part 1 and the CDROM as Part 2 on the spine labels. This would allow each piece to be shelved next to the other (since Central branch interfiles their nonfiction) and would be searchable by patrons interested in the subject. When you do a title search both will end up in the list but the cataloger will give us more info when he is finished as to how it will appear in IBISTRO. Computer Diskettes This will happen very rarely as diskettes (3.5 floppy) are nearly obsolete. Apply a JCL branch/property label to the diskette being careful not to cover the title or other pertinent information. Write the OCR# across the bottom of the label. For diskettes use the 6x4 clear, plastic pockets without flap or a pocket nearest to this size applied preferably to the inside of the back cover of the book. The diskette goes into this pocket. Apply a red and white disclaimer label above or below the plastic pocket.

Only a limited number of copies will be designated Browsing for popular titles. So, take care to put the spine labels and book labels that say Browsing on the books noted as BROWSING. Remove notes before sending to branches.
