1 OPARCH (opinion) Journal of Architectural Education Manuscript Guidelines and Submission Protocols Prepared by: George Dodds, Executive Editor Updated by: Ellen Grimes, Executive Editor Designate Last Updated: 5 February 2010 Please review the manuscript guidelines and final submission protocols for oparch (opinion) manuscripts under consideration for publication in the Journal of Architectural Education. The Executive Editor may provide additional information as required. All manuscripts conditionally accepted for publication are not approved and slated for publication until notified by the Executive Editor or his/her agents. Manuscripts must comply with all guidelines, editorial revisions, and be tendered in accord with all submission protocols to be considered for Executive Editor approval and published in the JAE. 2 1. Manuscript lengths and image counts 1.1. Op Arch (opinion) Title: 20 words maximum Abstract: not required Length: 800 words Images: typically none. The author should consult with the Executive Editor if he or she intends to use figures or images. 2. Language and style 2.1. Text formatting Format all text as single-spaced. Use hard return at end of paragraph. Separate paragraphs with a single line space. Do not indent new paragraphs Use only a single space between sentences Use BOLD, not italics, for section titles. Do not indent section titles, nor use section breaks All quotations longer than 3 lines (in manuscript) must be set off and left-margin indented 1 inch from body text margin, without quotation marks Italicize titles of books and journals, and foreign words; do not underline Authors should use a font that is designed for reading (such as Times New Roman, Helvetica or Arial), sized at 10 or 12 points Figures All figure notations to appear at the end of each sentence located inside the punctuation for example, (Figure 1) All figures must have a caption, a figure credit, and be cited in the body text Authors should insert text for Captions and Figure Credits at the end of the body text, following the Acknowledgments (if any) Acknowledgments Acknowledgments (if any) must immediately follow the body text. Do not use endnotes for acknowledgments. Acknowledgments should be headed: Acknowledgments Biographies All author biographies for the Contributor s page must be written in the third person and limited to 75 words. Biography word count may be reduced during production as required Style Please note: the suggestions below are a list of some commonplace errors to avoid in scholarly writing. It is not a comprehensive list of the style conventions required for a manuscript submitted to the JAE. Please refer to the references provided at the end of this document for additional guidance All grammar, spelling, capitalization, and punctuation must be standard American English All punctuation must be WITHIN the quotation marks, not outside Do not include endnote citations in article titles or abstracts Delete as many passive voice sentences as possible. Use the active voice Authors are encouraged to use the first person. For example, authors ought not use the phrase this paper/article argues. The author is the active agent. Use we when referring to multiple manuscript authors. Otherwise, use the first person Keep sentences as short as possible; avoid run-on sentences Use gender-neutral language For dates, when applicable, use BCE and CE, not BC and AD. 2/10/11 page 2 of 2
3 3. Citations 3.1. All citations must be shown as endnotes. The JAE does not publish bibliographies We recommend the use of the Microsoft Word endnote function Use the most recent edition of The Chicago Manual of Style (CMS) as a style guide to endnotes. Authors may access the CMS online. (Please see link in the references section at the end of this document.) An online version permits relatively quick searches in contrast to the print version The on-line version, which is available for a 30 day free trial, is available here: The JAE prefers print-based sources. Use web-based sources (and web sites in general) only when necessary. Authors must follow the CMS endnote conventions for all electronic sources and include the date the source was accessed. The web address alone is insufficient Endnote citations are limited to one per sentence All endnote marks must appear at the end of the sentence, not in mid-sentence Endnote marks must be in Arabic numerals and placed outside the punctuation Endnotes should be limited to simple source citations. 4. Permissions 4.1. Authors are required to acquire permission for all images not of their own making that are copyright protected. Authors assume responsibility for all required permissions and fees related to the replication of copyrighted images. The JAE, ACSA, and Wiley/Blackwell are not liable for the reproduction of any images for which an author fails to acquire the necessary rights and privileges Image archives and other image copyright licensers often require the following information: approximately 4,000 copies of the JAE are printed and distributed free of charge to ACSA faculty at member schools; the ACSA is a 503c non-profit association; approximately 300 other copies provided via subscription to libraries, institutions, and individuals; images used as figures will appear not only in print, but also online via Wiley/Blackwell"s Interscience web site in perpetuity, accessed only by ACSA members or Interscience subscribers Authors are responsible for obtaining rights to quote passages in excess of 150 words. 5. Editorial process and revisions 5.1. The JAE editors do not provide line edits. The JAE strongly encourages all authors, particularly non-native English authors, to use a professional editor/proofreader before submitting a manuscript for review All authors must include complete and accurate contact information with their submission to the JAE Scholar One website The JAE and its agents must have access to authors during all stages of manuscript revision/article production. The author is responsible for providing an address at which he or she can be reached, including any information regarding travel dates and the best means of contacting the author during his or her travels All manuscripts conditionally accepted for publication are not approved and slated for publication until notified by the Executive Editor or his/her agents. 2/10/11 page 3 of 3
4 6. Required file types and sizes (Note: please prepare files appropriately prior to logging on to the manuscript management site.) 6.1. The following files are required for a complete submission: a title page, manuscript text, figures (if any), author biography, and copyright transfer agreement Title page (1 file) Contents: manuscript title, author name(s), institutional affiliation(s), address, telephone number, contact instructions (including travel contact information or other information necessary to maintain contact during the review and editorial process) File type: MS Word (.doc or.docx) Size: no more than one page Naming conventions: title_[author s last name]_jae.doc 6.3. Manuscript text (1 file) Contents: manuscript text, including abstract, captions page, endnotes, and acknowledgements File type: MS Word (.doc or.docx) Size: 800 words Naming conventions: text_[author s last name]_jae.doc 6.4. Figures (Typically, figures are not included in Oparch submissions.) Contents: figures, as referenced in the text Original image files unique images are recommended. If the figures are in color, the images must be submitted in two versions. One version should be in color, another version should be in black and white. Additional images may be considered if the manuscript is accepted for publication Resolution of original images Maximum size of individual image or figure files: 1.5 MB Monochrome (blackline/white background): 600 dpi, measuring a maximum of 10 inches on the long axis Grayscale: 300 dpi, measuring a maximum of 10 inches on the long axis Color images: 300 dpi, measuring a maximum of 10 inches on the long axis File types for original images Digital line drawings: EPS file All other images: TIFF Naming conventions for original images Color TIFF files: [author s last name]_figure[number]_color.tif Black and white TIFF files: [author s last name]_figure[number]_bw.tif EPS files: [author s last name]_figure[number].eps Preparing images for submission to the JAE Authors can submit figures as individual files, up to 4 files at a time, or compress figures into zip files (a data compression and archive format) prior to submitting their manuscripts. Using zip files minimizes the time required to upload information. There is no limit on the number of zip files, but only 4 zip files can be submitted at one time Instructions for formatting zip files Format the original files as described in step 6.4.2, above Prepare the zip archive files using compression and archiving software. Authors should consult with their tech support department to identify the most appropriate software for their computer systems Naming conventions for zip files Color: [author s last name]_figures_x-y_color.zip Black and white figures: [author s last name]_figures_x-y_bw.zip Maximum size of each zip file: from 4MB to 40MB depending on internet connection speed; see submission section of the ScholarOne website. We recommend that authors avoid dial-up connections when submitting files over 1MB Maximum number of images per zip file: Author biographies: 75 words maximum, MS Word (.doc or.docx) Copyright transfer agreement: download this file from (click on Instructions & Form tab in the Resources box; complete, sign, scan as a.pdf file, and upload). 2/10/11 page 4 of 4
5 7. Submission process 7.1. The JAE does not accept simultaneous submissions. Authors attest that their manuscript is not under consideration for publication elsewhere and that no part has been published previously (web-based or in hard copy), except where attribution is cited by use of quotation marks and/or endnotes. Contact the Executive Editor with any questions Go to the JAE manuscript management site, to submit manuscripts and associated files Authors must submit manuscripts through the website above. The editors will not accept manuscripts submitted by other means. If you have any questions regarding this policy, please contact the Executive Editor New users can register by clicking on the Register Here link in the New User? box on the log in page For help with the software, please see the User Tutorial in the Resources box on the log in page, or click on the Get Help Now link in the upper right hand corner of the log in page. The JAE editors will not provide technical assistance with the manuscript site. ScholarOne, the manager of the site, provides expert assistance 24 hours a day, seven days a week, and are far more effective in solving technical problems than the JAE editorial staff For questions about site content or submission procedures, please contact Kevin Mitchell, the Managing Editor Authors must complete all the information required as part of the submission process to have the manuscript considered for publication Author affiliations should be consistent with those used by the ACSA. If authors are full- or parttime academics and practitioners, they should cite the name of their school, not their practice Authors must submit the following before their manuscript will be considered for review: all author and manuscript information requested during the submission process title page document appropriately formatted, see section 6.2 above manuscript document appropriately formatted, see section 6.3 above all figures, if any, formatted for publication (the editors will need access to these images in order to make a thorough review), see section 6.4 above author biography, see section 6.5 above Wiley/Blackwell Copyright Agreement form, see section 6.6 above 2/10/11 page 5 of 5
