This document contains information that everyone associated with your production needs to know before you arrive on your performance day. The Festival Stage Managers are Andrew Dinsmore (lead), Gene Cassidy & Bill Korince. The Technical Advisors (lights and sound) are Kathleen Cassidy (lead) & Gary Byers. You must include this information in the program information that you send to Cathie Locke, Program and Promotions Coordinator.

2 WODL Festival 2015 House / Festival / Technical Rules Page 2 of 6 Owen Sound Little Theatre will reimburse you for the cost of the royalties for your performance at Festival. YOU MUST PAY THESE ROYALTIES IN ADVANCE OF YOUR PERFORMANCE. Please submit your receipt from the author or author s agent to the Festival Treasurer (Cathie Locke) before the end of the Festival week (March 21, 2015). Your group is responsible for acquiring permission for music used during the running time of the production. Where appropriate, the festival program should credit the music used. Professional members of the cast or crew If your production includes a member of a professional organization such as Canadian Actors Equity Association, this must be declared and included in the Festival program. Your group must have permission from the professional organization for this person to be included in this performance. Safety Any production requiring pyrotechnics must have a licensed pyrotechnic technician in charge of it, as required by law. Proof of licensing must be shown. All pyrotechnics must conform to Owen Sound Fire Department requirements. Arrangements must be made prior to show for inspection by the Fire Department. Notify Festival Technical Advisor, Kathleen Cassidy, as early as possible if you intend to use pyrotechnics. The entire Roxy Theatre is a NO SMOKING area. If there is smoking in your production, please contact the Festival Stage Manager to discuss how you will handle this. Live flame on stage is PROHIBITED. If there is a requirement to post a warning sign in the lobby about smoking, gun shots, strong language, nudity, strobe lighting, etc., contact Yvonne Korince, the Festival Chairperson, as soon as possible. Outside equipment If you plan to bring in additional technical equipment for your production, please contact Kathleen Cassidy, Technical Advisor, to ensure compatibility with the Roxy Theatre lighting and sound systems. The Festival Committee reserves the right to refuse permission to use such additional technical equipment if it is deemed to be unsuitable. Any additional technical equipment will be at the expense of the finalist group. If you need auditorium space If you need space on the auditorium floor to accommodate musicians or other performance/production crew, notify Festival Technical Advisor, Kathleen Cassidy immediately. We have put a HOLD on two rows of 3 seats each of removable seats. If we have not heard from you by Feb. 27 th, we will release the seats for sale. Things to do During Festival Week Submit your receipt for royalties, to Cathie Locke, the Festival Treasurer, before the end of the Festival week (March 21, 2015). There will be no exceptions to this deadline. Cathie can be found each day at The Roxy in the kitchen she is also the coordinator of the Hospitality team.

3 WODL Festival 2015 House / Festival / Technical Rules Page 3 of 6 Your Performance Day Arrival: The Load in door on 9 th Street East (stage left) opens at 7:30 am. 6 to 8 student volunteers will be available to assist with the load in. We have obtained permission from the City of Owen Sound for you to park your truck outside the Roxy Theatre with the nose facing in the wrong direction. Police Services will make themselves available if the driver is uncomfortable pulling into live traffic from the wrong direction. Truck parking is permitted without cost on 9 th Street East during the morning load in, up to 9:00 am, and during the post performance load out. There is a municipal parking lot behind the theatre for cast and crew. FOUR full day parking permits will be available for this lot. These parking permits will be given to you at the loading door at the time of your arrival. The fee for parking is $5.00 per day for those without a parking permit. Don t hesitate to ask the Festival Stage Manager for those things that you forgot to bring. Your production is being adjudicated from Load In to Load Out for the Best Coordinated Production award. The general criteria include working efficiently and safely, and having FUN!! Health & Safety There will be a brief safety orientation prior to set up. During the time your set is under construction, the stage area at The Roxy is a Construction Zone. Safety is PRIORITY #1 so all safety requirements are in force (including use of mandatory hard hats and safety boots). Hard hats will be supplied if you don t have your own. If your crew is performing work with a fall hazard of over 10 feet then your group is required to have at least one person qualified in Fall Arrest Training present during the set construction time on stage. All members of your group must conduct themselves with due regard to their personal safety as well as the safety of all other persons. Live flame on stage is PROHIBITED. The entire Roxy Theatre is a NO SMOKING area. Food & Beverages Light refreshments will be served for cast and crew at 9:30 am in the workroom on the second floor. A lunch will be served for cast and crew at approximately 12:30 pm in the workroom on the second floor. A light snack will be provided for the cast and crew at 6:00 pm. You can chose to eat it then or save it until after the performance or set strike. Contact information for various take out restaurants located near The Roxy will be available in the Makeup Room. Be sure to advise our Theatre Hospitality Co coordinator, Cathie Locke, ASAP of the numbers of cast/crew in your company and any special dietary restrictions as requested in our cover letter.

4 WODL Festival 2015 House / Festival / Technical Rules Page 4 of 6 Audience members are invited after each performance to the Encore Reception in The Roxy Lobby where complimentary snacks and a cash bar will be available. No food or drink (with the exception of water) is allowed in the auditorium. During performances, The Roxy is licensed for the lobby and auditorium only. No alcoholic beverages are allowed anywhere else in the building. Photographs We will have a photographer documenting the Festival, who will be on hand during set ups and festivities. Photos will NOT be taken during the actual performance. NEW: Provincial regulations require that, as part of your participation in WODL Festival 2015, each member of your production team must complete a Consent & Release form regarding photographs. A master copy of this form is included in the Finalist Group Information package. Please have each member sign & date a form and give them to the Festival Stage Manager upon your arrival. Advise us if there are any member(s) in your group who did NOT sign the form. Lobby Display You have access to a Bulletin Board in the front foyer of The Roxy for display purposes. This cork board is 8 ft wide by 4 ft high (260 cm wide by 130 cm high). NO TAPE OR NAILS are allowed on any walls in the building. If there is a requirement to post a WARNING SIGN about smoking, gun shots, strong language, nudity, strobe lighting, etc., please advise the Festival Chairperson, Yvonne Korince. Your Performance All cast members must remain backstage prior to the show, unless required by the production to enter through the auditorium. There is a set of stairs on the auditorium floor at far stage left for use by cast, if required during the performance. No ramps or stairs are allowed anywhere beyond the front of the stage. Your group is requested to ensure that debris, personal belongings and packing materials, etc. are removed from the auditorium by 6:00 pm to allow for cleaning. The stage, booth and backstage are still available from 6:00 pm to 7:30 pm. Cast & crew must enter and exit by the stage door in the foyer after 6:00 pm. If you need space on the auditorium floor to accommodate musicians or other performance/production crew, you must notify Festival Technical Advisor, Kathleen Cassidy before 27 th February. The house will open at 7:30 pm to the public at the consent of your Stage Manager and the performance will begin at 8:00 pm. Intermission(s) will be 20 minutes in length. There will be a 5 minute warning bell in the lobby prior to the start of the show and prior to the end of intermission to alert the audience to go to their seats. Announcements from the auditorium made before the performance are under the control of your Stage Manager, and must consist only of reminders about cell phones, pagers, watch alarms, flash photography, recording devices and candy wrappers. Stadium licensing will be in effect during Festival performances. That means patrons may bring alcoholic drinks into the auditorium only if they are in plastic glasses. Introductions and the public adjudication will begin immediately after the performance ends.

5 WODL Festival 2015 House / Festival / Technical Rules Page 5 of 6 After Your Performance Upon completion of the public adjudication and exit of the audience from the auditorium, the cast & crew will do the traditional parade through the lobby. After the parade, cast/crew returns immediately to the auditorium/stage to strike/load set, clean stage and backstage areas. It is expected that this is done as quickly and safely as possible. Student volunteers will be available to help with the load out. Once you ve loaded out, join your fellow thespians at the Days Inn Party (St. Edmunds) Room. BYOB & snacks. Private Adjudication Your private adjudication will follow the morning after your performance at 10:00 am at the Chatsworth Room, Days Inn. This adjudication will be open to the public who will be silent observers. General Information Our facilities are yours for the day but please avoid using the lobby or foyer except for dressing Front of House displays. A coat rack and boot tray are provided in the Green Room on the second floor. If you need to use a house telephone, check with the Festival Stage Manager. Be responsible for your personal / production belongings in all areas of the building. Owen Sound Little Theatre and/or the Festival Committee are not responsible for lost or stolen articles. 6 WODL Festival 2015 House / Festival / Technical Rules Page 6 of 6 Technical Information All technical specifications regarding lights, sound and stage are on the Roxy website at facilities/ Set Construction Screws may be used to secure sets to the stage. NO NAILS ARE ALLOWED. There is a set of stairs on the auditorium floor at far stage left for use by cast if required during the performance. No ramps or stairs are allowed anywhere beyond the front of the stage. No sets are allowed to project beyond the edge of the front of the stage. On Stage Equipment Available 2 headset intercom systems 3 large trestle ladders 2 small ladders Work lights Off Stage Equipment Available Ironing board and iron Steamer 2 costume racks Make up mirrors, stools and counter Props table and cupboard Comprehensive first aid kit Lighting & Sound No additional lighting dimming equipment is to be installed. No electrical connection except through the dimmer system or available on stage U ground outlets is allowed. No device may be connected to the dimmer systems (motors, audio systems, etc.) unless it is of the correct wattage and voltage. During all aspects of lighting installation, focusing, gelling, cabling, etc. your group must ensure that areas below the overhead location are clear of personnel. Gel installation is the responsibility of your group. All tools used while working on the catwalks must be tethered. All connectors to the dimmer system will be 20 amp 120 volt twist lock. Cabling runs will be laid neatly and should as far as possible not pose a trip problem. All instruments secured to the lighting grid will be safety chained and mechanically secured. An OSLT technician will be present in the booth for your rehearsal and performance. Our staff is there to assist you and to train your operators. Your crew will run the equipment themselves. You may bring your own lighting or other equipment with you from your home theatre, but it must be approved for use by our Technical Advisor, Kathleen Cassidy. At the end of your performance: All stage lighting shall be unplugged. Any lights that were moved should be returned to their original positions. All gels must be removed from lighting instruments. All audio cables and equipment must be returned to the audio cart in an orderly fashion.
