2 MONTHLY MESSAGE TO MY FELLOW TRAVELERS December it s the last month of the calendar year and a time for celebration. But it s also a time for reflection on the year just past and time to plan for the year ahead. The past year has seen many changes for our group. A lot of good friends have left the organization and new friends have joined. We have also made changes in how we do business. With the New Year, we will be making more changes. The ones that affect you are: The cancellation fee will now be $10 instead of the current $7.50. ALL Day Trips will require PAY IN FULL. We have been mostly doing this for the past year at the discretion of the planner. Now we are making it a rule for all planners. Overnight Trips will require a minimum deposit of $50 PLUS any nonrefundable amount (for tickets or prepaid expenses). This is instead of the current $25 minimum. Gift Certificates will be accepted as a down payment. In event of cancellation by the member, the Gift Certificate will NOT be returned. If any cash has been paid in as part of the deposit, the $10 fee will be deducted. If NO cash was deposited, the fee will be waived because the member is losing the Gift Certificate. If Tripsters cancels the trip, the certificate WILL be returned. Gift Certificates will now be denoted as expiring after 1 year. Gift Certificates will have the members name on it and cannot be used by anyone (except the spouse). They will be NON-TRANSFERABLE. Gift Certificates presented at our monthly membership meetings will be given out in $25 denominations instead of $50 because attendance has dropped to about per month. We still will give out 4 certificates. An update explaining our NEW refund and payment policy can be found on page four. It is worth cutting it out and keeping it handy I hope you all have a Happy Holiday, no matter what holiday you celebrate and - Remember our goal: Seniors helping Seniors have fun through travel. 3 IMPORTANT INFORMATION There is a $25 MINIMUM DEPOSIT per person (until January 2, 2018). For trips costing less than $50, the FULL AMOUNT is to be paid at the time of sign-up. Before submitting a deposit on a trip, please call the Tripsters Office to verify there is space available. This eliminates the need for us to return your check. All final trip payments are Due and Payable NINETY (90) DAYS prior to the trip departure. There may be exceptions. If a trip is sold out, please put your name on the interested list. DON T WAIT - IF YOU SNOOZE, YOU LOSE! SPECIAL REQUESTS Let the Office know when you sign up for a trip if you have any special requests, such as: * Handicap Room * Smoking Room * Refrigerator * Ground Floor * One Double Bed * Need a partner to share a room DOOR PRIZE POLICY Once a member wins a gift certificate, they cannot win for the NEXT three meetings. CANCELLATION POLICY BEGINNING 1/2/2018 IF YOU CANCEL ANY TRIP AT ANY TIME AND WE CAN IMMEDIATELY FILL YOUR PLACE FROM OUR STAND-BY LIST, we will charge you a $10 cancellation fee. If you made any payment with a gift certificate, it will NOT be returned to you. ===================================================================================== DAY TRIPS PAY IN FULL AT SIGN-UP: IF YOU CANCEL MORE THAN 30 DAYS OUT and WE CANNOT FILL YOUR PLACE, we will charge you a $10 cancellation fee (out of any cash you paid) PLUS ANY NON-REFUNDABLE DEPOSITS. Your room-mate, if any, will have to find a new room-mate or pay the SINGLE rate. If you made any payment with a gift certificate, it will NOT be returned to you. If you only paid by Gift Certificate, the cancellation fee will be waived. IF YOU CANCEL 30 DAYS OUT OR LESS and WE CANNOT FILL YOUR PLACE, any refund will depend upon funds returned to the SENIOR TRIPSTERS, INC., from hotels, restaurants, and other venues. We will charge you a minimum of a $10 cancellation fee PLUS ANY NON-REFUNDABLE DEPOSITS. If you had a room-mate, we will charge you for YOUR SHARE OF THE ROOM COSTS. If you made any payment with a gift certificate, it will NOT be returned to you. If you only paid by Gift Certificate, the cancellation fee will be waived. Remember that most hotels, buses, meals and admission tickets are paid for in advance and most venues will not make refunds. Buses make no allowances for empty seats. ===================================================================================== IF WE CANCEL A TRIP: The entire amount (including the non-refundable portion) will be refunded to the traveler. We WILL return any gift certificates used as payment. ===================================================================================== When cancelling a trip, FUNDS AND GIFT CERTIFICATES CANNOT BE TRANSFERRED FROM ONE TRIP TO ANOTHER. ===================================================================================== If a deposit is made on a trip with a TBA price, you have seven (7) working days to cancel that trip (without incurring a cancellation fee) once the actual price is announced. We WILL return any gift certificates used as payment. TOURS through a Travel Agent have their own specific deposit and refund policy which MUST be followed.
