T rent the gymnasium, the mst available timeslts are typically weekday evenings after 10pm and Saturdays and Sundays after 5pm. Gymnasium rentals: Unless specifically waived by the West End Cmmunity Centre Assciatin (WECCA), the renter agrees t prvide t the WECCA prf f tw millin dllars cmprehensive liability insurance cvering the activities f the renter. Such insurance shall name the City f Vancuver, its Bard f Parks & Recreatin, and the WECCA as additinal insurers and shall cntain a crss-liability clause. Hw far in advance can I bk? Yu can rent a rm up t a year in advance utside f regular facility hurs (weekdays after 10pm, Saturdays and Sundays after 5pm). Exceptin: The Multi-Purpse Rm can be bked up t a year in advance n Saturdays frm 2pm - 1am (typical wedding timeslt) and all day Sundays during July and August. SERVICES & EQUIPMENT Can I serve fd? Yes, yu can serve fd and persnal catering can be brught in. The cmmunity centre des nt prvide the fllwing: fd r beverage services, cffee urns, linens, place settings, cutlery, serving utensils, r kitchen items. The Multi-Purpse Rm is the nly rm with a small kitchen area (fridge, micrwave, stve, ven, dishwasher, duble sink). Cking is prhibited but grups are permitted t prepare and reheat fd. The Activity Rm, Arts & Crafts Rm, and Meeting Rm all have a small cunter space with a sink, but n designated kitchen area.

7 7 Can I serve alchl? Alchl may be served with a valid Special Occasin License. This license must be psted near the bar area at the event; visit fr mre infrmatin. All servers, whether paid r unpaid, are required t have either a Special Event Server Certificate ( r a Serving it Right Certificate ( What equipment is available? Varius tables and chairs are lcated in each f the rms (see pictures n pages 2-4). The tables and chairs cannt be mved between rms. Based n availability and rm capacity, we als have a pdium, flip chart stands (n paper), white bards, and AV equipment including a prjectr and prtable prjectr screen (apprximately 5 2 x 5 8 ). Mst f this equipment can be set up in any rm. All equipment is included in the rental price, except the prjectr ($25/day). Discuss yur equipment needs with the rental crdinatr befre bking. Prtable prjectr screen White bard & flip chart stand Wh is respnsible fr set-up and clean-up? Set-up and clean-up is the respnsibility f the rental grup. This includes all tables and chairs. A full clean-up includes: stacking all tables and chairs in their riginal psitins; sweeping, mpping, r vacuuming the flr; taking ut all garbage, recycling, and cmpst; and cleaning the kitchen r cunter area. Rental grups are permitted t decrate the rm, prvided the decratins dn t damage r mark any surface. N decratins can be hung frm the ceiling r light fixtures, and all decratins must be remved at the end f the rental. Please nte the ttal time bked must include time t set-up and clean-up. Fr large scial functins in ur Multi- Purpse Rm, there is an ptinal janitrial service available fr clean-up nly. Please see the additinal csts sectin fr full details. Can I hire a cmpany r cntractr t prvide a service at my event? (i.e. buncy castle, inflatables, entertainers, carnival games) Yes, but the cmpany r cntractr must have apprpriate Cmmercial General Liability insurance ensuring the City f Vancuver and its Bard r Parks & Recreatin and affiliated cmmunity centre assciatins and scieties, their fficials, fficers, emplyees, servants, and agents have been added as Additinal Insureds. 8 8 PAYMENT & CANCELLATION POLICY What methds f payment d yu accept? Yu may pay ver the phne with Visa, MasterCard, r American Express r in persn with the rental crdinatr by Visa, MasterCard, American Express, debit, cash, r cheque (if paying by cheque, allw 10 wrking days fr bank clearance prir t the rental). Cheques are t be made payable t the City f Vancuver. The rental is nt cnfirmed until full payment, including the damage depsit is received and the rental agreement is signed. Prices are subject t change withut ntice. When d I get my damage depsit back? Fllwing the cmpletin f the rental and the deductin f any applicable related csts, such as facility damage, extra clean-up, missing r damaged equipment, late leaving, excessive nise, false alarms, etc., the remaining damage depsit will either be returned by cheque thrugh the mail tw (2) weeks after the event date, r if payment was made by credit card, returned t the riginal credit card tw (2) weeks after the event date. What is the cancellatin plicy? Fr rentals happening during prime time mnths (May-Octber), cancellatin requests must be received in writing and require a minimum f ninety (90) days ntice t receive a refund f fees paid, less a $50.00 administratin fee. Cancellatin requests received within ninety (90) days f the rental will result in a frfeiture f the damage depsit. Fr rentals happening utside f the prime time mnths (Nvember-April), cancellatin requests must be received in writing and require a minimum f furteen (14) days ntice t receive a refund f fees paid, less a $50.00 administratin fee. ADDITIONAL INFORMATION Can I prmte my event using the Cal Harbur Cmmunity Centre name? Nt withut specific written permissin frm the Recreatin Supervisr. Prmtinal material may refer t the cmmunity centre as a rented cmmunity hall at 480 Brughtn Street. When can I gain access t the rm n the day f my event? Yu can gain access t the rm at the start time listed n yur rental agreement n exceptins. The ttal time bked must include time t set-up and clean-up. Is there free WiFi available in the Cmmunity Centre? Yes! T cnnect, make sure yur WiFi setting is turned n, then select #VanWiFi. Is there parking available? There is pay parking available in the parkade (EasyPark Lt 64) directly behind the cmmunity centre with 154 stalls. Access t the parkade is ff f Jervis St. between West Hastings and West Crdva. As f September 2017 the rates are: 6am-6pm, $3.50 per hur, $16.00 max 6pm- 6am, $3.50 per 90 mins, $8.00 max. The parkade is unattended and perated by EasyPark. What abut a lading zne? Cal Harbur Cmmunity Centre is a mdern facility in the heart f histrical Cal Harbur. Lcated alng Vancuver s seawall, we face nrth with the mst picturesque view. Enjy yur wedding as yu view the magnificent Nrth Shre Muntains, Pacific Ocean, Cal Harbur Marina, and Stanley Park as the backdrp. Weddings are typically held in ur Multi-Purpse Rm, which is the largest rm in the Cmmunity Centre. The rm has a standing capacity f 100 peple and a seating capacity f 80. The rm is apprximately 52 x 39 (feet) with hardwd flrs, a large pati, a tp f the line stere system, and a small kitchen. The Multi-Purpse Rm can be reserved up t a year in advance fr yur wedding r special event depending n the date and time. The typical timeslt fr weddings are Saturdays frm 2:00pm - 1:00am (this includes time t set-up). View Pati Rm Details abut the Multi-Purpse Rm: Tables and chairs are prvided with the rental. 15 rund tables (5 ft diameter), 10 rectangular tables (2.5x6 feet), and 2 card tables (3x3 feet) are available.
