2 Dear OAP Directors: Congratulations on advancing to the area contest! We are so pleased to be hosting your area contest at the Graham Memorial Auditorium in downtown Graham! This auditorium was built in 1929 and has recently undergone a $2.5 million renovation. We are proud to share it with you. Including the balcony, it seats about 750 people. Our community extends a warm welcome to you, your cast, and audience members. Last year we experienced an amazing Conference 4A Area Contest, and I expect this contest to be equally as wonderful. If I can be of assistance to you in any way, please do not hesitate to contact me. It is your contest, and within the UIL guidelines, I will make every effort to help you and your cast to have a positive experience and your best performance to date. Please me the name of your play ASAP and your telephone number, preferably a cell phone number. As soon as you fill out the Area Contest Entry Form, found on the Bi-District page at uiltexas.org/theatre, I will receive a MACHFORM and it to you to show that I have received it. Cody Contest Manager Conference 4A, Region I, Area Elm Street Graham, TX Cell/Text: CONTEST INFORMATION: Location of the Graham Memorial Auditorium: The auditorium is located at 628 Third Street, (corner of Third and Cherry Streets,) one block east of the downtown square. Elm Street (Hwy. 16) is the main north/south street, and Fourth Street (coming in from Breckenridge or Jacksboro) is the main east/west street. The loading dock is located on Cherry Street. Fee for the contest: The fee is $ per school to cover expenses for the auditorium rental, UIL set rental, three adjudicators, awards, and site crew. Please bring this check with you on the day of the contest. I must receive it before you rehearse. The check must be made out to me, Diane Cody, Contest Manager. This area contest does not have a sponsoring school, so that is the reason the checks are made to me. If I need to provide further information to your business manager to be added to your vendor list, please let me know. Below is an invoice. 4 Rehearsals: I would really like to have at least 3 rehearsals on Friday, April 8 th if at all possible, but I realize there is STAAR testing, so that may not be able to happen. I need each of you to contact me so that we can set your rehearsal time. If you would like to volunteer to rehearse on Wednesday, I will accommodate each school as much as I can. You will have one hour on stage, and that includes loading in and setting the stage. You will load in at the dock doors at the back of the auditorium on the Cherry Street side. I will a complete rehearsal list when it is set. Time of Contest: This will depend on whether we can rehearse any shows on Friday. Planning for some rehearsals on Friday, the directors meeting will be Saturday at 12:10 in the room to your left as you come in the front door of the auditorium from Third Street. The contest will begin at 1:00 with the first play starting setup at 1:00. The plays will run back to back. If we have to rehearse all six plays on Saturday morning, then these two events will move down one hour, and the first rehearsal will begin at 7:00 a.m. We do not allow entrance into the house after a play has begun. Please tell parents and friends to come at least 20 minutes prior to the projected time for your performance, and also please advise them to be quiet in the lobby of the auditorium. Performance Order: The order of plays was drawn by the contest manager on March 4, The district A, B, and C play are determined alphabetically by the play titles of the advancing shows. See contest book for details. Districts 5 and 6 represent Bi- District 2A, and Districts 7 and 8 represent Bi-District 2B. Order of Performance: 1. Bi-District 2A, Title B 2. Bi-District 2A, Title C 3. Bi-District 2B, Title B 4. Bi-District 2B, Title A 5. Bi-District 2A, Title A 6. Bi-District 2B, Title C Dressing Rooms: Each cast will have its own dressing room with a bathroom, mirrors, and places to hang costumes. No food or drink other than bottled water is allowed in the dressing rooms. There are two parks in town and a small area across the street from the auditorium where you can picnic. Please be sure to leave the dressing rooms as clean as possible. Put trash in the receptacles and please empty water bottles before putting them in the trash. Dressing rooms will be available before your rehearsal and at 8:00 the morning of the contest. Spike Tape: We will provide spike tape for each play. Light/Sound Booth: Light/Sound Booth: The light/sound booth is located in the balcony of the auditorium. As a result, the balcony is considered back stage, and no one except the contest technical director and the school s lighting and sound persons for the play being performed may be in the balcony. However, directors may go to the booth during rehearsal. There are headsets available on each side of the stage that can communicate with the light/sound booth. No additional headsets are allowed. Additional lighting and sound information is provided below. Personal flash drives or discs for lighting are not allowed.
5 UIL Unit Set: We provide a complete UIL Unit Set including one door and one window. If you need French doors, you will need to bring them with you. We have stage weights, but if you want to use sand bags, you may bring them as long as they do not leak. Each play will have an area at the back of the stage to store additional set pieces and props. Because of where we have to store the props, we are unable to use our cyclorama. Site Visit: Once I have been notified of the competing schools for this contest, I will you concerning an opportunity to visit the Graham Memorial Auditorium prior to the contest. This is not for any purpose other than allowing you to see the stage, dressing rooms, and light/sound equipment. Arrival: Please arrive at least 20 minutes ahead of your scheduled rehearsal time. Text me when you arrive and one of us will greet you. Pull your bus and/or truck into the loading dock area and wait. If you are an hour early, please do not block or knock on the loading dock door. We will open the loading dock doors when the previous rehearsal is finished. Buses may park on the street. Have your check and paperwork ready to give me at that time. Please bring a copy of any special permission you may have received, including s from Luis Munoz. Your light and sound crew may accompany the technical director to the booth as soon as I start your time. You will have assigned lighting cue numbers if you choose to save your cures in the system. Your light tech may free hand the lights if you desire. Bring these items to show before your rehearsal: 1. Your school check payable to Diane Cody for $ Proof of royalty payment for the performance the day of the contest. 3. Proof of Publisher permission or author permission to perform the play. 4. UIL permission to produce a play not on the approved lists, if applicable. 5. UIL approval for set additions to basic set. 6. Any additional special permission(s) you may have received from the author, publisher, or UIL. 7. Official script with cutting and music cues marked to be used as the integrity script. 8. A copy of you music log. The official music log is found at uiltexas.org/theatre/resources and forms. 9. An administrator signed Standards Compliance Form, which includes a statement that you have copyright permission to use published music. 10. A cast substitution form or letter signed by an administrator if you have changes since did your online entry. 11. Your patience! Contest Officials: We provide a contest manager, an assistant contest manager/stage manager/timer, two additional timers, a technical director/timer, integrity script reader and the city s manager of the auditorium all of whom are adults. Admission Charge: There will be a $5.00 admission charge for all non-participating patrons.
