1 Job Pack: Film Programme Coordinator Salary: 22,000-24,000 Hours: Full time (35 hours per week). Flexible working is critical to the role. Responsible to: Director of Film Programming Holiday: 30 days per annum including bank holidays Job Overview We are seeking a dynamic, enthusiastic and highly organised professional to support the Tyneside Cinema s film programme. Working closely with the Director of Film Programming and collaboratively across the organisation, the successful applicant will ensure the effective management of a dynamic, distinctive film line up - consisting of the best in independent first run releases and a host of original programming, from repertory cinema to special live events and festivals. The Film Programme Coordinator will also take the lead on some of Tyneside Cinema s key equality, diversity and inclusion strands, including Dementia Friendly and Access Cinema. About Tyneside Cinema Tyneside Cinema occupies a beautiful, art-deco, Grade II listed building in the heart of Newcastle. Built by Dixon Scott, great uncle of film directors Sir Ridley and Tony Scott, it opened in 1937 as a Newsreel Theatre. It is the only original Newsreel Theatre in the UK still operating as a full time cinema. The last decade has seen the Cinema sensitively restored and expanded to become a 4 screen cinema seating 510 people, with several meeting/workshop spaces and three barcafes. Tyneside Cinema welcomes 500,000 visitors each year, with an annual cinema audience of 190,000, making it one of the largest, most successful independent cultural cinemas in the UK. It also has thriving artist moving image and Learning & Participation programmes; is committed to the creative development of young people through the making and watching of films; and is a key participator in the Arts Council England/Channel 4 partnership project Random Acts. The Programme Coordinator will be an integral part of this exciting journey. Job Role The successful applicant will manage, administer and organise the delivery of the Tyneside Cinema s film programme, working in a busy, deadline-driven environment and managing a significant volume of screenings and events. Balancing organisational, commercial and cultural imperatives, the role will require the ability to work both long and short term; developing the in-house systems that help manage, deliver and monitor the film programme and its performance, while also focusing on immediate tasks like cinema scheduling and the roll out of screenings, Q&As, special events and festivals. 3 A role for someone with both creative imagination and organisational, managerial acumen, the position will comprise of: 1. Programme delivery: - To manage and oversee the smooth and professional delivery of the Cinema s film programme, from regular screenings to special live events, Q&As, festivals and live broadcasts - Making all appropriate arrangements for screenings and events, including confirming guests; booking travel; confirming running orders; welcoming and hosting guests; and ensuring that relevant departments (customer service, box office, events, technical) are properly briefed - To effectively communicate the work of film programme to all levels of the organisation, from frontline staff to senior management, keeping colleagues and staff up to date and engaged - To develop and maintain relationships with various partner organisations, film distributors, industry colleagues and other stakeholders who contribute to the Cinema s film programme - Producing events and programme strands as required, working closely with the operations and events teams - Ensuring film programme meet its internal and external deadlines (confirming screenings and seasons; print; funding applications; reporting, etc) - Supporting and working alongside the Director of Film Programming as required, including deputising at screenings and events 2. Supporting the development of a distinctive, dynamic film programme: - Leading on the development of programme strands including (but not limited to) Silver Screen, Bringing in Baby, Access Cinema, Dementia Friendly Cinema, Family Films, and Newsreels, collaborating closely with the Director of Film Programming to meet the cinema s ambition to host a film programme unrivalled in its accessibility - To continuously improve the way the film programme is delivered, ensuring excellent standards of presentation, event management, audience experience, and improvements to the way we work internally - Collaborating with colleagues in artist film and Learning & Participation to create opportunities for the creative crossover of programmes - Developing/managing local and national partnerships and key relationships, especially in the distribution and exhibition sectors - Representing the cinema at conferences and industry events Film Programme Coordinator Job Pack, February

4 - To work closely with the Director of Film Programme on the development of original programmes; including seasons, festivals, and larger programme strands focused on the major environmental and societal issues of today - Engagement with the film exhibition/industry landscape, and a commitment to continuous professional improvement and excellent customer service, which will in turn drive improvements at the Cinema - Helping to develop a broad audience base at Tyneside Cinema, contributing to equality, diversity and inclusion 3. Administration, scheduling, reporting and data: - To schedule all film programme screenings and events - Responsibility for putting films and events on sale via Vista (Tyneside Cinema s ticketing system) - To work closely with the Cinema s Director of Film Programming and other colleagues on the weekly holdover, and to manage the weekly holdover in the Director of Film Programming s absence, as required - Monitoring film performance, and ensuring all screenings are scheduled in the correct screens/times to maximise performance - Producing high quality copy for marketing materials for film programme - Working closely with the Cinema s Sales & Data/Box Office Managers, and the Director of Film Programming, to analyse, review and improve performance - To liaise with film distributors, sales agents and others to confirm film bookings, terms and schedules - To oversee all film transport, ensuring screening materials arrive in good time - Providing clear and accurate information to other departments, including customer service, box office, technical and events teams, so that all screenings and events can be delivered as planned - Monitoring budgets; keeping records of programme costs; and designing and developing processes to track financial and non-financial KPIs as required, working closely with the finance team and others - Carrying out and presenting research, especially in the areas of audience and industry data analysis - Preparing detailed reports for the Cinema s stakeholders, particularly funders and partners such as BFI and Europa Cinemas - Achieving these tasks with due consideration for the environment - Any other duties as reasonably required Film Programme Coordinator Job Pack, February

5 Personal Specification Essential Educated to degree level in a relevant subject area, or with evidence of ongoing professional development At least 2 years experience in Cinema exhibition, festivals, film distribution, or other relevant professional environment An understanding of current film policy and the independent film/film exhibition sector Demonstrable organisational, administrative and project management experience, with excellent attention to detail (evidence of this work will need to be provided at interview) Demonstrable ability to contribute towards creative decision making, including the creation of original programmes Experience in developing and maintaining partner and stakeholder relationships (with the likes of funders, public bodies, distributors/film industry organisations) Excellent copywriting skills, and experience in producing written materials, as well as a strong, diplomatic, professional communication style A commitment to growing and diversifying audiences, and to improving access, opportunity and inclusion across all film programmes An ability to self-manage and work to often competing deadlines A proactive, communicative and adaptable working style, with an ability to juggle both short and long-term objectives during busy, deadline-driven periods A passion for a wide range of cinema, encompassing world cinema, documentary/social issues filmmaking, and artists moving image work Understanding of and experience in coordinating print transport A knowledge of film formats, rights clearances and technical presentation An ability to embrace and drive changes that will improve the work of the organisation Confidence with public speaking Event management experience An ability to represent Film Programme, and the Cinema at large, both internally and externally Proficient in Office software (especially Excel and Outlook), and a confident user of social media, CMS and other digital platforms Some experience working with budgets A keen collaborator and team player Ability to work evenings and weekends Film Programme Coordinator Job Pack, February
