2 Chamber Boardroom Rental Details Conveniently located downtown at 615 Victoria Street, our boardroom is a private, bright and open space with large windows and street level access. It is the perfect spot for a community meeting, a small conference, or business meeting. Impress your clients and show your professionalism by meeting at your chamber. The chamber boardroom is available for rent during chamber office hours (Monday to Friday, 9AM 5PM) evenings and weekends, though some amenities and options are not available for after hours rentals. The boardroom can be booked on hourly, half-day and full-day rates. Members receive a discounted rate. DETAILS Total guest capacity Subject to room layout. Maximum capacity is 30 guests. If 3 consecutive rentals are booked within 6 months, a 10% discount off the total rental charges is offered; for 4 or more consecutive rentals within 6 months, a 15% discount is offered. Your card will only be charged in the event that you cancel your booking less than 24 hours prior to the start time, if the boardroom key is not returned, or should any chamber property incur damage during the rental (see terms & conditions following for details). 4 Weekend/After Hours Boardroom Rental Terms & Conditions Confirmation Bookings are not confirmed or guaranteed until we receive a signed Boardroom Contract. You will receive confirmation, for your booking once the contract has been received. Completed contracts can be sent to the chamber office in any of the following ways: mail@kamloopschamber.ca Fax Delivered or mailed to 615 Victoria Street, Kamloops BC, V2C 2B3 Cancellation Policy If the booking is cancelled 24 hours or more prior to the date of the booking, no payment will be required. If the booking is cancelled less than 24 hours prior to the booking date, the booking fee will be charged to the credit card given. Availability Boardroom bookings are available on a first-come, first-served basis. All guests must depart the room at or before the indicated end time stated in the contract. Space for the boardroom is booked only for the times indicated. In the case of extenuating or unforeseen circumstances, the Kamloops Chamber of Commerce reserves the right to cancel the boardroom booking. Should a cancellation occur by the Kamloops Chamber of Commerce, you will not be charged for the booking. The Kamloops Chamber of Commerce reserves the right to refuse rental of the boardroom at their discretion. Please note the Kamloops Chamber of Commerce cannot book any outside groups hosting events of a political a nature. Keys Renters are provided with one access key prior to the booking date. Keys must be returned by next business day following the rental date to the chamber office, between the hours of 9am and 5pm, Monday to Friday, excluding holidays. For keys not returned, the re-keying of the affected doors and replacement keys will be charged to the credit card provided.

The boardroom premises are alarmed outside of all office hours.

The alarm code and alarm instructions will be given to the renter once the rental contract has been signed and given to the chamber office.

All boardroom rental rates and beverages are subject to 5% GST.

Should any of the aforementioned items retain any damage during the time of the rental, leaving the said items in a condition they were not rented in, the credit card provided

5 The boardroom premises are alarmed outside of all office hours. Renters are responsible for ensuring to disarm the office upon arrival and set the alarm upon exiting the building at the completion of their rental. The alarm code and alarm instructions will be given to the renter once the rental contract has been signed and given to the chamber office. Payment of the balance owing for the rental must be paid in full within 30 days from the rental completion date. Cheques are to be made out to the Kamloops Chamber of Commerce. All boardroom rental rates and beverages are subject to 5% GST. Rental of the boardroom includes the following: conference room tables, chairs, television, fridge, and kitchen area. Should any of the aforementioned items retain any damage during the time of the rental, leaving the said items in a condition they were not rented in, the credit card provided will be charged for the professional cleaning and/or servicing, or full replacement value of the damaged item should cleaning and/or servicing not suffice. No tape or pins may be used on the walls. No open flame, confetti or rice may be used in the boardroom. Guide dogs only. Rental access is for the boardroom area only. All other areas are prohibited.
