3 CIB 3067 Call Accounting System (CAS) Model 100 (61370) Introduction When connected to a printer and the Station Message Detail Recording (SMDR) Module in your Model 1030 or 3070 control unit, the Call Accounting System (CAS) Model 100 (Figure 1) calculates the cost of calls made to outside numbers, stores the cost information, and generates chronological and summary reports. CAS microprocessor CAS custom cartridge Power supply Figure 1 Call Accounting System (CAS) Model 100 After each incoming or outgoing call is completed, a call record is printed on the chronological report (Figure 2). Each call record includes the date and time of each call, its duration in minutes, the extension, and line number on which the call was made. If the call is outgoing, the call record also includes the cost of the call, the number dialed, and a two-character location abbreviation for the state to which the call was made. If an account code is entered when a call is made, it is printed on the chronological report. Account codes are helpful for billing customers and allocating telephone costs to different departments in your business. 2

There are four summary reports produced: Summary of Calls by Hour of the Day, Summary of Calls by Line Number, Summary of Calls by Extension Number, and Summary of Calls by Account Number. 5 Installation The CAS comes with a custom cartridge which contains the costing tables that are used to calculate the cost of calls made to outside numbers. You will need the following equipment, which you ordered at the same time as your CAS, for installation: 14-foot (4-pair) modular cord 355AF (4-pair to RS232 serial data) adapter The CAS may be installed 14 feet from the control unit using a 14-foot modular cord or up to 1,000 feet from the control unit following the voice terminal wiring plan in your system s installation guide. NOTE: Before installing the CAS, be sure that a SMDR Module is installed in slot 5 of your control unit. Also make sure that the SMDR options have been administered according to the instructions in your administration manual s section titled "Administering SMDR Options." Choose a location for your CAS following the guidelines below: The distance between the CAS and a 3-prong outlet must be less than five feet. The 3-prong outlet must not be controlled by a wall switch. The distance between the control unit and the CAS should be no more than 1,000 feet. If you are installing the CAS within 14 feet of the control unit, plug one end of a 14-foot modular cord into the modular jack on the front of the SMDR Module (Figure 4). Proceed to Step 4 below. 4

If you are installing the CAS more than 14 feet from the control unit, follow the instructions below: Install wiring from the SMDR Module in the control unit to the location of the CAS in the same manner that you installed it for your voice terminals. Refer to the installation guide you received with your communications system. Plug the loose end of the 4-pair modular jumper cord (not provided) from the jack field into the jack on the front of the SMDR Module (Figure 5). Plug one end of a 14-foot modular cord into the modular wall jack. Continue to Step 4 below. 5

Connect the female connector on the 355AF adapter to the 25-pin male connector labeled SMDR on the back of the CAS (Figure 6). Tighten the screws. 6

Tighten the screws. NOTE: Make sure that your printer's baud rate is set at If you are not able to adjust your printer s baud rate to 1200, refer to the section of this document titled "Changing the Baud Rate of the CAS s Output." Plug the CAS's power supply into a 3-prong power outlet that is not controlled by a wall switch. The green light labeled Power goes on. Insert your custom cartridge into the cartridge slot on the front of the CAS (Figure 7). Push the cartridge slowly and steadily until it is firmly in place. The red light labeled Ready goes on. If your printer s ac power cord is plugged in and its power switch is set to the on position, a system diagnostics message is printed. If a system diagnostics message is not printed and all the conditions listed above have been met, refer to this document s section titled Troubleshooting Procedures. 7

The following is a list of system options, their definitions, value ranges, and preset values. Refer to this list to determine if the preset values of the system options meet the needs of your business. If you need to change one or more of the values to meet the unique needs of your business, follow the instructions below the list; otherwise, continue to the next section titled "Testing Procedures." 10 SETTING SYSTEM OPTIONS WARNING: Before setting system options, unplug the CAS's ac power cord from its outlet Turn the CAS upside down and remove the four screws from each corner and set them aside. Turn the CAS right side up and lift the cover off. Position the CAS so that the cartridge and/or cartridge slot is on the right side (Figure 8). Follow the instructions below if it is necessary to change system options. PERCENTAGE MARKUP Switch Box 1 (Figure 9) is used to set the Percentage Markup and is divided into two sides. Side A represents the first digit of the percentage markup and Side B represents the second digit. In order for you to determine which switches to set, follow the instructions below. 9

NOTE: If the percentage you are setting contains a zero (0), it is not necessary to set any switches. All switches on the side of the switch box containing the zero should be in the up position Example (25%) 2 5% First ( Digit) ( Second Digit ) ( First Digit) ( Second Digit ) 2. Locate the first digit of the percentage you want to set on the table below. 12 4. Using the table below, locate the second digit of the percentage you want to set. Repeat your answers from questions 3 and 5 here. Slide the numbered switches that you marked in Step 6 down on Switch Box 1. All other switches should be in the up position Side A Side B Side A Side B If you want to set other system options, continue following the instructions below. Otherwise, skip to the section titled "Replacing the CAS s Cover." LINE SPACING Switch Box 2 (Figure 10) is used to set line spacing, suppress records for incoming calls, local calls, and calls without account numbers. The switch box is divided into two sides. Side A is used to adjust the number of blank Iines between call records. Side B is used to set the remaining system options. 13 Locate the number of blank lines that you want to leave between call records on the table below. NOTE: If you do not want any blank lines between call records, it is not necessary to set any switches. All switches on Side A of Switch Box 2 should be in the up position. Slide these switch numbers down on Side A of Switch Box 2 (Figure 10). Examples To set 3 blank lines between call records, slide the switches numbered 1 and 2 down on Side A of Switch Box 2. To set 4 blank lines between call records, slide the switch numbered 3 down on Side A of Switch Box 2. If you want to set other system options, continue following the instructions below. Otherwise, skip to the section titled "Replacing the CAS s Cover." 12

14 SUPPRESSING RECORDS FOR INCOMING CALLS, LOCAL CALLS, AND CALLS WITHOUT ACCOUNT NUMBERS Side B of Switch Box 2 (Figure 11) is used to suppress the printing of records for incoming calls, local calls, and calls without account numbers on the chronological report. Even though local call records and calls without account numbers are suppressed from the chronological report, information about these calls will be included in the summary reports. Follow the instructions below to set these system options. Side A Side B Switch box Figure 11 Setting the Remaining System Options 1. Locate the system option(s) you want to set on the table below. Slide the switch number upon Side B of Switch Box 2 for the option(s) to be suppressed (Figure 11). Example To suppress records for incoming calls, slide switch number 6 up on Side B of Switch Box 2. CHANGING THE BAUD RATE OF THE CAS S OUTPUT The data transmission speed (baud rate) of the CAS s output is preset to 1200 bits per second. If your printer s baud rate is not set to and you are unable to change its baud rate to 1200, you will have to change the CAS s output baud rate to the same speed as your printer s baud rate. Follow the instructions below to change the baud rate of the CAS s output by setting Switch Box 3 (Figure 12). NOTE: Switch numbers 5, 6, and 7 are used when adjusting the baud rate. If you accidentally move one of the other switches (1 through 4) in Switch Box 3, refer to Figure 12 for their proper settings. 13

15 Switch box Figure Baud Rate Switch Settings 1. Remove the CAS s cover by following Steps 1 through 5 in the section of this document titled Setting System Options. 2. To change the baud rate to 300, slide switch number 5 up and switch number 7 down (switch number 6 remains down) on Switch Box To change the baud rate to 600, slide switch number 6 up and switch number 7 down (switch number 5 remains down) on Switch Box Replace the CAS's cover following the instructions in the section below. REPLACING THE CAS s COVER 1. Position the base of the CAS so its front is facing you. 2. Hold the cover so that it is right side up and the ventilation slots are at the back of the unit (Figure 13). 16 Align the cover s grooves with the unit s front and back plates. Push down on the cover until it is securely in place. Turn the CAS upside down and insert the screws, that you previously set aside, into the four screw holes. Tighten the screws. Turn the CAS right side up. Plug its power supply into a 3-prong ac power outlet. Testing Procedures Now that your CAS is installed, you need to test it to make sure that it is operating properly. The following tests will help you determine if you have installed your CAS correctly. If these tests reveal any problems, refer to the section titled "Troubleshooting Tables." SYSTEM DIAGNOSTICS MESSAGE The system diagnostics message contains information that will help you verify system options that you may have set. Make sure that your printer has been installed and is properly functioning according to its manufacturer s instructions. Refer to the manual supplied with your printer. 2. Make sure that the printer's ac power cord is plugged in and that its power switch is set to the on position. If your printer has a ready button, make sure it is on. 3. Remove and reinsert the cartridge into the CAS's catridge slot. The red light labeled Ready goes off and then on. A system diagnostics message is printed. 4. Verify each system option that you may have set (Figure 14). If a system diagnostics message is not printed, refer to the section titled Troubleshooting Tables. 15

17 A system diagnostics message is also printed after power is restored following a power Ioss (brown out, black out, or a drop in voltage). In these instances, this message indicates loss of memory in the CAS. Call records printed prior to the power Ioss are not included in the summary reports. CALL RECORD VERIFICATION To verify that your CAS is receiving information from your communications system and producing call records (Figure 15), follow the steps Iisted below. 08: NJ 001 $ Figure 15 Telephone Call Record 1. Place an outside call of at least one minute in duration. 2. Hang up your handset. A telephone call record of your call is printed. If any other telephone calls are completed during this procedure, additional telephone call records appear on the printout. If no call record appears, skip to this document s section titled "Troubleshooting Procedures." 16

18 Reports The CAS produces chronological and summary reports which provide information about the telephone call activity in your business. The reports are produced automatically and contain details about incoming calls and calls made to outside numbers. By setting system options it is possible to suppress records of incoming calls, calls made to local numbers, and calls without account numbers from appearing on the chronological report. If it is necessary for you to set system options and you have not already done so, refer to the section of this document titled "System Options." NOTES: Your communications system allows you to enter account numbers up to 16 digits in length when a call is made. Only the first 9 digits of each account number is printed on the chronological report and summary reports. The CAS calculates the cost of all telephone calls made to outside numbers according to Direct Distance Dialing (DDD) rates. Calls made at DDD rates cost slightly more than calls made at message unit rates. If your local calls are charged to you at message unit rates by your telephone company, the reports produced by the CAS will contain slightly inflated cost information. CHRONOLOGICAL REPORT The Chronological Report (Figure 16) is a list of all incoming and outgoing call records. Each call record is printed at the completion of the call. 19 Each call record includes a two-character location abbreviation for the state to which a call is made. These state abbreviations correspond to the state abbreviations used by the United States Post Office. The following table lists the abbreviations which are used in addition to the state abbreviations. After the last summary report is printed, call records received while the summary reports were printing are listed on the chronological report. The following are samples of the summary reports. 22 Troubleshooting Tables Refer to the following table for solutions to possible problems you may encounter. The problem may be a user error, installation problem or faulty component. You should be able to correct the problem on the spot without returning equipment for maintenance exchange. If you cannot correct the problem, contact your equipment supplier. Symptom: A system diagnostics message is not printed. Possible Cause 1. There is no ac power. 2. The ac outlet is defective. 3. The printer connected to the CAS is not installed properly. 4. Connection between the CAS and the printer is faulty. Recommended Action Make sure the CAS or printer is not connected to an outlet controlled by a switch. Check the connections between the CAS and its ac power outlet and between the printer and its ac power outlet. Test the outlet by plugging in a lamp or radio. Test the outlet by plugging in a lamp or radio. Refer to the manufacturer's instructions for installation directions. If your printer has a ready button, make sure that it is on. Make sure the wiring between the CAS and the printer is not damaged. Make sure the connections are secure and that the screws on the connector are tightly fastened. Symptom: A system diagnostics message prints out in the middle of a chronological or summary report. Possible Cause Recommended Action There was a power loss (brown out, black out or drop in voltage). None. Call records printed prior to the power loss are not included in summary reports because of memory loss in the CAS. 21

Maintenance Information UPDATED CUSTOM CARTRIDGES The CAS does not require a special maintenance program. However, the tariff rates contained in the software of your custom cartridge are subject to change by the Federal Communications Commission (FCC). As the tariff rates that are charged to you by your telephone company change, updated custom cartridges containing the new tariff rate information may be ordered. Refer to the following section for ordering information. ORDERING INFORMATION Customized cartridges (Order Number 31671) for the CAS containing updated tariff rates are orderable by calling the AT&T National Sales Part Center s toll-free number, PART. 22

24 WARRANTY INFORMATION Other Important Information AT&T warrants that this product will be free from defects in material and workmanship on the date of your purchase, and that it will repair or replace, at its option, without charge for parts or labor, the product if it fails to work, provided that the defect is reported to AT&T within one year of your purchase. If AT&T determines that any defective product cannot be replaced, it may refund your purchase price. Replacement parts or products may be new or equivalent to new in performance, and will be provided on an exchange basis. You will be responsible for delivering a defective product to a designated repair location. For information on repair procedures, call your authorized dealer. The warranties provided in this section do not cover damages, defects, malfunctions or product failures caused by: Failure to follow AT&T s installation, operation or maintenance instructions. Modification of the product. Abuse, misuse or negligent acts by persons other than AT&T. Power failures or surges, fire, flood, accident, actions of third parties and other events outside AT&T s control. Except as specifically made in this agreement, AT&T and its affiliated subcontractors and agents make no warranties, expressed or implied, and specifically disclaim any warranty of merchantability or fitness for a particular purpose. In no event will AT&T or its dealer be liable for any claims, suits, liabilities, damages, costs or expenses in excess of $50, regardless of the form of action, whether in contract, tort (including negligence) and strict liability or otherwise, and whether or not foreseeable, except for direct damages for personal injury (including death). In no event will AT&Tor its dealer by liable for indirect, special reliance, incidental or consequential loss or damage arising out of the subject matter of this agreement.
