1 Pointers when leading a Zoom Online Meeting Lighting Framing Webcam position Moderation using Zoom Application

2 Lighting. Make sure that your light source is in front or you. Notice Marvin s light, it is above and behind him, so the books behind him are lighted, and his picture is dim. Tips: If you are on a laptop, face the window (you are facing the window). If on a desktop, close the blinds or curtains. Make sure there are no mirrors at your background that may cause reflections. Try placing a small lamp in front of you if your picture is too dim.

3 Framing Framing is the process where you fit the object (yourself in our case) inside the video or photo. Observe how everyone on our LZ are differently framed, and how it affects your communication with your participants.

4 Good framing Mike and Micki sframing are great. There are no big space above their head. Their shoulders and part of the chest are showing. They are on the center of the screen.

5 Webcam position. If you are using an external webcam, place it on top or below your monitor. This will give the impression that you are looking at your participants. Avoid placing your webcam on the side or away from your monitor. Example on the image below. Marvin s webcam is placed on a stand on the side of the monitor. When he is looking at the Zoom Video screen, he is not looking at the webcam, and gives the impression that he is busy doing something else and not listening.

6 Moderating Zoom -All Participants Move your mouse at the bottom of the Zoom Video Screen and click on the Participant button. On the Participants window, you can: Mute All Mutes the audio of the participants all at the same time. Good if there are echoes, or noises and your participants are not muting their mics. All muted mics will remain muted. Unmute All Unmutes everyone s audio. Lock Screen Share activate to avoid participants from sharing their screen that can cause distractions for all participants. Mute on Entry Activate this to automatically mute those who joins/connect to your Zoom session. Place Enter/Exit Chime when activated, will play a chime sound to all participants whenever someone joins or leave the Zoom session. This can be distracting so keep it disabled. Lock Meeting if activated, will prevent new people from joining your Zoom session. Only those who are already on the call can participate. If someone drops off the session and the meeting is locked, he/she will not be able to reconnect unless the meeting is unlocked. So keep this disabled.

7 Individual Participant You can click on any participant s video and a moderation menu will pop out. Mute / Unmute Audio Mute or Unmutes that participants mic. Mute Video Disables the video feed of the participant. Note that you unlike audio, you cannot unmute the participant s video. The participant has to reenable his/her video. Chat Send a private chat to the participant. Rename modify the name of the participant that appears on the Zoom screen. Pin Video [speaker view only] places the participant s video on the big screen even if someone else is talking. This only affects your screen and not the screen of other participants. Spotlight Video put s the participant as a primary speaker. His video will have a highlight and everyone s mic will be muted. Make Host Transfers your host capabilities (moderation) to another participants. Can be used when you have an assistant GL and you want the assistant GL to do the Zoom moderation. Allow Record allows the participant to record the meeting via the record button on their zoom screen. Note: only record a meeting if all participants gave permission and they are informed where the recording will be used. Remove kicks the participant out of the meeting. The participant can still reconnect if they have the meeting ID or the meeting URL. Can be used with Lock Meeting to prevent reconnection.
