1 Silvermouse (for Production Paperwork) Updating the Header in the BBC Forms This helpcard will show you how to update your programme s header which appears at the top of every form. Please note: The information contained in this helpcard is for training purposes only. A Header is displayed at the top of all forms and contains common data relating to the programme, including the Series Name, the Commissioning Department and Programme UID. The only information which is form-specific is the Notes box: Business Systems Training 1

2 How is the Header Created? A one off programme or series is commissioned by the BBC and added into the commissioning system. If the record in the commissioning system has been provided with key data, such as a supplier code, contract and programme ID, the programme and all the associated BBC forms will be created in Silvermouse. The following information will always be populated in the Header and will appear as read only: Series Title Episode Title Production Company Episode Number Airing Order Production Source (In-House, Commissioned) Production Type (Series or One-Off Programme) Ofcom Super Genre Ofcom Genre Commissioning Department Programme UID Version Made For (BBC Public Service, BBC Store, BBC World News (GNL), BBC Worldwide, Co- Production, Open University or UK TV) Slot Duration If information is changed in the commissioning system, it will update in Silvermouse overnight. Your Production Company s programme forms will sit in the Inbox with an Issued status ready to be completed. As soon as anyone starts to edit the form, the status will change to In Progress. When and How do I Update the Header? As best practice, it is recommended that you update the Header with as much information as possible before doing anything else. When you change the Header in one form, it will update all the other forms within the programme as well, even if they have been submitted or approved. The only exception is the Notes field which is specific to the particular form you are viewing; if the form is rejected by the BBC, the feedback will be added here. Business Systems Training 2

3 Click on Edit Header Information contained in a white box is editable; other information will be read-only. Series Name: The name of the Series or Programme Feature, this may well be a working title for a series Broadcaster Name: BBC Series Number: The number that identifies the Series within its overarching "brand" Billed Series Title: Enter the name of the series as it will be billed in magazine listings and on BBC iplayer. If this is left empty, the system will display a prompt box to remind you to complete it. If you wish to keep a record of any programme working titles that may have been used when contracts were raised, these can be recorded in the Programme Notes field. Episode Number: The episode number of the programme Billed Episode Title: Enter the name of the programme, as it will be billed, for example in magazine listings and on BBC iplayer. If this is left empty, the system will display a prompt box to remind you to complete it. Total Number of Episodes: The number of episodes in a Series Airing Order: This is the number that represents the order of transmission for the programme and can be different to the commissioned order Production Type: Series or One-off programme Production Source: Identifies who is creating the programme, for example, an In-House or Acquired production or an Independent Commission Commissioning Department: The BBC internal commissioning department for the programme Business Systems Training 3

Commissioning Editor: Name of the BBC Commissioning Editor Ofcom Super Genre: The Ofcom Super Genre for the programme, for the purposes of Diamond Ofcom Genre: The Ofcom Genre Sub-Code for the

4 Commissioning Editor: Name of the BBC Commissioning Editor Ofcom Super Genre: The Ofcom Super Genre for the programme, for the purposes of Diamond Ofcom Genre: The Ofcom Genre Sub-Code for the programme, for the purposes of Diamond BBC Contact Name: Enter your BBC Contact for the programme BBC Contact Tel No: Enter your BBC Contact s telephone number Alternative Identifiers: Identifier & Type: & New Identifier: These fields are provided to futureproof the system. They will allow an alternative identifier of a defined type used by the broadcaster to identify the Production Notes: This field is for the specific form being viewed & is NOT common across all forms Episode Name: The title of the episode Production Company Name: The name of your Production Company Status (Last Edited): The current form status and date of the last edit SM UID: The unique identifier allocated by Silvermouse which is generated when the programme is set up UID: The unique identifier for the programme version, as supplied by the Broadcaster, for example LDXB404Y/01. Please refer to The Programme UID s Suffix section of this helpcard for more information Version Made For: This is the party that has commissioned the programme version to be produced and is required for all programmes Programme Duration: The actual length of the programme, for example 00:59:24 Slot Duration: The billed duration of the programme. This is not the programme duration. For example, a programme s duration might be and it will fit in a slot duration of The remaining 40 could be used for trails and promos 1st TX Date (if appropriate): The date when the programme was first aired. This is only necessary if the paperwork you are completing is for a repeat TX/Publication Day / Date / Time: The day and date of the transmission. The Time fields will appear once a date has been selected Transmission Week No: The BBC production week number. The BBC calendar which identifies the BBC production week number can be found on the Commissioning website. Transmission Channel: Select from the drop-down list the channel the programme is expected to transmit on. If BBC One or BBC Two are selected, you will have a further option to select from Network, Northern Ireland, Scotland, Wales or English Regions Business Systems Training 4

5 Live Transmission: Select the check box if the programme is to be transmitted live Simulcast: Select the check box to indicate that there is an intention to simulcast the programme on more than just the original channel Secondary Transmission Channel: If the Simulcast check box is selected, a drop down list becomes available and you must select the secondary channel the programme is also being transmitted on When all the information has been added click on Update to save or Cancel to close the Header without saving the changes The Programme UID s Suffix The suffix denotes how many times a programme has been edited for transmission, in other words which version of the programme is being used; for example an initial transmission would end with /01 but if a signed version were made, this might be issued with the suffix /02. If your production needs to make a change to the programme before the next transmission, you must refer back to the Programme Delivery Co-ordinator to be issued with a new programme number. The Suffix must be appropriate for the Version Made For that is assigned. UID Last 2 Digits Range Made for Values BBC Public Service BBC Global News BBC Worldwide; Co-Production; Open University BBC Store BBC Public Service BBC Public Service UK TV Any of the above values Programme Notes If you want to enter notes for your programme that are relevant to every form, this can be done by using the Programme Notes box. The information can be accessed in all eight forms and not just the form it was entered in: Business Systems Training 5

6 Within any of the programmes forms click on Prog Notes: In the Programme Notes pop-up window, enter the required information and click on Update to save, or Cancel to exit without saving: Ensure pop-up windows are enabled in your browser; otherwise this window won t display. When any of the forms are PDF d, the Programme Notes will appear on Page 1 at the bottom of the Header section. Business Systems Training 6
