3 Introduction This guide provides step-by-step instructions on how to install the smartanalysis depot scanning client software, and set up the Panasonic KV- S1025C scanner. The depot scanning client software allows paper tachograph charts to be scanned in your depot(s). The scanned chart images are then automatically sent to your tachograph analysis bureau for analysis. The software eliminates the need to send your charts in the post to your analysis bureau, and enables a much faster turnaround time for paper chart analysis results. Please work through the guide section by section in the order that each section appears in this document. 4 Panasonic Scanner Installation Please ensure that the scanner is not connected to the PC before you begin the steps below. 1. Insert the Panasonic Drivers & Utilities CD that is packaged with the scanner into the CD player on the PC. 2. The CD will auto start, and you will see the following screen: Select and click the KV-S1025C / S1020C item (shown highlighted above). 3. 5 In the right-hand Manuals panel highlight and click the Installation Manual option. Note that you need Adobe Reader installed to be able to read this document, and you can download this if necessary from the link shown on the screen above. Please read the installation manual carefully, and follow the instructions. 6 Depot Scanning Client Software Installation Please insert smartanalysis depot scanning client software installation CD. The CD should auto-run, and you will be presented with an HTML page in your Internet browser. Please follow the steps in this page in the correct order, clicking the links as appropriate to install the various components. 7 Configure Panasonic scanner for chart scanning Note: This step and subsequent steps assume that you have completed installation of the smartanalysis depot scanning client, as detailed above. The Panasonic KV-S1025C scanner needs to be configured to enable tachograph charts to be correctly scanned. NB. If the Tachograph Utility is not configured, the scanner will not be able to scan tachograph charts - you will see 'document misfeed' errors and the charts will become jammed inside the scanner, requiring the scanner to be opened and reset. 1. Double-click the 'Panasonic Tachograph Utility' icon on your Windows Desktop (or from the Windows Start button at 'Start All Programs Exentra Smartscan'). 2. When the utility windows opens, select the 'ON (Custom Setting)' option. 3. Click the 'Set' button to enable tachograph chart scanning. 4. Close the Tachograph Utility window either by clicking the 'Close' button. Please note that you only have to go through these scanner configuration steps once, when you first install the scanner. If for any reason you wish to use the scanner for scanning documents of any type other than tachograph charts, you will need to turn off the custom setting using this utility, use the scanner, then re-enable the custom setting to continue scanning tachograph charts Exentra Transport Solutions Ltd Page 7 Last modified: 27/04/2007

8 Start the smartanalysis depot scanning client Installation is now complete, and you can run the smartanalysis depot scan client. Double-click the icon on the desktop (see above) or use the Windows Start button at 'Start All Programs Exentra Smartscan Smartscan Depot Scan Client'. You will be asked to login using the smartanalysis login details that you should have received. If you have not received these, you will need to contact your analysis bureau to get them before you can proceed. After logging in, the first time you start the depot scan client you will be asked to choose a depot location from a list. It is vitally important that you choose the depot location where you wish the scanned tachograph charts to be sent from. In many cases the depot location list will only contain one location, but in cases where there is more than one location listed please ensure that you select the correct one. If for any reason you choose the wrong location, or the location changes for any reason, you can select a different location by clicking the 'Settings...' button on the depot scan client, then the 'Set Location' button on the 'Settings' screen Exentra Transport Solutions Ltd Page 8 Last modified: 27/04/2007

9 Configure the Panasonic scanner image settings The final step before depot scanning can start is to configure the image settings of the Panasonic scanner. It is important to do this to ensure accurate scanning results. This step only needs to be done once, when the scanner is first installed. Please carefully follow the steps below: 1. Click the Settings button in the smartanalysis depot scan client, then click the Scanner Settings button. 2. You may be asked to select a scanner from a list if there is more than one scanner attached to the PC. Choose the Panasonic KV-S1025C KV- S1020C option, then click Select. You will then see a screen that looks like Figure 1 (note that some of the settings may be a little different): Figure 1. 10 4. Now you need to select the correct Paper Source, Image Type and Resolution. See the screen in Figure 2 below. You should select the values as shown in i, ii and iii. 5. Next click the Custom Size button iv. You will then see the screen shown in Figure 3 below. Note that there may be other items shown in the Add paper size list ignore these as we will define a new custom size here. Figure 2. Panasonic settings screen Enter values for Width = 160 and Length = 123. Note: these values are absolutely critical please ensure you use these exact values, and that you get the width and height the correct way around. Please also ensure that the Unit is set to mm as shown. Enter a value of tacho wide for the Name. 7. Then click the Add button. You will see a new entry in the Add Paper Size List area with the values you have just entered. 8. Click the Close button to complete this screen. 12 10.For the Page Size setting i select the tacho new item from the list, as shown in Figure Now set the Color Image settings see Figure 5 below. Click the Color Image tab i to access these settings. Figure 5. Panasonic scanner settings screen Ensure that the Front/Back Same Settings check box ii is not ticked. 13.Change the Front Brightness value iii to Change the Front Contrast value iv to Change the Front Chroma value v to Change the Front Image Emphasis value vi to High. 17. 15 Start scanning At this stage you are ready to start scanning charts from your depot. Please note the following two very important points: 1. You must ensure that the paper guides on the scanner are set to the width of a tacho chart, and no wider. This is vital to ensure accurate scanning results. 2. Please ensure that charts are scanned the correct way up. For the Panasonic KV-S1025C scanner the FRONT of the tachograph chart (with the mode trace on) MUST be placed FACE DOWN on the scanner. If for any reason a chart(s) is scanned the wrong way up, simply rescan the charts in the correct orientation your tachograph analysis bureau will resolve any duplicates and ignore upside-down charts. Click the Start Scanning > button on the smartanalysis depot scan client, insert a chart or charts into the scanner FACE DOWN and click the Scan Charts button. The scanner should then scan all charts, and then be ready to scan subsequent batches of charts. When charts have been scanned, the chart images are automatically sent to your analysis bureau for analysis.
