2 Working with Radio 1/1X This document contains information on: The Commissioning process Delivery requirements Music Reporting Technical Repeats Imaging BBC Archive Promo Overview The Output Core Output of Radio 1 The majority of programmes - the core output - are long-running strands which are produced either by Radio 1/1X in-house or by a one of the Independent companies working with the two networks. Radio 1 Stories Commissioning rounds take place each year to complement the core output. It is within these rounds that ideas are sought for our collection of Radio 1/1X Stories. If you are an Independent Production Company, and want to enter offers to Radio 1/1Xx commissioning rounds, please sign up to the BBC Radio Independent Production Company Database via the BBC Radio Commissioning website. Delivery requirements Paperwork: Programme descriptions must be provided 4 weeks prior to TX for programmes designated as non-topical (including R1 Stories). Both in-house and Independent producers must enter these into Proteus. Please adhere to the character limit for the short and medium descriptions.
3 Although the character limit on the long description allows for as much as 5000 characters, 200 words should suffice. If you are unable to access Proteus you can complete a billing using the R1 excel billing template (please speak to your in-house Editor). For R1 Stories the template is available from the in-house team as part of the Radio 1 Stories for Indies ZIP folder. For completed R1 Stories billings please forward to: alice.lloyd@bbc.co.uk Docs Team joe.hallam@bbc.co.uk Docs Team anthony.danbury@bbc.co.uk Docs Team Delivery for R1 Stories: 3 Weeks Pre-TX please upload your finished programme to the Radio 1 Stories box.net account. The in-house team will ensure you re authorised to do so. The deadline is in place so we can get listening copies out to press. Send through a completed compliance form. The template is available from the in-house team as part of the Radio 1 Stories for Indies ZIP folder. If you have access to Proteus then this can also be done directly in Proteus, just let us know. 4 Repeats (R1 Stories) Where possible we will look to repeat R1 Stories on both networks. If this applies to your programme then in your script please refer to the strand as Radio 1 and 1Xtra Stories Contact radiopophubstationsound@bbc.co.uk for all appropriate imaging for R1/1x Stories. Delivery for topical weekly pre-recorded programmes: The deadline for submitting a pre-record, for scheduling in VCS Autoplayer, is 4pm on day of TX. But programmes that require an Editor second listen should be delivered at least 24 hours before TX. The maximum duration of a programme saved into Highlander for playout from the Pre Rec store is 4HRS. Anything over this duration should be agreed with the R1 & R1X Operations team in advance of submission. Radio 1 & 1Xtra Operations will not schedule any pre-recorded programmes unless an accurate pre-record form is submitted. Any inaccurate pre-record forms will be rejected - no exceptions. Pre-Record Rules Before you pre-record a programme, you must ensure it has been approved by Head Of Programmes, Rhys Hughes. Requests to pre-rec should be made via your In-house Editor. If approval is given you must have a compliance form submitted prior to broadcast. This must be signed off by both the producer and a senior editorial figure within the Network (in-house Editor). Even though a programme is signed off by a senior editorial figure, the producer must ensure that their programme is compliant and take ownership of editorial questions. They should be fully across all relevant BBC editorial policies. The senior editorial figure will be there to help decision-making and take joint ownership of the final decision to broadcast.
5 For the latest up-to-date information on what compliance is required for pre-recs, repeats, inserts etc please check out the main A&M compliance site here and make sure you follow the rules. Pre-Record Form In addition to sorting your compliance forms each pre-recorded show MUST have the Pre-Record Form completed and distributed prior to transmission this is absolutely compulsory without exception. The latest version of the Pre-Record form should always be used and must be e- mailed to the correct distribution list as detailed on the form. Repeats Any show pre-recorded on 1st transmission will already have full Proteus form completed and be signed off pre-tx 1st time round. No further action is required if the programme is being repeated within 30 days of the original Tx as long as it s marked as suitable for transmission in Proteus and contains no significant additional material. Repeats of pre-recorded shows after 30 Days window must have the form checked by the Editor who will need to assure themselves that nothing in the programme has become a problem. The form will then need to be signed off as per usual pre-recs with a note saying the Editor is happy for the show to go out as planned. Full listening may not be required. To Repeat a show that was live on 1st transmission, the Editor has an conversation with the programme producer following 1st Tx to discuss any possible issues arising from the programme Where no issue has arisen: A Proteus form for the repeat must be completed & signed off by the producer The Editor signs off the programme without further listening, noting in the form the conversation with the producer and stating they are happy it s suitable in the repeat slot. Where an issue has arisen The Editor agrees with the producer on what action should be taken - editing or, in extreme cases, not repeating A Proteus form is completed reflecting the revised repeat show & signed off by the producer
6 This revised repeat show to be listened to the Editor before sign off and Tx All conversations about issues or decisions to broadcast must be in writing (ie. on e- mail) and kept on your PC. Music Reporting (for Strands & Stories) Music reporting for all programmes must be submitted within 14 days of original transmission. Music reporting for regular strands should be done via VCS and the BCP For R1 Stories, ideally if you work in a BBC building and have access to VCS you should complete music reports in the BCP. Alternatively, if you have access to Proteus, the music report can be completed there (please the team below to advise them when the report is complete) As a last resort, if you do not have VCS or Proteus access, you can submit the report manual. The template and guidelines are available from the in-house team as part of the Radio 1 Stories for Indies ZIP folder. Radio 1 Stories must be exactly 1:00:00 with a bed running from 59:20 onwards. This is to allow the 10pm presenter to back anno the doc and intro the news by 59:48. 1Xtra Story programmes must be exactly 1:00:00
7 Format Wav file please (48 khz, 16 BIT) Imaging Contact for all appropriate imaging for your programme. All Radio 1 Stories must begin with a Radio 1 Stories Ident. 1Xtra Story repeats must being with a long 1Xtra Stories ID. Accessing the BBC Archive To browse the BBC archive for free contact BBC I&A ( ) to book an appointment at their office in the Garden House accessed through Media Centre, W12 You can also browse the BBC TV archive online here The radio archive isn t available to browse outside of a BBC building unfortunately. I&A offer a research service though available for per 15 minutes. To use it you ll need to register with BBC I&A. Radio material can be forwarded to you digitally. TV master tapes would need to be collected from the BBC at Perivale. Viewing copies could be sent via post. If you fail to return any material you WILL BE CHARGED and the fines are HIGH. If it is live music that you are looking for, you will need to contact roni.abera@bbc.co.uk Booking Studios Our studios are available for hire for documentaries. To check availability and book a studio please r1r1xstudiobookings@bbc.co.uk
8 We don't provide SM support but we can usually help get you started. We re not able to offer a quiet space to record interviews unless the guests are already due to come in to 8 th Floor, New Broadcasting House. We will help where we can for guests coming in to 8 th Floor, New Broadcasting House for other promo activity. We reserve the right to take the room back if necessary. Promo In terms of the promo of our programmes we routinely Create specific trails for certain shows, events and specials please contact radiopophubstationsound@bbc.co.uk for details. Send round a read to all production staff Sell the programme at internal editorials Work with the music team to schedule relevant tracks in daytime shows Liaise with Newsbeat about potential coverage Work with the press team on contacting relevant blogs and publications Upload a copy of the programme for previews / reviews Work with the social media team about potential coverage We do have to be realistic about the amount of promo each programme receives though. Across the stations there s 48 hours of programming every day all pushing for attention and we re not always going to be the priority.
