16 We ve got paper choices Paper specifications can be more than a little confusing. To simplify your decision, we offer a complimentary paper sample packet that you can request at any time. This will allow you to see and feel our various paper options. We use 50, 60, 70, and 80# uncoated papers in white and 60 and 70# in natural. This book is printed on 60# uncoated white Lynx opaque paper. or coated sheets, we offer white 80# and 100# book weight both in dull and gloss finish. A thought on coated sheets: In the past, utilizing offset printing methods, it was considered prudent to use a coated sheet for optimum clarity when printing photos. This had to do with the printing process; as printing ink contacts the uncoated sheet, it spreads slightly, resulting in poor photo reproduction. When a coated sheet is used, this spread is minimized. Toner-based digital printing (our method) is different. The toner is dry and therefore does not absorb and spread with contact to the sheet. This allows for quality reproduction on an uncoated sheet. With that said, there is a slight visual improvement when printing digitally on a coated sheet, but the difference is negligible in most cases. So why bring this up? Cost and weight. Your book will be substantially heavier using coated sheets, which is sometimes a deterrent to the reader, as well as being more costly to ship. Coated stock: Paper stock that has been coated with a mineral agent to give it a smooth surface, typically gloss, dull, or matte finish. Uncoated stock: Paper stock that has been manufactured without adding extra coating. Natural paper stock: Off-white paper stock. Also known as warm white paper stock. 22 People are often surprised to learn that the text pages of a book are "designed." or every book that attracts you in the bookstore, someone took time and effort to make the text design as beautiful and readable as possible. We offer three levels of text design. The level is determined by the complexity of your interior content. Your pages will be expertly designed to book-industry standards. The following per-page prices include text design only. Images, tables, charts, or graphs may incur separate charges. 25 How text design works What we need from you Your text file. We prefer a single.doc or.rtf file. This format can be saved from most word-processing software. Text should be thoroughly edited before the design process starts. Photo captions. Provide a single.doc file with an ordered list of captions matching the order of the photos within the book with photo labels that correspond to the photo file names. Images. You can provide original images for us to scan and optimize using Adobe Photoshop, or you can provide images that have been already scanned. If you will be scanning the images yourself, review the information on page 42. What we do We will import your text file into Adobe InDesign, a professional page-layout program. Photos will be "optimized" (details on page 42) and placed in the book with captions. What we design will not look like your original document, but the sequence will remain in the order in which you submitted it. We will choose a typeface appropriate for the style of your book. We follow the rules of the Chicago Manual of Style. What we don t do We do not edit, rewrite, or proof your content. Your text file should be thoroughly edited before the design process starts. We do not "type." We take your text file and turn it into a professional, readable design. All words in your book should be provided as a computer file, not a paper printout. GORHAMPRINTING.COM 25

26 Proofs for design work Online proof You ll access an online proof with a link sent by your designer via . Online proofs are convenient for primarily text-based projects, but on-screen viewing gives you only a rough idea of color output and quality. Printed proof We recommend printed proofs because they will accurately portray color and print quality. Printed proofs will be mailed via USPS Priority. Printed proofs are not bound and covers are not laminated, but other than that they are identical to how your book will look. Pages are hand-trimmed and will be loose, wrapped in your cover. Making changes to a proof Editorial changes (spelling, grammar, punctuation, rewriting) are billed at a rate of $92/hour in 15-minute, $23 increments. Submit your changes by writing directly on your printed proof. If you opted for online proofs, you may a list of changes directly to your designer. Proof forms for each proof We will include a proof form with every proof. After you ve carefully reviewed your proof, complete the form, including a signature and date, to indicate how you would like us to proceed. Your signatures give us permission to proceed to production or prepare a revised proof for you to review. Completed proof forms are required to move forward after each proof. 28 Prepare your text and cover Some of our customers opt to prepare and provide their own text and cover files. This means they transform their content from a word-processed manuscript to a PD and they design a complete cover. 29 Production Time Once you have approved your final proof, your book will get in line for production. Add an additional week to production time for any changes. Once completed, your books will be shipped, or you can pick them up in person at our shop. Additional proofs will add expense and delay production time. 31 1 Prepare the interior text If you have completed your manuscript, you may opt to prepare the interior text pages yourself. You can design the interior text in the software of your choice. The two most common programs for this are Adobe InDesign and Microsoft Word. The file you make from this software is called a native file. Checklist for interior text prep (See the complete checklist at our website) Page size should equal trim size, for example, 5.5x8.5'' or 6x9'' (for bleeds, page size must be larger, more info online). Setup your file as single pages (a page is one side of a sheet of paper), no spreads. Margins should be.5 inch minimum (.75 inch preferred). All pages must be the same size. Images must not extend off the edge of the page unless bleeds are indicated in your quote. Count your color pages. The interior pages must contain the correct number of pages with color to match your quote. If you are concerned with color output and/or image quality, review our color management and image quality guidelines. GORHAMPRINTING.COM 31

32 2 Save it as a PD Once you have finished the interior text, you will need to save the file as a PD (Portable Document ile). A PD locks your content in place so no movement or changes will occur when the file is sent to the printer. Some quick tips to remember when saving your interior text pages as a PD: Make sure your interior text meets all of the requirements found on our website. Save the interior text PD in single page format (do not save in spreads) Any color on the pages (text, lines, or images) will result in that page being counted as a color page Making a PD is the last step of the process and should only be done after final editing and all of the requirements and interior text instructions have been followed. PD checklist for interior text (See the complete checklist at our website) Save your interior text pages using the newest PD Export settings available (the most recent date on the list of choices). Your interior text PD file should be one single file that includes all pages. Make sure all fonts are embedded correctly in your PD. 33 3 Interior text proof Printed interior text proof Once you ve finalized an order with a half-down deposit, it s time to submit your interior text PD. Send up to 10GB at once through the secure file Send iles tool found under the Prepare to Print tab on our website. If your interior text PD meets the requirements, we ll prepare your proof. If there are any issues with the file, we will inform you of the problem and do our best to let you know what to do to fix it. You ll need to make corrections in your native file, re-generate the interior text PD, and submit the corrected interior text file. Once the interior text proof is sent and you ve reviewed it carefully, the next step is to complete and sign a proof form. This form tells us what you want to do next: Approve your proof for production with no changes. Make changes and supply a new interior PD with an online proof for $ Make changes and supply a new interior PD with a printed proof for $54.00 (black and white) or $72.00 for color. 35 1 Prepare the cover You can design your cover in the software of your choice. The two most common programs for this are Adobe InDesign and Photoshop. The file you make from this software is called a native file. Checklist for cover prep (See the complete checklist at our website) Submit a single document page with the back cover, spine, and front cover in one piece (as illustrated). Go to Prepare to Print > Spine Width Tool to get your spine width. Enter your interior page count and select the paper stock for your binding style. Allow at least 1/16-inch space between the type and both folded edges of the spine. No text on spine widths less than.15-inch. Cover must extend into a 1/8-inch bleed (.125) on all 4 sides. The colors of your cover on your monitor or printer are not a truthful representation and will not match our output. Go to: Prepare to Print > Color Matching for more information. 38 Some tips on design... Book text is usually justified, spanning the width of the text column between the margins. Italics should be used for emphasis. Avoid using all-caps, underlining, or bold type. Type in books is often set somewhat smaller than 12 point. Check copies of books you enjoy reading, and you will probably be surprised by the size of the type. orget what you were taught in typing class; books use only one space after periods. The first paragraph of a chapter (or the start of any new section) should not be indented. Use indents at the beginning of each paragraph rather than gaps or open areas between paragraphs. Indents should be small (.25 of an inch). Leading is the spacing between the lines. It is a specific numeric measurement and is not the same as "doublespacing" in word-processing software. 39 X-HEIGHT BASELINE SERIType Choosing a body typeface Traditionally, typefaces for books have serifs on their letterforms. Serifs are the strokes that project from the top or bottom of the main stroke of the letter. They assist readability by keeping the reader s eye flowing horizontally across the words. Typefaces without serifs (sans serif) are fine for headings but don t work well for large sections of body copy. The tone or feeling of the typeface is very important. Typefaces will exude a mood that can enhance your writing when used effectively. A few of our favorite typefaces: Arno Pro Garamond Caslon Minion BEMBO Sabon Adobe Devanagari How to estimate page count Page count can be roughly estimated by dividing the total word count of your document by the words per page below (dependent on your trim size and type face point size). Margins, leading, and paragraph sizes will increase these approximate calculations, as will the number of photos. Generally, add a half page for medium-sized photos, a quarter-page for small photos, and a whole page for large photos. Traditionally, the start of each front matter section begins on a right-hand (recto) page only. Present practices often use the next-available page. Not all books require all of these pages, but this order is the industry standard. K 1 Title Page Proclaims the title, subtitle, author, and publisher of the book. The title page is always on the righthand side. A half-title page with a blank reverse side can also appear before the title page (important to use in hardcover books because the very first page of a book is partially glued to the end sheet). 2 Copyright Page This page should be the first lefthand page after the title page. Items that appear on this page include: the copyright verbiage, edition number, ISBN, Library of Congress PCN, and production information. You may also credit your designer, editor, and cover image artist. 3 Dedication A dedication is optional. If included, it should appear after the copyright page on a right-hand page. 4 Contents In former days known as the table of contents, this is the navigational aid for your readers. All parts of the book should be listed here with easily-read page numbers for reference. 5 List of igures or Tables Some books may contain figures or tables. If there are only a few, they can be included with the contents. If there are many, a separate page may be necessary. 6 oreword A foreword is generally written about the book by someone other than the author. Note the spelling of foreword" think of before the words." 7 Preface The preface is written by the author and should explain the development of the work. It is sometimes finished with the author s name, place, and date. 8 Acknowledgments It takes a village to write a book. The endnotes should be divided by chapter. 3 Glossary An alphabetical glossary is useful in a work with obscure or technical terms that require explanation. 4 Bibliography A list of books and articles in periodicals that contributed to the work. 5 List of Contributors If several authors have contributed to the work, they should be listed as contributors. This list can also appear in the front matter. Names should be listed in order alphabetically by last name but should appear as: first name, last name. Each brief bio can include their publications, academic affiliations, and their role in the work. 6 Index An alphabetical reference of the places, events, people, or subjects with their corresponding page numbers. 42 Images in your book Getting your images Website Images. Photo files taken from web pages are low resolution (usually 72 dpi), which is fine for screen display but far below acceptable quality for digital printing. Digital Camera. Most digital cameras take large-dimension 72 dpi JPG photo files. Using Photoshop, their dimensions can be reduced while the dpi is increased to 300. They can then be saved as TI files. What is Photo Optimization? If you choose to have Gorham Printing design your interior text pages, we can optimize your photos so they print well. We will adjust the darkest and lightest parts of the image so the photo has a good tonality. We also crop, sharpen, and resize. Photo restoration is a separate process. Photo restoration may include removing type or spots, repairing rips, removing people, or fixing faces. Restoration is a separate process and is billed at an hourly rate. Scanning. If scanning at 100% of size, scan at 300 dpi and save as TI files. If enlarging photo, scan at a higher dpi. Online Stock Photos. 44 Don t skip professional editing Your manuscript has reached the final stage. You ve run it by a few friends and associates. Don t neglect the important step of editing. Successful authors have their books thoroughly and professionally edited. Not only will editing improve the readability of your book, but editing can trim your page count, which can result in significant book production savings. Competent editors are widely available. It is not necessary to meet your editor in person (although some prefer this approach). Correspondence and manuscript sharing can be done electronically. Keep in mind that every editor s services will differ slightly, so make sure you and your editor are in agreement on the work that will be done. Some important things to keep in mind: You may want to start with developmental editing first and follow with copy editing last in order to catch any mistakes that are made during rewrites. Prepare for editing from the beginning of the writing process. Keep your sources organized. Editing takes time. Do not expect your editor to rush the job. Make sure to allow time for several drafts. Do not take corrections personally. If an editor trips up on any part of your book, it is likely that other readers will as well. 45 Types of editing Copy Editing (also called proofreading) is the simplest level of editing. A professional who proofreads your manuscript will check for punctuation, grammar, sentence structure, spelling, and typographical errors. Developmental Editing deals with chapter and section organization, clarity, and indexing, as well as narrative and storytelling. Rearrangement, rewriting, and new writing may be recommended. Line Editing is more advanced. An editor providing this service will help you develop your voice. This process will explore word choice, paragraph structure, flow of narrative, language style, and readability. Research Editing is important for works of non-fiction. A research editor may provide citation verification and structure, as well as fact checking. GORHAMPRINTING.COM 45

46 Indexing The best index must be created by a human, rather than a computer, as only a human has the cognitive skills to understand the meanings of the words enough to properly place them in an index. A computer can assist the project, however, by accurately locating and alphabetizing the entries. or best results, plan your index at the start of your book project. Planning your index Think about how you want your index to look. How many topic levels will it have? Will it refer the reader to other related topics? Will a simple keyword index suffice, or do you want a more complex index with cross-references to related topics and a well-researched list of equivalent terms? It may help to have a list of topics, names, and subjects you want to index written out beforehand. Anticipate the variety of ways by which your readers might look up information. or instance, one reader may search for information on animals by looking under mammals; another may look for wildlife or fauna. Tag index entries (see instructions at right) when the content of your document is fairly stable. If you delete large portions of your text later, you may lose some of your indexing work. Common indexing problems include mixing uppercase and lowercase (cats and Cats) and singular and plural forms (cat and cats). Use a topic list to keep terms consistent. Review your index several times. Look for duplicate entries, weak subject areas, misspellings, and inconsistencies in capitalization and wording. or example, Cheetah, cheetah, and cheetahs should appear as separate entries. 46 GORHAMPRINTING.COM

How to make an index using Microsoft Word If you hire us for text design, we place your text file into a page layout program called Adobe InDesign. InDesign can recognize tags that were attached to the file in its original software program, such as Microsoft Word. Tagging means you select the text and apply a tag to it, which is a set of hidden instructions for InDesign. Once you tag an index entry, Word adds a special XE (Index Entry) field. It also shows all formatting marks. These instructions apply to most versions of Word: 4. Click on the Mark Entry box (up pops a different window). If you have a person s name, type the last name, then first name, followed by the middle initial. 5. If you would like to cross reference this entry, click the Cross Reference button and type the reference you want after See. 6. Click Mark All. 7. Close. Repeat this process for every word you d like to add to your index. 8. To view your index, place your cursor at the very end of your document. Open the Reference menu and click Index. 48 ISBN and barcode ISBN is an abbreviation for International Standard Book Number, a 13-digit number that uniquely identifies your printed book as a specific title from a specific publisher (you). If you plan to sell your printed books or ebooks through booksellers, it is recommended to purchase an ISBN for each edition, for example, one each for hardcover, softcover, and ebooks. If your book will be sold primarily to family and friends, through your website, or by back-of-the-room sales, an ISBN is not necessary. Visit to purchase your ISBNs. The charge for a single number is $ and a block of ten numbers is $ Barcode Books that will be sold in bookstores should have a barcode of the ISBN on the back cover. A book barcode uses a sequence of vertical bars and spaces to represent the numbers of your ISBN (see the back of this book). The ISBN is used to create the barcode, but the number and the barcode are two different things. 49 Library of Congress number This registration number can be obtained from the Library of Congress and is used to distribute books intended for libraries (for self-publishers, the number is called a PCN Pre-Assigned Control Number). These numbers are issued prior to publication and may be requested by submitting a one-page application to the Library of Congress. Most authors add the number to the copyright page of their books preceded by the phrase, Library of Congress Control Number. Their PCN program is free. If you believe your work would be appropriate for libraries, apply for a PCN. Participation sometimes results in orders for your book from sources who would not have known about it otherwise. 50 Copyright A book is copyrighted when the author s name, date of copyright, and the copyright symbol ( ) or the word copyright appear on the copyright page (usually the first left-hand page after the title page). You may then elaborate on the "all rights reserved" phrase if you wish. Check other books for accepted variations. Register as copyright holder Registering your work officially recognizes you as the copyright holder. Although recommended, it is not absolutely necessary to register your work. Copyright is secured automatically when the work is created, however, registration strengthens a legal position. 54 Selling your book Marketing your book as an unknown author can be a challenge, to say the least. Self-publishers generally do not have the contacts or clout to maneuver their books into major book selling channels. Yet there are many other avenues to get your book recognized by and sold to potential readers. Who s your audience? You know your book best, and selling your book yourself is the most practical way to get the book in front of your audience. Where do they shop? What do they like to do? How can you contact them? How many books should I order? Self-publishing is an investment in your idea or story. A short run of review copies might be a good start to distribute free in order to generate buzz.
