Create & edit references manually Import references from an external database (e.g. PubMed Medline or Silver Platter Medline,NETDOC) Export references from an external database directly to EndNote Use UMLINKS to export a single citation to EndNote (no longer available) Get references by directly searching an external database (E.g. PubMed Medline, ISI Web of Knowledge,) Retrieve references from your EndNote Library database Capture references by directly searching Z39.50 compatible catalogues Capture references by directly searching Z39.50 compliant external databases TO GET STUFF OUT: Generate a bibliography for screen display, printing, saving, Web, Use a manuscript template Cite references from within your word processing manuscript and generate a bibliography based on manuscript citations Back up your data WHAT THIS SEMINAR MAY NOT COVER Exportan EndNote library (database) for use by another program Edit or creating new import filters Edit your connection files Edit or create new output styles. WHAT IS ENDNOTE? A specialized desktop based database program designed specifically to manage journal citations, reprints, books, images & other documents used in the scholarly research & writing process. Reference Manager & ProCite, are produced by the same company and are very similar in features. The latest version of EndNote is version 8, released recently. RefWorks is a less powerful but fully functional web based reference management program which has been purchased by and licensed to the University of Manitoba. Students and staff have free access. Go to to register (first time users) and log in. Allows easy data entry using pre-configured database and manuscript templates Automated import of citations from files saved after searching remote bibliographic databases such as MEDLINE, CINAHL, PsycINFO, ERIC. Automated export directely from remote databases to EndNote. Search library catalogues (such as BISON) and article databases (such as PubMed, Web of Science), directly from within EndNote using the EN search interface & then capture this retrieval into EN Organize references in a variety of ways: tag, sort, search, retrieve, and display in various formats. Generate output, using pre-formatted or customized styles such as a word processing compatible RTF file for use in MS Word or WordPerfect html web document printout While preparing your own manuscript (essay, thesis, journal article, book), cite references to/from your EndNote library database and automatically generate in-manuscript bibliographies. Easily change citing styles. Export data in various formats for use by other programs e.g. Excel, Access, other bibliographic management programs

3 EndNote 7 Workbook page 3 of 24 09/20/05 PART A: NAVIGATING ENDNOTE S MENUS AND SCREEN LAYOUT Open an existing library: FILE / OPEN LIBRARY. Use PALEO ENL found in the EXAMPLES folder. Menu Bar: Tool Bar: edit tool bar general tool bar format tool bar Insert reference connect export import Preview pane style Library window - top of screen Change window size by clicking on the minimize / maximize button (top right of window) by grabbing bottom right corner and dragging to enlarge or contract size by clicking, holding and moving separator between top & bottom window. Move from one item to the next using the mouse, arrow keys, scroll bar, typing first letters of default sort field. Highlight a line item by clicking; highlight multiple items by using CTRL key. Widen columns (click & hold on column separator, then move) Sort items (click on column heading) by Date, Author, Title Double click on item (or press Enter on highlighted item or click on REFERENCE / EDIT REFERENCES) to open new window with full display of citation for editing. Add display columns by going to EDIT / PREFERENCES / DISPLAY FIELDS (see section 9) Change display fonts using EDIT / PREFERENCE / DISPLAY FONTS Click on Show Preview (bottom right) to view PREVIEW PANE & show more complete citation

Options to preview in any output style SHOW ALL style below displays all fields with field labels. click on current style drop down menu on tool bar or click EDIT / OUTPUT STYLES. Select a different style.. Note: you cannot edit a reference in the preview pane. Must press enter or double click item in the top display window. PART B: GETTING STUFF IN MANUALLY (1-4) 1) FILE / NEW. To create a new database: Call it DEMO. 2) EDIT / PREFERENCES / REFERENCE TYPES to change label names of fields to change default fields used for each reference type. to define CUSTOM fields usually sufficient to accept default 3) TERM LISTS & AUTO ENTRY OF TERMS to manage variant names used for Keywords, Journal titles, Author names or any other field. to ensure standard use of terms & synonyms when entering data & provide consistency for later retrieval. to load standard list of journal names & their abbreviated synonyms terms lists are automatically created as you enter or import new references to support auto entry and help complete your entering of journal, author, or keyword fields (or press CTRL-1) click on TOOLS / OPEN TERM LISTS / JOURNALS then click on LISTS / IMPORT LIST / and open TERM LISTS folder then select MEDICAL.TXT check LINKED terms: click on TOOLS / LINK TERM LISTS to Verify which fields are linked to which term lists e.g. Keyword field should be linked to Keyword term list

5 EndNote 7 Workbook page 5 of 24 09/20/05 4) ADD A NEW REFERENCE (MANUALLY): Click on REFERENCES / NEW or press CTRL then N keys or click on tool bar icon a) Example of JOURNAL ARTICLE: Impact of rural hospital closures in Saskatchewan, Canada see attached or screen shot at right. i) Reference Type: select Journal Article (default) - Journal article is usually the default reference type; - To change this default go to Preferences / Reference Types ii) Author: - Use prescribed format, e.g. Liu,L. - Or type in Firstname Lastname. - Press Enter to go to next line to input next author. - Author auto entry term list may offer choices from previously entered authors. - New author names will appear in red. iii) Year: enter year only. iv) Title: type title. - Do not press Enter to go to next line, characters will wrap as needed. - Press TAB to go to next field. v) Journal: start typing to pull up auto entry term list of journal titles. Press Enter to accept and go to next field. vi) Volume, Issue, Pages vii) Date: for any specific dates needed in the citation. EN does not reformat this field. viii) Keywords: start to type to bring up auto entry term list of previous key word. - Press Enter between key words. - Press Tab to go to next field. ix) URL: to input link to full text or other files. - Click on open link icon to make connection. - If you type a full URL in any field it will be recognized as a clickable link. x) Press CTRL-S to save current reference. Press CTRL-W to close the window. Proceed to a new window for next entry (CTRL-N).

6 EndNote 7 Workbook page 6 of 24 09/20/05 b) Example of EDITED BOOK: Does Psychoanalysis Work i) Reference Type : select Edited Book etc. Try the rest on your own ii) Click on FILE / SAVE or press CTRL-S to save current reference. Press CTRL-W to close the window. Proceed to a new window for next entry (CTRL-N). c) Example of CHAPTER in BOOK: Myelodysplastic Syndromes in Bone Marrow Failure Syndromes i) Reference Type: select Book Section etc. Try the rest on your own ii) When finished : Click on FILE / SAVE or CTRL-S, then close data entry window (CTRL-W). d) EDIT A REFERENCE to make corrections as required. Try the spell check option: Open an item record then click TOOLS / SPELL CHECK.

7 EndNote 7 Workbook page 7 of 24 09/20/05 PART C: GETTING STUFF IN FROM EXTERNAL DATABASES (5-9) e.g. Pubmed (MEDLINE), CINAHL, PsycINFO, BISON Online Catalogue To IMPORT citations after searching & downloading the results from a database outside of EN (5) To SEARCH & retrieve directly Internet resources such as PubMed or ISI Web of Science from within EN (6) To SEARCH & retrieve directly from Z39.50 sites: free online library catalogues or locally licensed commercial article databases (e.g. Silver Platter: CINAHL (7) To EXPORT directly into EndNote from a remote database such as OVID/SilverPlatter, ISI Web of Science, EbscoHost, or Proquest.(8) 5) IMPORT (DOWNLOAD) from PUBMED MEDLINE (or from a licensed NETDOC database e.g. PsycINFO) MEDLINE works best.. Search PubMed MEDLINE on the topic: BONE MARROW TRANSPLANTATION IN CANADA SAVE (DOWNLOAD) the first 30 citations in FULL, short LABEL (use the MEDLINE display) format to file named medline.txt: Note: some databases may not have EndNote import filters or the filters do not work properly as installed These may need some tweaking of the filtering program using the Filter Manager or you may need to download an updated filter file from an external source. The Web of Science database and others such as Ebscohost, ScienceDirect will export directly to EndNote. Other databases and some electronic journals also have download features specifically designed to work with EndNote.. PUBMED can be launched from the NJM Health Sciences Library home page at For NETDOC databases go to NETDOC Web STEP 1: PubMed Send to File Window In PUBMED complete your search then display in MEDLINE format, click on SEND TO FILE with path\ filename.txt e.g. c:\temp\medline.txt. Alternatively for NETDOC WebSPIRS : click on SAVE icon; choose complete record; save with short labels (default).

8 EndNote 7 Workbook page 8 of 24 09/20/05 STEP 2: In EndNote: a) Select FILE / IMPORT from top menu bar to open the Import Window b) IMPORT DATA FILE : Click on Choose File to select the import text file downloaded previously (e.g medline.txt) c) IMPORT OPTIONS: select an import filter; i) click the drop down menu to select OTHER FILTERS ii) this will open the Choose An Import Filter window iii) then choose PubMed (NLM) d) DUPLICATE: Select how to handle possible duplicate citations found in the retrieval. Accept Discard Duplicates e) Click on IMPORT. Citations import into the open active library window. Only imported new citations will show. f) BROWSE imported titles using the scroll bar or the arrow keys. g) Enlarge the show window: click on the maximize button on top right. Be sure the preview pane is open; try different output styles. h) HIGHLIGHT the 1 st & 3 rd items in the reference list display. Click on the 1 st item then CTRL click on the 3 rd. i) DELETE 1 st & 3 rd items. Click on REFERENCES / DELETE REFERENCES or press CTRL-D or mouse right click then select Delete References. j) COPY: Highlight 3 more items and copy them to the sample paleo.enl library. Click on EDIT / COPY or CTRL-C then click or open the paleo.enl window and paste the items (EDIT / PASTE or CTRL-V). If you have both library windows open and in view you can also drag and drop the selected items from one window to another. k) SHOW ALL references in the demo.enl library. Click on REFERENCES / SHOW ALL REFERENCES (CTRL-H) 6) SEARCH PUBMED MEDLINE from WITHIN ENDNOTE using a CONNECT file Sample topic: BONE MARROW TRANSPLANTATION reviews English Maximum of 40 items. In EndNote: a) CONNECT FILE: click TOOLS / CONNECT; b) select PUBMED from the drop down menu. c) A Search.. PubMed Window will open (see below) d) Type search terms in the first search box. Select ANY FIELD (the default). e) Choose the connector or link option (Boolean operator) AND f) In the 2 nd search box, choose Publication Type as the field and enter Review as the search term.

9 EndNote 7 Workbook page 9 of 24 09/20/05 g) Continue to Add Fields using the And connector for 2003 publication date and English language. h) And finally click on the SEARCH button. i) Confirm the number of references to retrieve in the Confirm Remote Search window. j) Results are imported into a separate Connected to.. window. NB. These items are not yet added to the open database and must be copied to an existing open database or saved as a separate database. k) Examine reference 1 in the preview pane using the show all output style. Scroll down to view the full record. l) Click on the URL field and note what happens. m) Copy ALL items TO the DEMO database by clicking on the drop down menu Copy all References To.. Be sure that all references are chosen. Alternately you can copy selected references. 7) SEARCH OTHER Z39.50 LIBRARY CATALOGS & DATABASES from within EndNote To search & retrieve from library catalogues, e.g. U of Manitoba Library Catalogue (BISON). To search & retrieve from U of M Silver Platter databases BUT you must first configure for Z39.50 access. See APPENDIX III... Some sites may time out when using this feature. ADVISORY: retrieval may be inconsistent, depending on how z39.50 search attributes are configured YOU TRY: search U of M Catalogue for book: BONE MARROW FAILURE SYNDOMES. a) Choose connection as in 6a above but select U of Manitoba from the connect list. Z39.50 connect setup for BISON changed.in July 04 See APPENDIX V In Search window: b) Choose ANY FIELD c) Type bone marrow failure syndromes in the search box d) Click on SEARCH button e) Item retrieved will be placed in new retrieval Window f) Compare item retrieved with item entered manually in (1) above. g) To get retrieved items into your database be sure to copy to the desired database as in (6m)

10 EndNote 7 Workbook page 10 of 24 09/20/05 8) EXPORT FROM A REMOTE DATABASE (Web of Science, Proquest, Ebscohost). 9) UMLINKS When you click on the UM Links button in any UM Library subscription databases it may show options to download single citations from the UM Links display to various reference managements programs. Until various problems with the transfer of data are resolved this feature should not be used. 10) PUT IT ALL TOGETHER: Create a new EndNote database (use the Journal Term List and the "copy periodicals" option) on the subject of your choice by searching & capturing about 50 items. Try both searching / downloading and searching directly. 1. PubMed, ISI Web of Science, or other NETDOC databases (some may not work) 2. a combination of remote online catalogues of your choice.

11 EndNote 7 Workbook page 11 of 24 09/20/05 PART D: GETTING STUFF OUT (11 14) 11) CHANGE Library Display Window: To change default display a) Select EDIT/ PREFERENCES from the top menu bar b) Select DISPLAY FIELDS. c) Add new columns by selecting from drop down menu of fields available. E.g. choose JOURNAL /SECONDARY TITLE d) Change HEADING name to Journal. e) Click on APPLY or OK. f) The display preferences will now be applied to all EN libraries. g) Adjust column width in the display window by mouse dragging the separator between each column. 12) RETRIEVE REFERENCES WITHIN AN ENDNOTE LIBRARY DATABASE To search an existing EN Library (database) by specific keywords, title words, authors etc. You Try Search the Demo database for Bone Marrow Transplants in Children, 1997-; see sample below a) Click REFERENCES / SEARCH REFERENCES or CTRL-F b) Note options for FIELD and CONTAINS box. c) Accept default of ANY FIELD in FIELD box. d) Accept default of CONTAINS in CONTAINS box e) Type search terms in the search box f) Click AND (OR or NOT) and fill in the next search boxes. g) Do not use wildcard or truncation characters. EN automatically assumes truncation. h) To search DATE range use Year field and is greater i) Click on search button to begin search. j) Search results will display in retrieval window as a subset of original database. Note bottom left showing number of items retrieved out of total in the database e.g. k) Search results can be copied, printed, exported or inserted in manuscript l) If you search references again the search whole library option will be expanded to allow searching of this subset to further focus your results. m) Click on REFERENCES / SHOW ALL REFERENCES to restore the view of all references. n) SAVE SEARCH STRATEGY for later use - click on SAVE SEARCH in the original search window.

12 EndNote 7 Workbook page 12 of 24 09/20/05 13) OUTPUT OPTIONS: STYLE / DISPLAY / PRINT / FILE / WEB / EXPORT a) OUTPUT STYLE To view & edit existing journal styles or create a new style. Styles for many journal publications are included. i) OPEN an existing journal output style in the STYLE MANAGER E.g. Vancouver.os. ii) Click EDIT / Output Styles / Open Style Manager and select the style you wish to view or modify or iii) Use NEW STYLE to create from scratch [not advised better to modify existing style]. ] iv) Note that parameters & templates are specified for various style components including: (1) Page numbering, journal & journal abbreviations (2) In text CITATION style (a) Numeric (bibliography number) e.g. 1,2,5 or (1,2,5) (b) Author / Date e.g.. (Jones, 1992) (c) Or any combination of fields (3) BIBLIOGRAPHY (a) Click on TEMPLATES to view styles for different reference types (4) FOOTNOTES b) PRINT or SAVE a BIBLIOGRAPHIY i) Confirm OUTPUT STYLE currently selected e.g. Vancouver ii) Click on preview pane to display style for a selected citation in the library window. iii) Click on FILE / PRINT to print the selected citations in the chosen output style iv) Click on FILE / EXPORT to save selected citations in text, rtf, or html formats. v) Open or insert the saved file in word processor or html editor to format further as needed.

13 EndNote 7 Workbook page 13 of 24 09/20/05 c) COPYING & PASTING INDIVIDUAL or SEVERAL SELECTED CITATIONS i) In the library display window, highlight the item(s) you wish to copy ii) Click on EDIT / COPY FORMATTED or CTRL-K iii) Go to word processor or different EN library iv) Click on EDIT / PASTE or CTRL-V v) Alternatively DRAG & DROP the highlighted item(s) to another EN library or open document. For either method the citation style copied will appear in the current active format. d) EXPORT TO ANOTHER PROGRAM (FILE/ EXPORT) To create a text file in an EndNote, RIS (RM format), MEDLINE/MEDLARS, or tab delimited format for use by other programs. o Use RIS to share your database or subset with a Reference Manager user). o Use tab delimited to export to programs such as Excel, Access. i) Click EDIT / Output Styles / Open Style Manager ii) Click on Category column in the EndNote Styles window (see above) to sort by category iii) Scroll down to the Export category and choose most appropriate style iv) Click on FILE / EXPORT to save selected citations or whole library in the chosen export style. 14) CITE WHILE YOU WRITE (CWYW ) - see also Appendix I for sample document EndNote add-in for WORD or WORDPERFECT. Appears under tools (or as tool bar). To cite EndNote references while you write your manuscript To automatically generate a bibliography formatted to the journal style of your choice. See also EN manuscript templates that match information for authors requirements for selected journals. a) in MS Word examine: TOOLS / EndNote.. (see below, right) or b) EndNote TOOLBAR (to activate the EN toolbar, in Word, click on VIEW / Toolbars / EndNote 7) c) INSERT a citation in your manuscript from one of your EN libraries (databases): i) insert citation based on a text word search, from Word (or WordPerfect): TOOLS / EN / Find Citation(s) ii) insert a selected citation from EN. Click on the insert citation icon on the EN toolbar With EN 6 or 7 it will be instantly scanned and reformatted. iii) insert a selected citation from within Word (or WordPerfect): TOOLS / EN / Insert Selected Citations(s)

14 EndNote 7 Workbook page 14 of 24 09/20/05 CITE WHILE YOU WRITE continued iv) The instant formatting feature (if turned on) will automatically format the in-text style and generate the bibliography as soon as you insert a citation. v) To adjust styles click on TOOLS / ENDNOTE.. / Format Bibliography (see below) (1) FORMAT DOCUMENT: select document (2) OUTPUT STYLE: browse & choose the output style (a) In text citations will be changed to the appropriate format e.g. [1] or 1 (b) A reference list will be regenerated at the end of the manuscript based on output styles selected. see sample document. (3) LAYOUT: to adjust formatting of the bibliography including font, font size, bibliography title, indentation, margins etc. (4) Select Instant Formatting to toggle on or off this feature vi) Some other features in EndNote CWYW to note: (1) EDIT CITATION: add prefix, suffix or page numbering to the in manuscript notation. (2) NOTES: insert a numbered note that will appear in your bibliography (3) EDIT LIBRARY REFERENCE: return to EN and modify the citation with EN. (4) UNFORMAT CITATIONS: to return the citations to an unformatted form (5) REMOVE FIELD CODES: remove coding that can get in the way of your manuscript when shared with other parties. (6) FIND AND GENERATE FIGURE LIST: include images from your EN Library and a figure list (7) TRAVELLING LIBRARY: store references in your document in a format that allows you to share the document with another EN user, who can then import the traveling library associated with the document into his/her EN Library. (8) CWYW PREFERENCES: can assign keyboard shortcuts for the various CWYW functions PART E: OTHER STUFF (15 16) 15) BACKING UP -- Always regularly back up your important databases. a) Files to back up frequently: i) Your database files ending Database.ENL and any associated figures and folders (*.data). ii) Use FILE / SAVE A COPY to make a copy of your EndNote Library and associated data folders. b) Files to back up occasionally: i) CONNECT (*.enz files) files in your connect folder which you have modified or created ii) FILTER (*.enf files) files in your filter folder which you have modified or created iii) STYLES (*.ens) files in your styles folder which you have modified or created. iv) Any terms lists (*.txt) in your term lists folder which you have modified or created v) Saved strategy files (*.enq), in your Application Data / EndNote / Searches folder vi) For all the above files you need to find the files in each case (use Window Explorer) and use the Windows copy functions. 16) DIRECT CONNECTIONS TO SUBSCRIPTION DATABASES - CONFIGURE Z39.50 See APPENDIX III & V to configure EN for direct Z39.50 (connect) access to NETDOC Silver Platter (ERL) databases at the U of Manitoba and to reconfigure U of Manitoba Catalogue (BISON) access. Other remote hosted databases require their own specifications that often can be obtained from the host site or supplier. 17) FOR FURTHER ASSISTANCE: Michael Tennenhouse, M.L.S. 15 EndNote 7 Workbook page 15 of 24 09/20/05 APPENDIX I - Sample Cite While You Write Document 1. With Cite While You Write, you can: a. Insert references using the insert citation feature. b. Insert selected references from the active EndNote Library database. 2. Citations can appear in your document as: a. as unformatted text e.g. {Angell, 1988 #31} This is in the unformatted citation format. If you have instant formatting it will be immediately converted to formatted text. b. as formatted text corresponding to your specified in-text format style as it would appear in the final document. formatted text is regenerated after you issue the FORMAT BIBLIOGRAPHY command. In EN 6 it is instantly generated with the instant formatting feature. The output style of the IN-TEXT and BIBLIOGRAPHY is chosen here as well. The unformatted text above in 2a generates the sample bibliography item 1 below and appears in-text as in the bulleted item below: use the INSERT CITATION option on the Word EN toolbar to search for a citation matching your entered terms in the dialog box (1) Or insert a selected reference(s), from either EN or from within the Word-processing program using the INSERT SELECTED REFERENCES option. (2,3) Below is the generated bibliography from the inserted formatted citations in 2 above. The Bibliography is identified by a MS Word Bookmark and can be moved in total to any part of the manuscript. EndNote Generated Bibliography in Vancouver Output Style 1. Angell JK. It integrates EndNote commands into an EndNote 7 submenu on the Tools menu of WordPerfect and allows or a streamlined formatting process to cite references and create a bibliography. Back up The process of making a copy of the database for storage purposes. Boolean Connectors or Operators see Logical Connectors Browse list (Reference Manager) A list showing all of the existing terms associated with a field. See Term List (EndNote) Capture see Import Filter Cite While You Write An add-on program to your word processor. This program allows you to cite references while you are writing a manuscript. Connection Files Connection Files are used to store the information necessary to connect to and search online databases. Connection Files are stored in the Connections folder in your EndNote folder and can be browsed using the Connection File Manager (from the Edit menu, choose Connection Files and select Open Connection Manager). Open a Connection File to establish a connection to an online database. Internet access is required. CWYW see Cite While You Write Data File A data file consists of the records captured or saved from a reference database, whether from an online database or from a CD-ROM. A data file must be a text file in order for its records to be imported by EndNote into an EndNote library. Database A database is a file consisting of one or more records, each containing one or more fields of information, such as the name of the author, title of publication, year of publication, and so on. In the context of EndNote, databases are typically collections of bibliographic data, and are referred to as libraries. Default A value, action, or setting that a computer system or program will assume unless the user intervenes to override it. Delimiter For importing, character(s) that separate fields. For Cite While You Write, character(s) which specify an insertion point in your manuscript for unformatted citations. Display Fonts EndNote has a concept of Plain Font, as well as Plain Size, and Plain Style. All references in your EndNote library should be stored in the plain font, size and style, unless a specific change is necessary (such as the use of Symbol font or italics for emphasis of a word). The appearance of the plain font is determined by the General Display Font setting. This changes the font used to display the references, as well as being the font that is used when printing or exporting references directly from EndNote. The Library Display Font is the font used to display references in the Library window. Both display fonts may be changed using EndNote s preferences. Download To save a remote database search results to a text file for import into EndNote Export To create or save a file from a EndNote database or subset retrieved from a database. An exported file can be save in a text (*.txt), rich text format (*.rtf) or web html (*html) file formats and will appear in the chosen EndNote style. For exchange with other programs use styles from the export styles category such as RIS (RM format), MEDLINE, comma delimited or tab delimited format. Field names or labels see Tags. Fields The individual components of references. As you create or edit output styles, you use fields to specify the format for the in-text citation and bibliography. Fields include Title, Author, Date, and so forth EndNote allows for up to 40 fields in each reference. Field Codes Cite While You Write inserts hidden field codes around and inside your formatted citations in Word or WordPerfect. These hidden codes contain reference information, and allow EndNote or Reference Manager to format, unformat, and re-format citations within Word. Filter A filter is a file consisting of one or more Reference Type templates that instruct the program how to interpret and import data into the corresponding fields in EndNote or Reference Manager. Filters are selected as import options when you choose the Import command from EndNote s File menu. EndNote comes with a variety of filters, each designed for a specific database. You may also create your own filters, or modify any of those supplied with the program. Filters are stored in the Filters folder in the EndNote folder; you may browse the list of filters by choosing Import Filters from the edit menu and selecting Open Filter Manager. Fonts see Display Fonts Formatted citations Citations that appear in the final version of the manuscript.

17 EndNote 7 Workbook page 17 of 24 09/20/05 Generic fields & reference types The Generic reference type includes the complete set of 40 fields that are available in EndNote. It is generic in that it is not specialized for a specific type of reference (such as a book or a journal article). EndNote has a fixed set of generic fields that provides the basis for all specific fields used in the different reference types. The generic field names are not worded to be reference type-specific (for example, the generic field name Author is equivalent to Reporter for a newspaper article or Artist for the Artwork reference type). Generic field names are used throughout EndNote (for example, in the Sort References and Search dialogs) to refer to a similar category of fields that can be found in the different reference types. Global Editing Global editing commands allow you to make editing changes to a group of records at the same time, rather than having to edit each record individually. Change Text searches for text in your library, and either deletes that text or replaces it with other text that you specify. Change Field modifies any field in your library by either inserting text at the beginning or end of the field, replacing the contents of the field with different text, or deleting the contents of the field. Move Field provides a way to move the entire contents of one field to another field within a reference. Import filter see Filter In-text Citation An in-text citation is the brief citation to a reference that appears in the body of the text of a paper. Typically this is just the author name and year in parentheses, or a bibliography number. Keyword A term or phrase associated with a reference that can be used for retrievals. The keyword field is indexed, which allows for faster retrieval of references. Library In the context of using EndNote, a library is a database of references. It is a collection of records of reference material. When you choose Open from EndNote s File menu, you open a library. The references are displayed in the Library window. Log file When using the Connect command to search and retrieve references from online remote databases, EndNote maintains a log file to record communication status messages with the remote database as well as a log of the references that were retrieved. The location of the log file can be determined (and changed) by choosing Preferences from the Edit menu, and clicking the Online option. Logical Connectors or Operators: Use of AND, OR, NOT to link terms or search sets. AND retrieves items matching both terms, OR retrieves items matching either term. Also called BOOLEAN Connectors. MARC (MAchine Readable Cataloging) MARC is a standardized format developed by the Library of Congress for producing machine-readable bibliographic records. MARC uses numeric tags such as tag 100 for Personal Author, and tag 245 for the Title. Multiple citation Two or more citations enclosed within one set of delimiters in a manuscript. Output styles Define how your references are cited and printed. Using output styles, you specify which fields to print in your in-text citations and list of references. You also specify the order of the fields and any punctuation associated with the data in the fields. They are usually associated with citation standards specified by a journal or scholarly association. Output styles are often referred to simply as styles. Periodical synonyms Periodical Synonyms are alternate names for the same Periodical. Each set of Periodical Synonyms can have four entries: Full, Standard Abbreviation, User One, and User Two. You can use any of these synonyms for data entry, retrieving, and formatting bibliographies. PubMed an online web based system developed by the National Library of Medicine (NLM) and the National Center for Biotechnology Information (NCBI) to search the medical journal literature database (MEDLINE) Reference ID Unique labels assigned to each reference within a database. They are used for retrieval and or inserting references in a manuscript. Reference types Category of reference, such as: journals, books, conference proceedings, patents, slides, and theses. See also Generic fields & reference types Remote database Databases available online using EndNote s Connect command. These are typically databases that are accessible on a Z39.50 server. They include library catalogs and other bibliographic reference databases obtained by subscription and mounted at your local institution. Some (subscription databases) require special usernames and password. An Internet connection is required to access a remote database. Retrieval strategy The criteria that specifies what to search for in a database. Each strategy must contain at least one field name (such as author, title or keyword) and one parameter (the contents of the field). It may also contain one or more Boolean connectors (and, or, not).

18 EndNote 7 Workbook page 18 of 24 09/20/05 Retrieved References window The window that appears when a connection to a remote database is established. This workspace displays the connection status as well as the references retrieved from your searches. Use this workspace to store retrieved references as you continue searching the remote database. When your searching is complete, copy the references from the Retrieve References window to the Library window to save them. Styles See Output Styles. Synonym A term having the same or similar meaning as another term in the term list. Tagged format A label at the beginning of each field in a text file. For example, in MEDLARS (MEDLINE) format each author is on a separate line that begins with AU - (without the quotation marks). Tags Labels at the beginning of a field in a text file that identifies the type of information contained in that field. Tags include text such as TI for title and AU for author. Templates Templates are used in both styles and filters to show EndNote how to output or import bibliographic data. The templates use field names to represent the actual bibliographic data as it should be arranged in a bibliographic entry (in the case of styles), or in a data file to be imported (in the case of filters). Typically, a different template is constructed for each reference type. Term Word or phrase in the authors, keywords, or periodical field of a database. Term List A list showing all of the existing terms associated with a field. (Browse List in Reference Manager) Term Manager A utility used to edit, add, or delete terms (authors, keywords, and periodical names) in your database. You can also perform global editing functions, such as replacing one term with another, deleting terms, and quickly retrieving terms. Text File A text file consists entirely of characters that can be typed in from a standard keyboard. A text file may contain any character from the English alphabet, punctuation marks, spaces, and numbers. A text file cannot contain any control characters or text styles used by a word processor to format text. EndNote can only import records captured or saved as text files, and cannot read files saved in a word processor format. Traveling Library When you use EndNote s Cite While You Write commands in Word, each formatted citation in your document is saved with field codes that embed reference data in the document. The paper contains a traveling library of EndNote references cited. This makes it easy to use your document on other machines and share your document with colleagues. Unformatted citation The text EndNote inserts into your manuscript based on the identifying text you entered. URL A URL or Uniform Resource Locator can be used to specify the location of any resource available on the Internet (typically for Web pages or FTP sites). A common format for a URL for a Web page is Web of Science The ISI Web of Science is the Web interface for access to the ISI Citation Databases, which cover over 8,000 international journals in the sciences, social sciences, and the arts and humanities. Through ISI Links, the Web of Science also offers navigation to electronic fulltext journal articles, genetic information, and chemical and patent databases. Z39.50 A standard search interface specification which allows EndNote and other similar programs to use their internal reference retrieval systems to search external databases that have been configured for Z39.50 access. EN comes installed with Z39.50 access to PUBMED, Web of Science and large list of online library catalogues including the U of M s. To access institutionally licensed databases such as on NETDOC you must configure EM with appropriate settings.
