5 About EndNote Reference management is the process of storing, managing, retrieving, and citing references from various sources. Access and installation Students and employees at NTNU have free access to EndNote. The software can be downloaded from both campus and SiT apartments. 6 Create a library in EndNote When you open EN the first time, you will have some choices. Choose Create a new library. Give the file a name, and Save (Lagre). The file will get the extension *.enl A folder will also be created, with the extension *.Data Make a back-up copy of your Library Your Library must be open. Choose File > Compressed Library (.enlx) on the menu. Mark: Create, With File Attachments and All References in Library, then click Next. Give the Library a name, and save it. The copy contains both file and folder. Repeat this regularly. There is no automatic copying to the compressed library. EndNote X7, aug-15 6

7 Edit > Preferences Libraries It is recommended not to have more than one Library. If you have more than one, you must choose the Library you want to open when starting End Note. Activating OpenURL Choose Find Full Text. To get access to the OpenURL-server at the Library, you have to fill in this link: EndNote X7, aug-15 7

8 The Library Always open EndNote from the programmes list, not via Word. Mode Style Field Reference/Preview/PDF/Attach file Vis/skjul tomme felt Mode: You can work in three modes in EndNote: Local Library Mode, Online Search Mode, or these two integrated. A new library will open in the integrated mode, and we recommend that you change this to Local Library mode, as in the figure above. Style: Choose the preferred style from the menu. 9 Entering a Reference From the Reference menu, choose New Reference or click your library to add a new reference to Choose a Reference type from the reference type list. 10 Use the TAB key to move to the next field Comments to some of the fields: Author: Journal: Alternate Journal: File Attachments: Authors are written like this: - Last name, Firs name Indivdual author names must be entered one per line. Fx: - Smith, Mary Elizabeth - Smith, M. E. Press Enter to accept EndNote s suggested author name Institutions/Organizations as authors must be entered with a comma (,) at the end Fx: - University of California, - University of California,, Berkeley Press Enter to accept EndNote s suggested author name Journal title Journal abbreviation Attach a PDF file to the reference, choose References > File Attachments > Attach File from the menu and find the file you want to attach Place of publication: choose the first mentioned Edition: 2 nd, 4 th etc If you only have the initials of the authors first name, write the initials with a period (Smith, M. E.) No extra punctuation or text styles are entered into the reference. Close (and save the Reference) by clicking the close button in the upper corner of the Reference window, or by choosing Close Reference from the File menu There are some fields you have to fill in to make a correct bibliography Books: Author, title, publication year, publisher, place of publication Publisher: choose the first mentioned if there are two Articles: Author, article title, journal/source title, volume, issue, pages Online documents: Author, title, year, url and date of reading EndNote X7, aug-15 10

11 Entering references from databases Searching online databases is the easiest way to retrieve references. If you have access to online reference databases, indexes or a library catalogue, you can use EndNote s import filters to import references and text files saves or downloaded from these sources. EndNote filters are configurable, to give you the flexibility to build the best reference library for your need. Ex 1: Scopus: Tick the references you want to export, and "Export". Choose "RIS format (Reference Manager, ProCite, EndNote)" In "Output" you can choose what information you want to export to EndNote. (Eks. Abstract) Click Export EndNote X7, aug-15 11

13 Ex 2: ISI Web of Science: Perform a search in ISI Web of Science. Tick the references you want to export to EndNote, and click the icon " Marked List" or click Next Page to see more references. Click [Marked List] EndNote X7, aug-15 13

15 Ex 3: SciFinder: Perform a search in SciFinder (Chemical Abstracts). Tick the references you want to export to EndNote, and click Export Choose Tagged Format Click Export EndNote X7, aug-15 15

16 (In Firefox:) Choose Open with and find EndNote. Import filter When EndNote ask you to choose an import filter, find SciFinder (CAS) in this list, and click Choose. EndNote X7, aug-15 16

17 Ex 4: ProQuest databases Perform a search in ProQuest. Tick the references you want to export to EndNote, and click the icon " Export/Save". EndNote X7, aug-15 17

18 Ex 5: ORIA Perform a search in ORIA. Tick on Details, then Actions and choose EndNote. Tick OK in the next box EndNote X7, aug-15 18

19 Ex 6: Google Scholar: Before you start searching in Google Scholar, you should do some changes in Scholar preferences/ Settings Tick Settings At the bottom of the page, you will find Bibliography Manager. Choose Show links to import citations into EndNote and Save Preferences. (NB Check that Cookies are not disabled in your browser) EndNote X7, aug-15 19

20 Make a search in Google Scholar Click the link Import into EndNote. The box Opening scholar.enw will show up. Tick OK and the reference will be imported into End Note. EndNote Web ( EndNote Web is a Web-based reference organizer and collaboration tool that enables EndNote users to collect references when away from their desktop, and collaborate easily with others. You need to create an account in EndNote Web ( From ISI Web of Science to EndNote Web Tick your references, and click Save to My EndNote Web. EndNote X7, aug-15 20

21 Log in, or create a new user. From Scopus to EndNote Web Tick your references, and click Save to My EndNote Web. Log in, or create a new user. Choose Export, and Save (Lagre) the file (named scopus.ris). Import the file (scopus.ris) into EndNote Web. Choose Collect and Import References: EndNote X7, aug-15 21

22 File: Filter: To: Choose the file (scopus.ris). Choose the filter Scopus. Choose the group to import you references in (if you have any) Click Import. 23 Online search from EndNote EndNote has installed hundreds of connection files for a variety of databases. They are located under Online Search Tick "more " to get access to all the connection files. Enter you search terms. You may use the Boolean operators and, or, not NB! 24 Searching an EndNote Library Open the EndNote Library Quick search Type your search term. Searching the Library Use All References to make a search in all your references Click Search. Type your search term, and select field from the field list. Search fields can be combined with logical operators And, Or, Not from the end of each search line. EndNote X7, aug-15 24

25 Organize References Sorting references Sort the references by clicking on the column heading (such as Author, Year, or Title) Delete references Select All References and click on the references(s) you want to delete click the Deletebutton. Note! Do not delete references that are in use in a Word-document. Duplicate control After importing references to your library, choose References > Find Duplicates Duplicates are displayed side-by-side for comparison; the first imported to your library will always be to the left. 26 Create groups As it is adviced to have only one EndNotelibrary you can use groups as a tool to organize the library. To create a new group and add references to it: Right click on My Groups to create a new group. Click on the All References group to display the entire library again. Highlight the references you want and drag them to the new group. Delete references from a group by highlighting the references, right click and choose cut. The references will still be in the Library (All References). Update references EndNote can update references by collecting information from databases, e.g. ISI Web of Science etc. Highlight the reference(s) and choose References >Find Reference Updates in the menu. Click on [Update All Fields] or [Update Empty Fields] Click on [Save Updates] to save. EndNote X7, aug-15 26

27 Create bibliographies (without using references in a Word document) Open your Library. Highlight the references you want to import into the bibliography Choose the output style from the Style menu. Select File/Export from the menu, or click Save the file in rtf, txt or html-format to export the references to a file. Finding full text EndNote can locate and import both bibliographic information and the full text of the document you are referencing. NB! the full text must be free or available through NTNU UB subscribtions, and you must be logged on the NTNU net. Highlight the references and click the full text symbol Under the Find Full Text group set heading, you will see a Search group, indicating that a search is in progress. When the Find Full Text search is completed, the Search group is removed. Depending on the results, you may see a combination of three different groups under the Find Full Text heading: Found PDF, Found URL, and Not found. In the reference list, some references have a paper clip icon added next to them, indicating an attached file. These references will also have an URL added to the URL field. The URL is to the provider s website, where the full text article is available, or there will be more information on how to obtain the full text article. EndNote X7, aug-15 27

28 Creating Bibliographies Using EndNote EndNote s Cite While You Write tool helps you to insert citations and format bibliographies in a manuscript. This tool is integrated with the Microsoft Word processor. Insert EndNote references into a manuscript 1. In Word: Place cursor in manuscript where you would like the in-text citation to appear. 2. In EndNote: Highlight the reference 3. In Word: Insert Citation. The citation is inserted in the text, and in the reference list. EndNote X7, aug-15 28

29 Change output styles in the manuscript Choose "Select Another Style " to get access to more styles Edit Citations If you need to edit the citation in your text - tick Edit & Manage Citation(s) Highlight the citation, edit, and tick OK to save. EndNote X7, aug-15 29

30 Delete citations If you want to delete a citation from your text, tick Edit & Manage Citation(s), and choose remove citation. The reference will only be deleted from the text, not the EndNote library. Creating chapter bibliographies The EndNote standard is to create one bibliography at the end of a Word-document. You can also make separate bibliographies at the end of each chapter or section of your document. Word 2010: From the Insert menu, choose Breaks, and then select one of the four options under Section break types: Next Page, Continuous, Even Page, or Odd Page. EndNote X7, aug-15 30

31 Now you can choose style. You can choose the style in EndNote or in Word. Some styles format sections: APA 5 th (sections), APA 6 th (sections) or Chicago 16 th B (Sections. If you want to delete this structure in your document: Choose Hjem, and click on the symbol to display the formatting. Delete the option you chose earlier. Remove field codes It can be wise to remove field codes before you send a manuscript to publication. Choose Convert Citations and Bibliography > Convert to Plain Text A copy of your manuscript without field codes will now be saved. NB! You must keep the original document with field codes, if you have to reformat the document later. EndNote X7, aug-15 31
