Chapter laid out as follows: 2.1 Title Page 2.2 Chapter Table of Contents 2.3 Chapter Text 2.4 Chapter References 2.5 Separate files for tables/reaction schemes/figures/illustrations 3. Copyright Permissions B) Chapter submission checklist - we will send you an electronic version of the checklist to use. An example chapter and chapter submission checklist are at the end of this document. 1. Chapter Abstract A word abstract needs to be submitted with your chapter as a separate file. The abstract will only be present in the ebook on the RSC website. The abstract is very important in promoting the book content. 2. Chapter 2.1 Title Page To display: Chapter XX (where XX is your chapter number) Title Author list [with superscripted letters to signify affiliation and an asterisk for the corresponding author (single chapter authors do not require either of these)] Addresses (work only) + Corresponding author [no telephone numbers or fax numbers required] 2.2 Table of Contents (including all sub-headings) The main text should be divided into sections with headings as appropriate. The number of headings is at the discretion of the author and should be numbered as follows: 1. Chapter Number [used only to denote the chapter + title] 1.1 Section Heading Sub Section Heading Another Sub Section Heading Only chapter, section and first sub section headings will feature in the overall contents list House Style: All main words within a heading should be capitalised. No full point is needed at the end of a heading. Acknowledgement and Reference sections should be at the end of the chapter and not be numbered. 2.3 Chapter Text Format Spacing Language Nomenclature Units Abbreviations Equations Microsoft Word Double-spaced Punctuation and spelling should follow standard English practice The use of standard IUPAC nomenclature is encouraged As far as possible SI units and symbols should be used, for reference see "Quantities, Units and Symbols in Physical Chemistry", (ISBN ). Defined at first mention unless very well known. Should be Mathtype and displayed on a separate line in the main text and be numbered consecutively throughout each chapter with Arabic numerals ((X.1), (X.2) etc., where X is your chapter number) in parentheses at the right-hand side of the page. Symbols for variables and physical constants should be italicised. Matrices and vectors should appear in bold. 1
2 2.4 References/Bibliography References should be superscripted in the text (e.g. one day. 36 The next ). A list of references in numerical order should appear at the end of the chapter. CASSI Journal abbreviations should be used. An Endnote style file is also available for download. Journal Reference Style: Authors, Article title, The CASSI abbreviated Journal Title, Year, Volume, Page range. [Note Italics/Bold] Book/Proceedings Reference Style: Authors, Chapter title, Book Title, ed. B. Jones and J. Bloggs, Publisher, Publisher location, edition, year, volume, chapter, Page range. [Note Italics] Patents, Theses etc. should show all relevant information, authors, title, publisher, year, editors, volume, patent number, and page numbers. 2.5 Tables Reaction Schemes Figures Illustrations These should be submitted as separate files along with a separate list of Captions. Items should be numbered as X.1, X.2, etc., (where X = chapter number) using Arabic numerals, consecutively throughout the chapter and should be referred to as such, not by words like "above" or "below" Tables should be single-line spaced. Footnotes in Tables should be self-contained, labelled with superior lower-case letters, and listed as a block of text beneath the Table. The recommended location of a Table in the text should be indicated thus: [Table 2.5 near here] Structural Formulae and Reaction Schemes should be named Scheme and the preferred positions in the text should be clearly indicated thus: [Scheme (2.11) near here] Figures e.g. Diagrams, Graphs and Photographs. Their preferred positions in the text should be clearly indicated thus: [Figure 2.7 near here] Illustrations should be supplied suitable for direct reproduction without further retouching or redrawing. The maximum area available in the printed book will be approximately 20 x 12 cm and no figure can exceed these final dimensions. Figures should be adequately labelled, and this must remain legible after reduction. The recommended location of a Figure in the text should be indicated thus: [Figure 2.7 near here] Figures and illustrations Send separate files in the following formats: TIFF/PDF/EPS/DOC/XLS/PPT/JPEG/CDX The resolution should be at least 300dpi for a final size 20 x12 cm The use of colour in illustrations must be agreed in advance with the RSC and the book's editor and will only be considered where scientifically necessary For b/w books, all images must be provided in greyscale (not colour). Please check the images will be clear to the reader in greyscale. Note: Figures taken from internet sites are not usually of good enough quality to reproduce and may also be copyright protected the original authors should be contacted for a better file and permission Captions to Figures should be provided as a separate list in a separate file. Captions should also contain the permission text where necessary. Estimating the final number of printed pages of your chapter by word count A printed page with only text contains approx. 550 words: 50 lines, 11 words/line (on average) Consider how many lines Figures, Schemes, Tables etc. occupy to calculate the word-equivalent Word equivalent guidelines Illustration 275 words (figures printed sideways count as a whole page) Single line mathematical/chemical equation 30 words 1 substituted benzene ring (average size) 100 words 2
3 3. Copyright permissions Copyright is an intellectual property right chiefly concerned with original written works and the typographical arrangement of published works. Copyright owners have the exclusive right to copy their work and to issue copies of their work to the public, and it is an illegal infringement for anyone else to do so without the copyright owner's permission. The RSC must ensure that the material we publish does not infringe the copyright of others and must acquire the legal rights it needs to publish the material. This means: If you intend to reproduce an image in the book chapter (figure, diagram, schema, tables etc.) for which you do not own the copyright then permission must be obtained from the original publisher. An acknowledgement should be included in the typescript in the form prescribed by the copyright owner. It is the responsibility of the chapter author(s) to obtain these permissions The chapter cannot be published until we receive a completed Permissions Confirmations Form verifying permissions have been given. Please note that permission is also required for figures which have been redrawn, unless the new figure is significantly different from the original. In the latter cases an acknowledgement must still be included in the figure caption. A Permissions Confirmation Form is included at the end of this document and will also be sent electronically. 3.1 Use of RSC Material in RSC Book Chapters Authors contributing to a book chapter do not need to formally request permission to reproduce an image contained in another RSC publication. The correct acknowledgement should be given in the caption of the reproduced image as follows: All RSC publications except NJC, PCCP or PPS* NJC PCCP PPS Reproduced/Adapted from ref. XX. Reproduced/Adapted from ref. XX with permission from the Centre National de la Recherche Scientifique (CNRS) and The Royal Society of Chemistry. Reproduced/Adapted from ref. XX with permission from the PCCP Owner Societies. Reproduced/Adapted from ref. XX with permission from the European Society for Photobiology, the European Photochemistry Association, and The Royal Society of Chemistry. Ref. XX is the XXth reference in the list of references. * NJC = New Journal of Chemistry; PCCP = Physical Chemistry Chemical Physics; and PPS = Photochemical & Photobiological Sciences. 3.2 Use of Third Party Material in RSC Books Type of Permission Permission is required to include the specified material in the book and in all subsequent editions of the book to be published by The Royal Society of Chemistry for distribution throughout the world, in all media including electronic and microfilm and to use the material in conjunction with computer-based electronic and information retrieval systems, to grant permissions for photocopying, reproductions and reprints, to translate the material and to publish the translation, and to authorise document delivery and abstracting and indexing services Obtaining Permissions Permissions can be obtained in a number of ways, please check how the third party publisher/copyright owner of the third party material wishes to receive permission requests. If unsure it is always best to check the publishers website directly Signatories to STM Permissions Guidelines A number of other publishers have opted out of receiving express permissions as long as they fall under the Rules of the STM Permission Guidelines including Elsevier, Wiley and Nature Publishing Group. The guidelines and full list of publishers can be found at: The correct acknowledgement should still be given in the caption of the reproduced image. Please check the publisher s website directly if you are unsure of anything. 3
4 RightsLink For journal material, if the third party publisher is not a Signatory to the STM Permissions Guidelines, the majority of publishers now use RightsLink from the Copyright Clearance Center (CCC) in the US to process their requests including the American Chemical Society, Springer and Taylor & Francis Group. You can obtain permission directly through the article on the publisher s website. To Use RightsLink: 1. Find the relevant article on the publisher s website 2. Click on the permissions link 3. Follow the instructions in RightsLink When entering details please note that the RSC is: A non-profit organisation A signatory to the STM Permission Guidelines Other Publishers with request procedures If they are not a Signatory to the STM Permissions Guidelines and do not use RightsLink then they may have their own permission request forms and/or specify what information they need to process any permission request please see their own websites for further information Other Publishers without request procedures If the publisher/copyright owner does not have a specific procedure please complete and submit a Permission Request for non-rsc Material form and send it to the permission administrator or editor of the relevant publication. Frequently Asked Questions If I redraw an image do I still need to obtain permission? Yes and you should check if you are permitted to do so by the publisher. The correct acknowledgement should also be given in the caption for the reproduced image. Do I need permission to reuse my own images which have already been published? It depends on the Publisher s policy. Generally copyright is with the Publisher so you will have to check if permission is required. 3.3 Copyright Fees If the publisher requests payment for use of the material then the author must pay the copyright fees as agreed in the Letter of Agreement for the chapter. You can try to get an exemption and the following wording can be used: I note that you request a payment of x for use of material y. The Royal Society of Chemistry is a registered charity (number ) devoted to advancing the chemical sciences. As a signatory to the STM Guidelines on Permissions and in the interest of facilitating the dissemination of chemical knowledge, we do not charge for reuse of our own material and we grant permission to requests such as this free of charge. Could you please consider waiving your fee in this instance? Proofing You will receive a set of proofs typically within 3-4 months from when the editor submits the complete manuscript for the book to the RSC. All the copy-editor's queries should be answered on the set of proofs on which you make your corrections. The corrected proofs should be returned within 7 days to the editor of the book. Please note that the proofing stage is to correct typographical errors. Simple errors in the original typescript can of course be corrected, but it is not possible at this stage to accommodate large insertions or other major revision of the text, because the Index will be in preparation. 4
