It has an honorable tradition: Mark Twain, Zane Grey, Walt Whitman, William Blake, Robert Burns, Henry Thoreau, Herman Melville, T.S. Eliot, James Joyce, Ezra Pound, and Carl Sandburg, among others, were all selfpublishers at one time. You will be assigned an editor who can coordinate the production of your book. The written word is a part of everyone s life. To write a book, whether a novel, book of poetry, or a genealogy of your family, is to express yourself creatively. But, once you ve finished your manuscript, you have just begun the first labor pains in giving birth to your book. Now you must get it published. Evanston Publishing provides a way to get your manuscript into print. The professional services we offer include editing, typesetting, design, illustration, proofreading, and printing. To make decisions about what publishing services you need, you will want to know about the self-publishing process itself. This booklet has been prepared to furnish such information to authors who plan to self-publish a book. It is important to know what Evanston Publishing does not do, as well as what it does. We will not promise to buy your book because it is special, nor will we offer you a royalty, since you cannot receive a royalty on something you already own. The process of publishing can be long and complicated. Books are the result of teamwork: the author, designer, typesetter, and printer all become intimately involved with the production of any publication. An editor will present options and offer counsel and supervision.

Importance of Professional Design Why use a packager rather than just hire a printer? Simply, a publishing company that does book packaging has the editing and design experience that goes beyond merely printing a manuscript. If your work is already press-ready, Evanston Publishing can be your printer. Because we are a small, independent book packaging company, our costs for editing, design, and typesetting are also reasonable. The design of your book can be important in getting people to buy it. Look at the books at your local bookstore or library. Your hand automatically reaches for the one with the unusual or beautiful cover. And after you begin to read a volume, the pages you will continue to read are the ones designed with a clear typeface that is well-positioned on the page. Pricing Once you have decided which of our services you will need editing, typesetting, design, illustration, proofreading, printing call us. We will prepare a proposal stating your costs. When you approve the proposal, you will be sent a formal contract to sign. There will be no hidden or extra charges, and no need to figure out complex pricing schedules. We will begin work on your book when you return the signed contract and a deposit toward the total costs. The payment structure depends on which services you need.the last payment is due after the book is printed and before it is delivered. Manuscript Design Evanston Publishing has established guidelines to assist you in preparing a manuscript for publication. If you have questions about the instructions, please call your editor who will assist you. To start your understanding of the self-publishing process, carefully look at books in your library or bookstore and note what is printed on the front and back covers and how material preceding the first and last pages is arranged. All material that precedes the main content title page, preface, acknowledgments, table of contents is called front matter and should be submitted with the manuscript. These pages and the back matter are included in the total page count. Back matter can consist of an index, endnotes, and bibliography. Ask your editor for information about the specifications for this material. General Infomation about Typesetting Your Own Book To typeset your own book, follow these specifications and the instructions on preparing press-ready copy on page 19.

6 6 Use the instructions for preparation of press-ready copy in this booklet. Camera-ready means the book page files look exactly as they will when printed. Having your manuscript professionally edited can give you new insights into your writing. A book begins with a right hand page. All odd numbered pages are on the right and even numbered pages are on the left. Begin each chapter on a new page. Be consistent in your style. It doesn t matter if you capitalize your heads or put your page numbers on the bottom or top of the page. Just make sure they are the same throughout the book. The most common sizes for books are 6"x9", 5.5"x 8.5", and 8.5"x 11". Your choice of page margins should correspond to the size you choose. The smaller sizes are the most economical and easiest to handle for author and reader. Keep your margins exactly the same for every page. Allow room for a gutter. A book with pages justified (the type has even right and left hand margins) looks more professional. The page you are now reading is justified. Your press-ready file must be submitted in PDF format, along with a hard copy of the press-ready pages. Evanston Publishing can convert most word-processing files to PDF for a small fee. If you have any questions about the format for submission, ask your editor. editor who will help you through the steps of the publishing process. After conferring with you about what your finished book should look like and any special requests you might have, the editor will put the book into production. There are three distinct stages to production. The first is the editing of the book. The editor will carefully read through the manuscript, noting any alterations that he or she feels should be made, such as grammatical and stylistic changes. This will not alter the meaning of the book. The annotated manuscript will be sent to you and the final choice of whether those corrections should be made is totally yours. Evanston Publishing respects the fact that you have the final right of approval of any editorial changes to your manuscript. No one will ever read your book as closely or as objectively as will your editor. He or she is trained to see what is good about your manuscript and ways it might be improved. Your relationship with your editor is an important one and should be based on mutual trust and respect. Editing is the first step in publishing a book. Editing Your Manuscript Once you submit your manuscript to Evanston Publishing, you will be assigned an Designing the Look of The Book Once you have approved the editing, your book begins the second production step.

7 7 Design is the second step of production. Authors have their choice of paper or cloth covers, different bindings, and weights and types of paper. It is sent to the designer who will provide options on the type style as well as the page and cover design. Our staff will confer with your editor about any special requirements you have indicated for the art, design, and layouts. You will then be sent the page proofs. This proof is a copy of the computer files that will go to the printer. We advise you to talk to your editor before making more than minor changes to page proofs. Printing the Book When the page proofs are corrected to your specifications, you will give your approval, and your book becomes ready for printing, the final step in production. The length of time between the submission of a manuscript and receipt of the finished book varies. The Binding and Cover Paperback books can be printed on an offset press (larger runs) or digitally (smaller runs). Our standard paperbacks are perfect bound (with spine) and printed on 50-pound acid-free paper in black ink with a laminated gloss cover. We also print color text, and use different types and weights of paper stock. Hard covered (casebound) books are often cloth covered, Smythe sewn, and can include a dust jacket. For those authors who do not need perfect bound or sewn books, we offer other styles of binding, such as saddle stitching (wire stitching), comb, and wire-o. Your editor will discuss the choices available and their costs. Printing costs tend to be cheaper on quantity orders. Select the maximum number of books practical for you, rather than expecting to reprint when you run out. The smaller the size of a printing run, the higher the cost per book. Pricing the Book The best rule of thumb in pricing a book is to charge at least three to five times the cost of production. This amount is based on marketing and promotion that must be included in your costs. Moreover, bookstores and distributors take large discounts on list price. 8 8 Many factors must be considered in pricing a book correctly. An ISBN number must be on every book published. Evanston Publishing will obtain an ISBN number as part of our free services. We can help you with marketing your book through our On-Target program (see pages 28-29). Legal Requirements Certain legal requirements are necessary for the proper protection of any publication. A copyright is essential to keep others from using any portion of your work without your permission. For books that were created on or after January 1, 1978, U.S. copyright law has established a life plus fifty system. A work is automatically protected from the moment of its creation in tangible form to 50 years after the author s death. The information on the reverse of the title page should include the word copyright, the year of publication, and the name of the copyright owner. It usually also includes the symbol which gives protection in those countries that are members of the Universal Copyright Convention. It might also contain other warnings about copyright infringement. The copyright for books we publish reads: Copyright [date] by [author's name] All Rights Reserved. Your copyright can be registered with the U.S. Copyright Office of the Library of Congress, which will list your book in the Catalog of Copyright Entries. Such registration is not mandatory, but Evanston Publishing can prepare these forms for you, if you wish. Besides putting a copyright notice within your book, it is necessary to get an ISBN number. The letters ISBN are an acronym for International Standard Book Number, an international system for numbering of books for identification purposes. Publishers receive a set of numbers which they assign to the books they publish. The ISBN is listed under the copyright notice and on the lower right-hand corner of the outside back cover of a book or dust jacket. Once a book is assigned an ISBN number, it can be listed in Books in Print which is a source guide used by libraries and bookstores. Bookstores and distributors will not handle a book without an ISBN number. As part of our services, Evanston Publishing allows you to use an ISBN number free of charge. This is only offered to authors who print their books with Evanston Publishing/ Chicago Spectrum Press. Some authors want a Library of Congress Catalog Card Number. Issued by the Library of Congress, the numbers are sent to member libraries and registered books are listed in The National Union Catalog.

9 9 Evanston Publishing will list your book in Books in Print. Permissions are very important. The Library of Congress card number, which is also entered on the copyright page of a book, is not required. The Library of Congress offers these numbers free of charge to authors. Evanston Publishing will obtain one for you if you like. For more information about copyrights and Library of Congress Catalog Numbers, visit our web site at Permissions Every author must be aware of the need for permissions. These are grants of approval to quote or use copyrighted material in a book. To secure such permission, you must send a request to the owner of the copyright, who is listed in the copyright information of every book. There is usually a small charge to use such material. Permissions are also needed to use photographs, music, artwork (including old masters owned by museums), cartoons, and even maps. 12 12 Choosing Your Publishing Company It is always sensible to do some comparison shopping. By doing this, not only will you learn more about self-publishing, but you will discover what outstanding services and reasonable pricing you are getting from Evanston Publishing. work out? Therefore, if you are offered a royalty for your selfpublished book, you are in effect being told that the publisher is retaining rights to your book. Choosing the right publisher for your book ultimately defines that book. Below are some questions to help you make sure you are working with a true selfpublisher, and not a vanity/subsidy or Internet scam. ASK YOURSELF, CAN I Know all my costs up front? Set the price I want to charge for the book? Have input on cover design? Have input on interior layout and design? Know the cost per book before signing a contract? Choose the number of books I personally receive? Maintain the copyright in my name alone? Keep all other rights to the book in my name? Choose the options I need (and not pay for package items I don t need)? Decide for myself the quality and type of paper, binding, finish, etc.? Understand every word in the contract? Sell the books without going through the publisher? Choose for myself when or if the book goes out of print? Have the option of using an editor or proofreader that I choose? Sell to bookstores at no extra fee (code-named Returnability by some companies)? Take my book to a different publisher if things don t If you cannot answer yes to all these questions, you are not working with a self-publishing company. If you must maintain a relationship with a company in order to get copies of your own book, you are dealing with a vanity or subsidy press, not a self-publishing company. In self-publishing, you make all the decisions you want to make, get expert advice at all stages of the process, know all costs upfront, authorize all work before it is done, see proofs at several stages including every time changes are made, keep all rights to your book, choose the options you need, and are free to take the book elsewhere if you are unhappy.

15 15 Important Information about Our Optional Publishing Services Marketing Evanston Publishing offers marketing consultation through On-Target Marketing (see pages 28-29). Typesetting and Page Design Standard quality typesetting and page design require a knowledge of composition and layout. Evanston Publishing has set up a cost scale to meet the needs of most authors. TYPESETTING AND PAGE DESIGN: Typesetting charges range from $5/page to $7.50/page, based on the size of the book. Custom design of the text is $250 and includes at least three customized templates. CORRECTIONS AND CHANGES: After typesetting is completed, any corrections or changes requested by the author are billed at $75/hour. All charges listed above do not include typing the manuscript into the computer (input). Typing (input) is not the same service as typesetting, which professionally prepares the text for printing. Editing and Proofreading Evanston Publishing, Inc. supplies our authors with editing/proofreading services. All charges are hourly and are listed on page 14 in the "General Prices Other Than Printing" section. BASIC EDITING: A one time edit for a book, usually done on the paper hard copy before a book is typeset. This includes identifying grammar, composition, stylistic, and spelling errors. It does not include transcribing the corrections to a computer disk. BASIC PROOFREADING: A one-time proofreading done after a book is typeset. This includes identifying misspellings, punctuation errors, and typos. It is strongly recommended that a book be both edited and proofread. After editing and/or proofreading, the hard copy is returned to the author who decides what changes to make. 18 18 Guidelines for Submitting Electronic Files to be Typeset by Evanston Publishing It is necessary to follow these guidelines when sending a disk to be typeset. When you submit your manuscript on a computer disk or other electronic device to our typesetter, send one complete hard copy with your disk. Delete all added codes. The extra time we spend in taking out codes on your electronic files will mean extra cost for you. Get rid of all inserted codes, such as double-spacing between paragraphs, extra indents, extra tabs, extra spaces between letters or words, extra hard returns, manual hyphenation, boxes, and special dingbats. Never use the space bar instead of the tab key to indent or to center a line. Do not insert any additional hard returns between or within paragraphs. Use one tab to indicate the beginning of each new paragraph. If you have any questions about what constitutes extra codes, please call us. Your editor will be glad to help. Save text in a readable format. For PC programs, we prefer WordPerfect or MicrosoftWord files, although our program can read a number of other software programs (ask your editor for instructions if you have an unusual program). For Mac files, we prefer Microsoft Word or a text-only file. We can read 3½" disks, zip and jaz disks, CDs, DVDs, jump drives, and most other electronic media. You can also send your files via . IT IS IMPORTANT THAT EACH CHAPTER OR POEM BE A SEPARATE FILE. Indicate what program you are using and name files by chapter number: MicrosoftWord: chapter1.doc WordPerfect: chapter1.wpd Double-space the computer-printed manuscript, but single space your file. This makes your text easier to read and indicates any desired special formatting, while allowing for a more efficient typesetting of your book. All graphs and charts must be submitted as separate files in jpg, tif, or pdf format. They should be a minimum of 300 and a maximum of 600 dpi (dots per inch). 19 19 Preparing Your Own Press-Ready Copy on Disk Send the whole book as a PDF file (with fonts and graphics you used embedded), as well as a hard copy of the book exactly as it appears on the disk. The cover should also be sent as a PDF file, along with a layout in color. For a small fee, Evanston Publishing can convert most word processing files into PDF files. If you are planning to prepare your own press-ready copy on electronic media, it is essential to follow the exact specifications that the printing process requires. Please note: All press-ready copy must be a PDF file saved to an electronic media. 1. Press-ready on electronic media means the type, page design, illustrations, crop marks, gutter, and photographs (already scanned into place) are complete and ready to be printed. A. Photographs, graphs, charts, and illustrations should be a minimum of 300 and a maximum of 600 dpi. B. All color photographs, illustrations, charts, etc. must be saved as CMYK, not RGB color. 2. To begin preparation for the design of your press-ready files, look through books that you like, and then work out the style for your own book. Whatever you design must be the same for every page in every chapter. A. Decide on the size of the page and the margins around the copy. B. Determine where the page numbers will be placed, their size, and if there will be a running head or foot. C. Make a decision on how chapters should look where the head is placed, if the head is to be all capitals, if the chapters begin with Roman or Arabic numerals, etc. D. Choose the typeface you want for the body of the book and for the heads. E. Put the design together and run a sample on your printer to make sure it looks the way you want before you typeset the complete book. Once you decide on the final design, create a stylesheet (template) for consistency and efficiency. F. If you plan to use photographs, make sure they are the exact size you need. Scan them into your computer at a high resolution and crop or size them to fit. Photocopies cannot be used in the printing process. Important: Make sure your photo and illustration files are embedded. G. It is important to know that an 8.5" by 11" page double-spaced with one inch margins is called a manuscript and is not considered typeset. 3. Usually, each chapter begins on a new page. 5. If you are designing the cover of the book, and you plan on using more than one color, make sure you check with your editor as to how to prepare the cover design. Ask your editor the exact specifications for the size of the book and its spine. 6. If you are supplying the cover, leave room on the back lower right cover for the 2" by 1.5" bar code. The price is usually placed on the lower left of the back cover. 7. When sizing your book cover, use a.25" allowance for bleeds. 8. This list is not meant to cover every contingency you might have when doing your own typesetting. We recommend InDesign for PCs and Quark or InDesign for a Mac. Most word processing programs such as MicrosoftWord are not equipped to deal with professional printer specifications. If you are not familiar with the terminology used on this page, you should consider taking a course in graphic design or typesetting, reading a book or manual on these topics, hiring an independent designer/typesetter, or having Evanston Publishing do this work for you.

24 24 So You Want to Publish a Cookbook? Unlike some cookbook printers, we do not charge by the recipe, since often more than one recipe can be placed on a page. This saves you money. Joe Mierzwa ProSe Associates Publishing a cookbook is like publishing any other type of book. The writing is different, but the publishing process is the same. Bookstores expect cookbooks to look like other books they have in the store either perfectbound (soft cover) or case bound (hard cover) and with a spine. Very rarely will they accept books to sell that have plastic combs. However, if the book is not being sold in bookstores, then alternate bindings are acceptable, and often preferable, because the pages of the cookbook will lay flat when opened. Color is also a consideration in the pricing of a cookbook. A beautiful color photo of the finished food helps in selling a book, but printing with color is more expensive than printing in black and white. Because of the way smaller runs of books are printed, color can be used in their production for a smaller total cost than color for larger runs which are printed on traditional presses. However, smaller runs cost more per book than larger runs do. Often, to save money, cookbook authors print their books with a full-color cover and use black and white illustrations within the text. 25 25 Submitting Your Recipes Before you submit your recipes, take time to check through them to make sure they are accurate. Each recipe should be submitted on disk as a separate file: for example, a recipe for apple pie should be saved as a different file than a recipe for apple crisp. When you submit your manuscript on a computer disk to our typesetter, please send one complete hard copy with your disk. See page 18, "Guidelines for Submission."
