1 Tassie Open Air Cinemas Information Pack 2018 Phone: Web: About us Tassie Open Air Cinemas is an Audio Visual Business, providing indoor and outdoor screens and sound systems across Tasmania. We are a locally owned and operated business with the right experience and equipment to look after you, your business or fundraising event! We can cater for all types of events, including, but not limited to the following: Children Birthday Parties Gaming Nights Adult Birthday Parties Corporate Functions School or Sporting Club Fundraisers AFL Grand Final or Melbourne Cup Eurovision Song Contest Drive-Ins Entertainment for Children at Weddings 1
2 Pricing The above pricing is for events held between October 2018 and May 2019 and are indicative only, for events held after April Price increases may apply. Rates where operator is included, only include one movie. Movie Marathon packages available upon request. 2
3 Public vs Private Event You will need to select a Public Event Package if you are inviting the public. Please become familiar with Roadshow s PUBLIC EXHIBITION OF MOTION PICTURES IN AUSTRALIA found at if you are not sure whether your event is Public or Private. You may also give us a call, if you require further clarification. Movie & Music Licensing We will organise a Movie and Music License for all Public Event Packages. We will provide recent movie catalogues to help you choose your movie and provide an authentic DVD copy that will be used for your event. Generally speaking, Roadshow and Amalgamated Films grant movie licenses for films that have been released on DVD at least three months prior. Please note you will not able to advertise the title of the movie you will be screening until the license is approved. All flyers and promotional imagery will also need to be approved before being published either in print or electronic form, including social media. Popcorn Machine Hire We also provide complimentary popcorn machine hire with our 5M and 8M Packages which you may use during your event. This is free to hire (for both the 5M and 8M screen package) providing you purchase the ingredients from us which we sell at $1 per popped bag, which you can then sell for $3 or $4 per bag. Otherwise you can provide your own ingredients, but the popcorn machine would then be $65 to hire. Please note butter may not be used in our machine as it burns. Either way, you will need to organise a volunteer or employee to run the machine and collect monies on the night. Sponsorship You also have the option of screening sponsorship for your event. We can play a sponsorship power point slide, prepared by you, pre-movie. In the past, we have noticed that the most successful fundraisers aim to have our costs covered by monies attained through sponsorship. This way, all ticket/food and drink sales instantly become profit. Sing out if this is something you are interested in, and need more help with preparing. Requirements Please note our projection works when it gets dark, so we suggest to make the movie start time coincide with sunset. We also will require you to provide a power supply so we can inflate our inflatable screens and run our Audio Visual equipment. Restrictions, Insurance, Registration & Certification Our inflatable screens are rated to stand winds up to 35km/hour. We encourage all event organisers to formulate a back-up weather plan in case of inclement weather, such as moving the event indoors. We have Public Liability insurance, Registration to Work with Vulnerable People, and Engineering Structural Reports for all our screens. All of our electrical equipment is Tagged and Tested. How to Book Once you have decided you would like to go ahead, let us know via and we will send you an invoice. We take full up-front payment for our DIY Kits for Private Events. However, for all other packages, you will need to provide a 50 per cent deposit to secure the booking. (This is a non-refundable deposit with the remaining 50 per cent payable 7 days post event). Terms & Conditions due to Inclement Weather 1. If postponed by 9am on the day of the event, we will transfer deposit and movie license to another date, at no charge, with the new date subject to availability. 2. If postponed between 9am and 2pm on the day of the event, your deposit will be forfeited, but you will not be billed the remaining 50 per cent, with the option of transferring your movie license to another date. 3. If postponed/cancelled after 2pm on the day of the event, your deposit will be forfeited and you will be billed the remaining 50 per cent, with the option of transferring your movie license to another date. 3
