3 Manual dentex Dear Exhibitor, To help you make your exhibition experience as pleasant and successful as possible, we hereby offer you this manual. Please read it carefully and do not hesitate to contact us if you have any questions. Good luck with your preparations and we wish you every success at the exhibition. General information Location, exhibition dates & opening hours Where? BRUSSELS EXPO Paleis 5 Belgiëplein 1020 Brussels When? Thursday 4 October : Friday 5 October : Saturday 6 October : 10am 6pm 10am - 10pm 10am 6pm Exhibitors can access the premises one hour before the official opening hours and can stay until one hour afterwards on presentation of their exhibitor s badge. 3

You can also visit the exhibition office to pick up your exhibitor badges during construction or to order additional stand materials from a limited range. All equipment purchased on-site will be payable immediately in cash, by MasterCard, VISA or Bancontact. Please find below an overview of the construction and dismantling times. Pre-construction There is pre-construction possible on Sunday 30 September. This extra construction day is paying and must be booked in advance. Contact the event operations coordinator (dentex.ops@easyfairs.com) about the conditions. Construction Own stand construction : Monday 1 October 7am 8pm Tuesday 2 October 7am 8pm Wednesday 3 October 7am 8pm Easyfairs stand construction: Tuesday 2 October Wednesday 3 October 10am 8pm 10am 8pm Dismantling Saturday 6 October 6.30pm 11pm Sunday 7 October 7am 8pm Dismantling is not permitted before the event s official closing time. 4

5 As in 2016 before dismantling all trucks will have to gather in parking C and will be dispatched in small groups towards Palace 5. You will receive the final information about construction and dismantling in the Last Minute Information. Plan Palace 5, Brussels Expo 5

6 Stands If you are constructing your own stand, you must obtain approval for any stands exceeding 2.5 m in height. Send your stand design to dentex.ops@easyfairs.com. All stands must be built within the set dimensions that have been communicated in advance. If you would like to order a light truss, please contact the event operations coordinator at dentex.ops@easyfairs.com. Easyfairs offers several stand types. You can find them under Standconstruction & accessories but if you would like a fully customised stand to be made for you, do not hesitate to contact dentex.ops@easyfairs.com for a free quote. Practical info - Stand cleaning is included for each stand. - Our suppliers will start to dismantle the stands immediately after the exhibition has ended.. Rented equipment such as desks and counters will be collected immediately after closing time, so please clear them well in time. - All stands must be dismantled by Sunday 7 October 2018 at 11pm at the latest. If your stand has not been cleared in time, additional charges of at least 1,000 per day per stand will apply from the first hour of non-compliance. - If you have any complaints during construction or the exhibition, please contact an Easyfairs staff member at the exhibition office. We will be unable to process any complaints that reach us once the exhibition has finished, because they can no longer be demonstrated. 7 New : webshop replaces toolbox Webshop The web store is replacing the Toolbox. You will receive an from us with a link to the weshop. Clicking on the link will automatically take you to your home page. If you experience any problems in this regard, do not hesitate to contact the Event Operations Coordinator, dentex.ops@easyfairs.com. You can find the various documents we uploaded for you on your homepage under 'DOCUMENTS'. Sketch: download the template for the sketch and send it back to dentex.ops@easyfairs.com Insurance: download the template for the inventory and send it back to dentex.ops@easyfairs.com Deadlines: to make your participation as easy as possible, we have listed the most important deadlines. Via the green button or Order extra items you can enter the webshop. Items I ordered: an overview of all items you have ordered via the webshop and also teh items included in your stand. Order additional items: you can enter the webshop by clicking here. You can add extra items by clicking the green shopping cart. Then click Confirm to end your order. You will receive an confirmation mail. The invoice will be send within a few days. 7

8 Deadlines To make your exhibition experience as successful as possible, we hereby list the most important deadlines for you. The manual also offers more information below. DATUM ACTIE 03/09/2018 Order stand materials at the early bird rate. 03/09/2018 Easyfairs stands: Provide files for optional printing. 11/09/2018 Provide the stand plan. download the template for the sketch and send it back to 17/09/2018 Carpet colour can no longer be changed after this date. 21/09/2018 Provide the name for your name sign only for exhibitors with Easyfairs stand construction. 25/09/2018 Web store closes at 4.30pm. Insurance policies All exhibitors are obliged to insure their stand, the exhibited goods and materials and all rented and provided equipment. All exhibitors must take out civil liability insurance for their exhibition participation. Click here for more details. 9 Parking During the exhibition, the car park can only be used on presentation of a parking ticket. The parking tickets will not be sent to you. They can be picked up from the exhibition office by the main entrance during construction. 9
