8 PARKING INFORMATION The lot located directly behind the loading dock is reserved for Civic Center Administration. Parking for busses and trailers can be reserved through the Technical Director for locations along Couch and Lee streets (directly North and West of the theatre). Parking for personal vehicles can be arranged through the technical director for a fee. Otherwise, parking is available at metered spaces along Couch, Colcord, and surrounding areas as well as in parking garages located on Reno and Walker or Hudson and Robert S. Kerr Avenues. 9 POLICIES AND PROCEDURES Animals o With the exception of guide dogs and working dogs, animals are not permitted in the auditorium, stage, lobbies, dressing rooms or other areas of the Civic Center Music Hall without written permission from Civic Center Staff. Alcoholic Beverages o Beverages sold at the Civic Center bars located in the lobby are allowed in the theatre unless otherwise arranged. Beverages for artists must be arranged by the promoter in conjunction with local and state liquor laws. Artist s alcoholic beverages must stay in the dressing rooms and are not allowed onstage or in the hallways. Backstage Catering o Please coordinate backstage catering with the Civic Center Technical Director. Various locations for catering are available dependent upon need and availability at the time of your event. Civic Center does not have in house catering. Construction o Civic Center Music Hall is not equipped with a scene shop and it is recommended that all construction of scenic elements be completed off-site. Assembly is allowed onstage and exceptions can be made as deemed necessary by the Civic Center Technical Director. Any use of saws must take place in the loading dock or other area deemed fit by Civic Center staff. Firearms o Oklahoma State allows open and conceal carry of firearms with permit. Firearms are not allowed in city buildings and this policy is posted on all entrances to the facility. With the exception of staffed police and security, firearms in city facilities are prohibited. Fire Exits & Public Safety o Placing items in corridors or blocking emergency exits or obstructing any portion of sidewalks, entries, halls, elevators or ways of access to the public utilities of the building is prohibited. Clearance must also be maintained around sprinkler heads and nothing may be attached to them. The Technical Director of Civic Center Music Hall reserves the right to request the removal of items from unsafe areas as needed. Flammable Material & Pyrotechnics o Any use of open flame or pyrotechnics is only permitted onstage with the express permission of Civic Center Technical Director and all required permits. Hot Work o Welding, grinding and other tasks deemed hot work require a hot work permit provided by the facility in accordance with facility insurance. All required precautions must be met including a fire watch during work and 1 hour after work is completed. 9

10 Late Seating o Late seating policies should be decided per production by the production staff and relayed to the Civic Center staff. The house staff will attempt to follow these to the best of their abilities. Prior to curtain, the House Technical Director will check in with front of house staff via radio to confirm if a performance hold is needed in order to limit late seating. Show holds will be requested by house staff and can be confirmed or denied by the production. Opening House o The front of house staff will wait for the production and house staff to complete all checks to open house. The production should give the house to the house Technical Director who will confirm with front of house that we are clear to open. Smoking o City policy states that the Civic Center Music Hall is a non-smoking facility and therefore smoking is not allowed anywhere inside or within 25 feet of entrances to city buildings.. Staffing o The Civic Center requires three house technicians (Carpentry, Electrics and Audio) for every call or rehearsal. Staffing may change based on need and availability to cover the needs of the facility and production as determined by the Technical Director. Stage and Backstage Areas o Backstage visitors and guests must be escorted by a member of the production or Civic Center staff at all times. Technical Director o The Civic Center Technical Director is responsible for all stage and backstage areas and operations and is the final authority on all theatre practices. Safety is always of paramount importance. All stage operations are subject to rules and regulations of the Civic Center Music Hall and the City of Oklahoma City. Tornado Sirens o Oklahoma City tests tornado sirens on a weekly basis every Saturday at 12:00pm. Sirens cannot be heard in the house or onstage of the theatre but can be heard from some areas of the theatre including the loading dock and backstage hallway. House crew will be aware if there is a weather concern and will coordinate with the production if a situation arises. Local news channels will broadcast weather information if there is cause for concern. Ushers o Ushers of the facility are volunteers and are not expected to act as security or enforcement. Please notify management of any issues and they will be addressed by staff, 10

11 LOADING DOCK INFORMATION The loading dock is located off of Couch Drive at the North West corner of the building. Loading dock has direct access to the stage via a set of elephant doors measuring approximate 20 height and 10 width. Please contact us if any pieces measure over 9 in width in order to verify that handles and doorstops will not interfere. Loading dock connects to hallway with offices, restrooms and dressing rooms. At the end of this hallway on Stage Right is an additional entrance to the stage that measures approximately 6 tall by 5 wide. There are three (3) loading dock bays that can accommodate up to three (3) fifty-three (53 ) foot semi-trailers at a time. The openings of the semi-trailer loading dock doors are 8-0 x 12-0 and are operated mechanically via button control inside the dock. Moving the rear axle of the trucks to their back position assists in matching truck bed and dock height. In order to level truck beds with dock, trucks are backed down the street-level ramp and each bay either has a drop-down dock leveler (2 bays) or elevator lift (center bay), and we have one pair of truck risers that can be used. With the exception of load-in and load-out, we keep the center dock open for regular facility deliveries. The company may keep two trucks parked in the bays but additional trucks will need to be stored offsite at the expense and arrangement of the company/presenter. Any trash that or construction debris in the loading dock and stage area is the responsibility of the client and should be removed daily. There is a personnel entrance with double glass doors labeled Stage Door through which smaller deliveries may be accommodated. 11

Four chorus-sized dressing rooms are accessed by freight elevator (stage left) and staircase (both sides.) Please confirm availability of dressing room spaces with backstage staff before scheduling. (Especially those marked with *.) Dressing rooms J and K are located backstage right with immediate access to backstage hall, South stage door and stage right. Dressing rooms 1 and 2 are often used in association with CitySpace and may not be available for your production. Please check availability with Civic Center staff. Dressing rooms L and M are located backstage left near the mop room and ARE NOT INCLUDED WITH TGT RENTAL. 16 AMENITIES Internet o Wireless internet is available throughout the facility. The password is available from the TD or SM. Password is given to Company Manager or Stage Manager for distribution and regulation among the company. Ice Machine o There are two ice machines located in the facility. The recommended machine is located in the basement on the north side by the pit entrance as accessed An additional machine is located in the kitchen of the event hall on the east end of the building on the first tier. Please check with the house first in case the event hall is being used. Mail o Mail is only delivered directly to the Civic Center by mail services such as USPS and FedEx. US Postal Service mail is only delivered Monday Friday to the city mail room and is picked up by a Civic Center employee. Please notify us if you are expecting letters or packages to arrive around the weekend days. Packages can typically be collected near the backstage call board unless otherwise specified by the production or if space does not allow. Wardrobe and Laundry o Laundry facilities for rent include 3 washers and 3 dryers and are available in the basement on the stage right side of the building. Elevator access is limited on this end of the basement. o The SR side of the basement is equipped with a passenger elevator that will reach the pit seating, lobby, and star dressing room levels. This elevator is used by the public during performances for access to and from pit seating. During performances use of the basement hallway, the freight elevator on Stage Left can be used to transport large loads to the stage level. 17 SEATING AREAS Notes on seating construction o The auditorium has four levels of seating with two center aisles and one side aisle each side per level. o Aisles are carpeted and seating is over concrete. o The orchestra floor rises 18 from front row to back row. o The back wall of the orchestra level (also the sound and lighting booth) is 128 from the proscenium. o Fixed and ADA removable seating is fabric covered, black plastic back, fold up seating made by Irwin Seating Company. o Railings are installed on all staircases. Upper Orchestra and Orchestra level railings are removable for audio board ramps/ install. Box Seats o Box seats are padded, wooden, independent arm chairs that measure 18 or 25 from base to seat depending on location. o Ten boxes each level are located on Orchestra and Grand Tier. Four on each side used for seating one used for utility. o Eight boxes are located on Mezzanine level. Three on each side used for seating, one on each side of Mezzanine used as a Box Boom position. o Six boxes are located on Balcony level. Three each side are used for seating. 22 GRIDIRON AND RIGGING INFORMATION Single-purchase system with double-truss battens. Operated from the deck or from the upper pin rail, stage right. Pin rails and loading rails are located stage right. Spot lines are 5/8 line and are run through spot line shives on the gridiron. Lines also breast naturally to ground points. When the symphony shell is deployed all spot lines, pipes, and cables must be flown above and away from the ceiling shaper. 24 ACOUSTIC SHELL INFORMATION When deployed, the symphonic shell shaper forms a ceiling across the entire stage area. It is hinged to and stored against the back wall of the theatre. All lighting, shell reflectors, cabling, and support equipment is mounted to and deployed from the ceiling shaper. The shell walls are stored behind the shaper and manually wheeled into place. They are 30 tall. 6 walls are 11 wide, 7 walls are 9 6 wide. Four of these are door units. The shell can be set with 1 to 4 wall sections deep with respective ceiling reflector panels. The house employs a full forestage reflector, which can be raised or lowered. The forestage reflector includes doors which open or close to accommodate the sound arrays, left; right; and center (see sound information). The forestage reflector and related equipment is computer controlled from a station stage right. ORCHESTRA PIT INFORMATION The orchestra pit lifts employ a Gala dual spira lift arrangement. The pits are typically used at stage level, seating level and orchestra level and lower further to pit seating storage. However, pits can be used individually at any height from stage level to seat storage level. The orchestra level of the pit has additional space under the stage to accommodate a larger orchestra. Railings are used in many configurations, especially when the pit is below seating level. Pit safety netting is available for most configurations of the pits. These panels control most onstage functions, including orchestra pit, work lights, house lights, DMX distribution, cue lights, and running lights. Production video monitors are mounted into the onstage control racks only (see video section for more information). Lighting booth is located behind upper orchestra seating with access via stairs. Temporary ramps are available to transport equipment up these stairs. Touring System o Touring consoles can be placed in the lighting booth or center house position o o o o o o o o directly in front of the booth. All control cable must be run through the basement cable run (approximately 250 ). DMX in and out via ETC Net3 Ethernet Gateway is available in the lighting booth and Stage Left and Right racks. Lighting, motor, and accessory powers are isolated from sound power. Stage Left are four 400 amp 3 phase - 5 wire disconnects. A clean and isolated 200amp - 3 phase - 5 wire sound power disconnect is available downstage left. Two 100 amp 3-phase disconnects are located downstage, one each left and right. Additional clean 110v sound outlets are designated with orange receptacles located throughout the facility. An additional clean 60amp - 3 phase power distribution system is located downstage Left and Right. A standard 3-pin stage plug house transfer distribution system for all front of house circuits is located downstage left. 25

27 AUDIO INFORMATION The house console is a 96 Channel Avid/Digidesign Venue D-Show. The console is typically controlled in the audio booth. The audio booth is located behind the upper orchestra seating. The distance from the plaster line to the audio booth is 125 and the touring cable run is 250. The audio booth is encased by sliding windows which can be opened for better monitoring. The alternate house mix position is located directly in front of the audio booth in the back three rows of upper orchestra center seating. When the house console is being moved to the house mix position, a stand is provided. The house speaker arrays are EAW 600 series speakers and Crest CK series amplifiers: two speaker towers (stage left and stage right) and one center sound cluster. All three arrays are on computer-controlled winches and can fly in and out. There are three balconies and accompanying box seats on house left and right. Each area has under balcony speaker coverage via EAW JF80 speakers. The upper-most balcony is covered by over-balcony speakers. Delay is controlled from the sound booth equipment rack. Motorized acoustical curtains are provided to muffle hard surfaces of walls throughout the theatre utilizing both braille and draw curtains. Page and program are available in all production areas. One portable stage management rack provides access to the system throughout the theatre. A portable cueing system is also available. Four-channel Clear Com headset communications are available throughout the Thelma Gaylord Theatre. Three drylines run directly to the spot booth from stage right. An infrared hearing impaired system is employed in the main theatre utilizing IFR emitters mounted in optimum locations and battery powered headsets available free of charge to the audience. The system is controlled from the control booth at the rear of the theatre. House radios are M/A Com P7100IP Two-way radios. 29 VIDEO INFORMATION The system provides live closed-circuit video feed throughout the facility. Video monitors are provided in the backstage production offices, some dressing rooms and stage left and right manager racks. In addition, outrigger monitors and cameras can be connected throughout the facility. The system provides sound/video to color televisions placed on balcony and house lobby levels, as well as key locations backstage. There is one house camera mounted House Left on the first tier balcony. An additional camera is available to mount in the pit as needed. 29
