8 EXHIBITOR GUIDE BUMP IN / BUMP OUT TIMES Bump in: Thursday 13th Oct. 12:30pm - 8:00pm Bump out: Saturday 15th Oct. 7:00pm Exhibitor Entry: via Gate A (opposite the Sydney Dragway) Overnight security will be provided from Thursday night until Saturday night. Valuable items may be stored overnight in a lock-up garage on request. LOADING AND UNLOADING Delivery vehicles will be issued with a temporary entry permit upon entry. Once unloaded, all vehicles must leave the Pit Zone. There is no parking in the Pit Zone area. While unloading all care should be taken not to obstruct access to the neighbouring displays. SETUP All personnel involved in the setup and teardown must wear high visibility vests and observe all venue s safety rules. Care must be taken not to obstruct entry and exit to the paddock. Should you require temporary on-site storage during the event you must contact us at least two days BEFORE the bump-in day. EXHIBITOR There is no parking in the Pit Zone or in the South Circuit Pit area with the exception of nominated display cars. All exhibitor vehicles will be directed to a designated Exhibitor Parking - P3B. Trailer parking is in P5 (see map). We recommend your guests and staff can use General Parking area. SPACE RESTRICTIONS When setting up please ensure your exhibit is within your nominated space. This includes any display cars or promotional banners. Please ensure your exhibit does not limit or obstruct access to the neighbouring exhibits. WTAC ACCREDITATION OFFICE Trade Passes, Wrist Bands and GA Tickets will be available for collection from the WTAC Accreditation Office (next to Gate A opposite Sydney Dragway). WTAC Accreditation Office opening hours: Thursday: 9am to 5pm Friday: 6:30am 5pm Saturday: 6:30am 5pm LOST / MISPLACED PASSES Your Trade and General Entry Passes are your responsibility. Ensure that your passes are collected and distributed in a responsible manner as we can not issue additional trade passes on the day. If you have misplaced or lost your General Entry pass you will have to purchase another one from the ticket office at the gate. ADDITIONAL PASSES AND/OR ENTRY TICKETS Should you require additional Exhibitor Passes you need to notify WTAC before September 30th. Additional Entry Tickets can be purchased online or at the gate. ELECTRICAL SAFETY You must ensure all electrical connections are secure and don t pose any safety hazards. All extention cords must be kept out of the public way. Each Exhibitor is responsible for the safety of their staff and visitors. LIABILITY INSURANCE All exhibitors must have a current Liability Insurance. 9 EXHIBITOR GUIDE GENERAL GUIDELINES World Time Attack Challenge is an outdoor event so it s important to keep the weather conditions in mind when preparing for the event. It can get hot so make sure your staff is well hydrated and if necessary work in rotating shifts, using the air conditioned corporate room as a rest area. The Pit Area can get windy at times so ensure all your marquees are sufficiently weighed down and all your displays secured. While we have overnight security patrolling the area we recommend you put all your valuable items away at the end of the day. We also recommend that you don t leave your display stand unattended during the day. If you have any questions regarding the event or your display contact greg@superlap.com.au or call (02) PROMO MODELS Check your Exhibitor Package for the number of Promotional Models allowed with your Sponsor/Exhibitor package. If you wish to enter your Promo Models in the Miss Time Attack Contest please do so on Saturday morning at the WTAC Central. Your Promotional Models are considered part of your staff and as such are allowed in all the Exhibitor areas. No Promo Models are allowed on the track or in the restricted track areas without prior arrangement. EQUIPMENT / MARQUEE HIRE We have formed a relationship with a reputable supplier of Marquees and Event equipment. If you are looking to hire a Marquee and/or any other equipment for your Exhibition space at World Time Attack Challenge we recommend booking through Pages Hire. They will be providing all WTAC Exhibitors with very competitive pricing and will be able to deliver, install and bump out in line with our schedule. All signage must be installed securely and removed after the event. Grand Stand fence, pit wall and the pit wall building are reserved for event Sponsors only as outlined in their Sponsor Package. Only banners supplied by and installed by WTAC are permitted in the reserved areas. Any unauthorised or incorrectly placed signage will be removed. Track-side fence and signage on Turn 10, 11 and 12 is reserved for the International Drift Challenge sponsors only. If you have any questions about your signage, please contact WTAC staff. CORPORATE SUITE ACCESS An air-conditioned Corporate Suite is provided for all WTAC sponsors and exhibitors. The Corporate Suite (Hinxman Room) is located on the first floor of the Pit Building at the Control Tower end. It provides sweeping views of the main straight, access to a balcony overlooking the pit lane and is a great place for your staff to rest, enjoy their lunch or meet with your guests. 10 EXHIBITOR FAQ Can we hang banners on the Pit Garage Balcony? Pit garage balcony banner spaces are reserved for event Sponsors only. If you re an event Sponsor, your banners will be supplied and installed by WTAC. No unauthorised banners are to be placed outside of your trade stand or pit garage. Can we hang banners on the main straight? The space on the fence in front of the grand stand is reserved for high level Sponsors only. Can we hang banners on the pit wall? Pit Wall is reserved for Class Sponsors only. If you are a Class Sponsor your banners will be supplied and installed by WTAC. Can we hang flags on the pit wall? Due to safety rules no upright flags or banners are permitted on the pit wall. Do I need an extra pass for a truck delivering my display stand? No. Delivery vehicles will be given a temporary pass at the gate. Delivery vehicles must leave immediately after unpacking and vacate the Pit Zone as soon as possible. Can I park my car next to my display? No parking is allowed in the Pit Zone. Only Display Vehicles that have been approved prior to the event are permitted in the Pit Zone. Can I sell or give away food/drinks at my stand? You can provide your staff/crew with food and drinks but due to the venue regulations selling or giving away food or beverages to general public is not allowed. Do I need to purchase tickets for promo models? Unless your promo models are included in your allocated number of tickets, they will need to purchase a General Entry Ticket. How do I arrange our PA announcements? If you are a Sponsor please your PA announcements to greg@superlap.com.au at least one week prior to the event. Will there be a storage area for exhibitors? Storage is available for WTAC sponsors and exhibitors. The storage is free of charge but you must book it no later than 30 days prior to the event. The storage area is available from Thursday till Saturday. The area must be vacated by Saturday 11pm. Do I need to keep my ticket with me after scanning? Yes. You will be scanned upon leaving and scanned back in when you return. This procedure helps us manage parking allocations, catering, and traffic congestion. Where is the WTAC Office? WTAC Office is on the First floor of the Pit Building in Suite 3. If you have any problems, questions or if you need help with anything pertaining to your display - WTAC Office should be your first port of call. Can I sell merchandise at WTAC? Yes. Apart from food and beverages you are allowed and indeed encouraged to sell anything from your catalogue. That includes merchandise, products, services and any other promotional gear. Do all sites have access to power? Only sites adjacent to Towers A, B and C have direct access to power. If your display is not in one of those areas and you require power you may either use an extension lead (see Electrical Safety section in the Exhibitor Guide) or a generator. All carports have power outlets. Will there be overnight security in the Trader Alley? Yes. There will be 24hr security at the venue from Thursday night until Saturday night. Can we leave part of, or our entire display for collection on Sunday? Unfortuately no. The venue is hosting another event on Sunday so unless a prior arrangement has been made all your products and display needs to be removed by Saturday evening. How can I get my display on the Live Stream? The only way to guarantee exposure for your company on our Live Stream is by booking one of our Live Stream packages.
