1 AUDIO VIDEO PROCUREMENT, INSTALLATION AND CONFIGURATION CCUA BID No. 14/15-A12 CCUA Job# PRE-BID CONFERENCE MEETING QUESTIONS AND ANSWERS June 15, Where will the controls be? Video controls will be in the back control booth. The chairman should have annotation control ability. The ability to switch control/presenters should also be available in the back to ensure continuity of the meeting. 2. Are there any outside connectivity requirements? No, we will not have a need to allow outside devices to connect 3. Would viewers need to see annotation or would they need permissions? All annotation should be visible on the screen(s); there should be an option to turn off/on annotation. There is no need to restriction viewing permissions for the annotation. 4. Will smart phone viewers have a need for annotation? No 5. How does CCUA want mobile device streaming to operate? There will not be a need for streaming to mobile devices. IPads and laptops should have an ability to tie into the Audio/Video system for distribution to the screens. 6. Will the projector be replaced or removed? The projector and screen will be removed and returned to CCUA undamaged. 7. Do we want separate zones? We should only need two zones: Staging and House. 8. How do our public meetings run? Is free speaking an issue? The Chairman controls who has the floor to speak in formal public meetings. Other meetings are controlled by a single presenter or group of presenters. 9. How many seats would be needed for annotation control? Is a bid bond required? Yes, must be included in the sealed bid. Proposals missing the bid bond will be rejected.
2 11. Is a performance and Payment bond required? No 12. Are DVD and Blu-ray connections needed? No, DVDs or Blu-ray discs are played through the computer. 13. Will CCUA want to keep the existing microphones or replace with new ones? If the Bidder feels they need to be replaced, they can replace them. 14. Do we record with the camera located next to the projector? The camera is used for surveillance purposes only. There is no need to remove the camera. 15. Do you prefer IP or traditional? Whichever will work best, but CCUA is prefers IP. 16. Will we be replacing the monitors? To be able to use the annotation, the monitors will need to be upgraded to touch screen monitors. 17. What size is the conduit running from the podium to the sound room? The existing run of conduit should be 2 inches. 18. Is the DVI specification a requirement or can HDMI and VGA be used as well? Yes, but if HDMI and VGA are the only options available, we can use a convertor/adaptor for DVI. 19. Does CCUA want to use commercial or consumer displays? Commercial as required in the bid documents. 20. Do the Board of Supervisors get to change what they see or will it be what is displayed on the large TV screens? There is no need for the board to need to change the view on the screens. They should be seeing what the public will see. Control of the system will be through the touch panel. 21. How will the bids be awarded? The bids will be awarded by the grading criteria. CCUA will evaluate the bids and the award will be made to the responsible Bidder submitting a Bid determined to provide the best value to the Authority with price, technical, and other applicable factors considered. 22. Are extra ceiling tiles available? Yes 23. Will CCUA allow millwork to be performed on the counter tops? Yes and Bidder is responsible for cleanly patching, repairing and painting any millwork and/or drywall work.
3 24. Will content be streamed to all screens or does CCUA want to be able to stream different content? The same content shall be streamed to all screens. There is no need to stream different content to different screens. 25. How many ADA devices will be needed? A total of 5 based on 162 assembly seating. 26. There is an audio visual conference being held in Orlando the week of the bid submittal deadline. Would it be possible to push back the bid opening? An addendum will be issued to change the bid opening date to July 6 th at 2:00 p.m. 27. What is the deadline to submit questions regarding this project? Questions will be accepted until June 25 th, We will post all of the questions on our website on June 26 th. 28. What size Video monitors? For bidding purposes, it would be best to have a size established. Choice of monitor size is up to the Bidder. 29. What size touch-screen monitors? Choice of monitor size is up to the Bidder. We re opening to all suggestions that will best utilize the space without obstructing the view of the Board member. Specs state to show the same content on each screen, which is a little unusual. If somebody touches the screen and performs an action do you want that mirrored on the other four touchscreens? Yes, if a member of our Board is explaining content and annotates a line over it, we d like the same content to be displayed on all screens. 30. Are the adjustable mounting arms mounting to a wall or to a desk? Choice of mount type is up to the Bidder. Due to the lack of a mounting space on the wall, an adjustable side arm may work best. 31. Regarding touch panel controller: -Table mount or wall mounted? Either, up to Bidder. -What size touch panel? Choice is up to Bidder. -Other than the 5 displays, what other specific components do you want to control from this touch panel? The proposal does not need to be limited to a certain number of monitors. The choice of component control is up to the Bidder, there is no limit on functionality.
4 32. Specs mention mobile device streaming. Do you want to stream to each of the displays individually? No, single source streaming. If a smartphone or tablet is streaming content, we want that content to be displayed on all screens. 33. For the ceiling mounts, what type of structure is above the drop ceiling? (ex: i-beam, concrete, unistrut, etc.) The mounting choice is up to the Bidder. Above the ceiling tile is an iron / steel beam. 34. Regarding referenced input stations on page 80 that support HDMI, VGA, DVI, RGB, Composite and audio. What is the format of this (ex: wall plate, floor box, table box, etc.)? Wall plate on the front of the BOS bench would provide the most visible connection type. If we wish to hide it, it can be box mounted under the BOS table in the gap. 35. Will each input station be assigned to a specific display or do you want a matrix where you can choose any input station to any display? Each input source should be selectable to be broadcast to all displays simultaneously. At no time should there be something on one display that is not on another. 5 6.) Is a wireless presentation solution required as part of the mobile streaming from all platforms? The wireless and mobile streaming can be consider, one in the same. The goal is to have the ability to cast content from either a tablet or smartphone. It doesn t have to be both at the same time. One device at a time, streaming to all screens. 7.) Is there any situation where CCUA would extend the 60 day completion date from date of award (in the case of a product back order, for example)? No, this is a timesensitive project no extensions will be granted. We ask that the Bidders keep a backup plan in mind if some products are not available. 8.) What is the expected warranty coverage period? Minimum 1 year warranty. Manufacturer warranties normally vary, but we d expect the Bidder to provide some type of service guarantee warranty to cover any configuration and /or installation issues.
