1 P re s s P re v ie w : J a n u a ry , MEDIA CREDENTIAL APPLICATION ACCESS GUIDE Your role as: You MAY qualify for the following: Working print journalist or photographer at publicly read newspaper or news service Working broadcast journalist (television or radio, network, cable, public or independent) Full OR Limited Access to: Working freelance print journalist or photographer with published material at publicly read newspaper or news service - Website journalist (Show Management review required) Press Preview Michelin Media Center Press Kits Independent video production company hired by an official media outlet Industry Preview Automotive industry supplier, product magazines, newsletters and websites Independent video production company hired by OEMs Access obtained through OEM Representative Non- editorial staff of media outlet Representative of individual or fan website Representative of non- automotive newsletter or representative of club newsletter Public relations, advertising, sales, art director, manager, personal blog writer and publisher of media organizations No Access Representatives of advertising agencies, sales and marketing, testing, training, benchmarking and public relations companies APPLICATION REQUIREMENTS In addition to a completed media credential application, you must submit the following: PRINT/INTERNET 1) Business card 2) Three samples of published work in printed or internet media outlet. All works must have been published within two years of date of application. Any published works older than two years are not valid. 3) An assignment letter from media outlet editor. The letter must contain ALL of the following: Written on company letterhead of the media outlet Written by the editor of the media outlet Detailed description of the exact purpose/coverage of the journalist/photographer at 2016 NAIAS Signed and dated by the editor and must contain his/her contact information (name, phone and ) for verification by the NAIAS Media Credential Review Board BROADCAST 1) Business card 2) At least two samples of video production work either from previous NAIAS shows or similar automotive coverage. All video works must have been produced within two years of date of application. Any production videos older than two years are not valid. 3) An assignment letter from the Producer. 3 Press Preview: January 11 12, 2016 MEDIA CREDENTIALS NAIAS CREDENTIAL POLICY In the interest of security and to maintain adequate space and accommodations for Press Preview attendees, the North American International Auto Show (NAIAS) has limited attendance during Press Preview to qualified media and necessary support personnel. The NAIAS provides credentials to representatives of your company based on qualification criteria outlined in our communication to your company at the time of registration (credentials requests). The NAIAS Management requests your cooperation in securing credentials only for people who are necessary for Press Preview and are representatives or employees of your company. The NAIAS reserves the right to remove the following person(s) from the show and may impose a forfeiture or reduction in your company s quota for the balance of the 2016 NAIAS and future shows if: Credentials that have been requested for people under your company name are not representatives or employees of your company. Employees of your company escort people onto the show floor without following NAIAS credentialing procedures as outlined in our registration information. A history of being registered previously at NAIAS does not guarantee approval or waive the credential application and approval requirements. The NAIAS reserves the right to revoke issued media credentials/registration at any time. Media credentials will not be granted to anyone whose principal purpose for attending NAIAS is, in our judgment, for reasons other than covering the event as working news media. VALIDATION All credentials are personalized with name and company information. They are not valid without proper credential validation. Credential validation will take place onsite at NAIAS and requires additional identification (valid driver s license or passport). NAIAS credentials are not transferable. Validators will be stationed throughout the Cobo concourse beginning Sunday, January 10, January 10 9 a.m. 5 p.m. January 11 January 12 7 a.m. 5 p.m. January 13 January 14 7 a.m. 5 p.m. IMPORTANT DATES TO REMEMBER December 18, 2015 December 31, 2015 January 4, 2016 Mailing deadline for credentials: To have credentials mailed (for addresses within the U.S. and Canada only), requests must be submitted by this date. Any credential requests received after December 18 will be available for pick- up at Cobo Center after January 4, Registration deadline for media applications: No applications will be accepted after this date. Media Credentials Office opens at Cobo Center, located on the north side of the Hall C Entrance. 4 TELEVISION BROADCAST, FILM, VIDEO and INTERNET POLICY This policy applies to all 2016 North American International Auto Show (NAIAS) activities from January 11 to January 24, 2016 including Press Preview, Industry Preview, Charity Preview and Public Show. RESTRICTED ACCESS TO AUDIO/VISUAL MATERIAL Except for the fair use exemptions and the exemptions set forth below, the NAIAS, L.L.C. retains an interest in ALL audio and visual material, including, but not limited to, worldwide broadcast, film, video, DVD, internet, webcam, radio and any other similar methods which may be used as a means to retain audio and visual images of NAIAS events. The NAIAS events include any and all audio and visual images from an NAIAS venue, including pre- and post- show activities and all other associated functions. Questions regarding use of video material, or access to NAIAS events to obtain video material, should be made in writing and faxed to NAIAS Video, Attn: Media Credentials Department, or e- mailed to media2016@dada.org. Questions regarding use of the audio/visual material, other than video, should be directed to Max Muncey at or mmuncey@dada.org. GENERAL POLICY No entity may use any audio or visual devices, including film, videotape, DVD, webcam, personal electronic devices or any other similar methods which may be available to capture audio or visual images of the NAIAS or its events for broadcast or other commercial use without the express written permission of the NAIAS, L.L.C. Video material of the event is available from TVS Communication Solutions and may be provided to legitimate news organizations at a nominal charge. Video material for commercial use may be provided at prevailing rates. NAIAS is responsible for the approval of all requests for access to obtain audio or visual material, including film, video and streaming video from all NAIAS events. Any unauthorized use may result in denial of access to future NAIAS events and legal action may also ensue. 3. No entity may supply, sell, or resell any audio or visual material of any NAIAS event without the express written consent of NAIAS, L.L.C. No entity, with the exception of official NAIAS partners, may represent that it is the official, authorized, or sole provider of NAIAS content or coverage. 4. No entity may conduct or originate a Satellite Media Tour (SMT) from the NAIAS or use film, videotape, DVD, webcam or other similar methods, which may be available to capture audio or visual images of the NAIAS or its events without the express written permission of the NAIAS, L.L.C. 5. No television station, network or cable channel is permitted to identify itself as, or imply that it is, the official television station of the NAIAS. 6. No on- site promotions without express, prior, written approval of NAIAS sponsorship manager. NEWS, SPORTS AND OTHER FEATURE PROGRAMS NAIAS, L.L.C. retains the rights to broadcast and sell packages related to the NAIAS and the Charity Preview. No stations may sell NAIAS or Charity Preview- related vignettes, coverage, or news stories to advertisers nor should they attempt to sell packages of spots or vignettes that give the appearance to the advertisers or the viewers that they are NAIAS, Charity Preview or Auto Show sponsorship packages or that use the NAIAS trademarks and logo without the specific written permission of the NAIAS. Any non- regularly scheduled news, sports or feature broadcast, rebroadcast, retransmission, or use of audio and visual rights without the express written permission of the NAIAS, L.L.C., is prohibited. However, NAIAS encourages news, sports, feature and commercial coverage of the NAIAS by qualified news organizations meeting the NAIAS guidelines. NAIAS will consider all reasonable requests for access to the show when made in writing in advance of an NAIAS event by a representative of a regularly scheduled news, sports or feature program. Approval of such requests is conditioned upon the acceptance by the requesting party of the restrictions, if any, placed on it by the NAIAS. All media credentials are the property of the NAIAS and may be revoked at any time by the NAIAS. All other requests, including those of a commercial, marketing, documentary, entertainment, public service, or other nature will be considered on an individual basis. All stations with access granted by NAIAS may broadcast their own journalistic vignettes and news coverage related to the NAIAS and the Charity Preview within their regularly scheduled newscasts. Any station wishing to produce a lengthy broadcast from the Charity Preview should contact the NAIAS for permission and restrictions well in advance of the day of the event. Such journalistic vignettes and news coverage may only be aired between January 11 and January 31, News or independent organizations may not rebroadcast, retransmit, or otherwise supply audio or visual material of any NAIAS event to any other program, department, or entity without the express written consent of the NAIAS. 5 TELEVISION BROADCAST, FILM, VIDEO and INTERNET POLICY PAGE TWO NAIAS, L.L.C. has the right to control the use of its logo and trademarks and closely monitor all broadcasts emanating from or featuring coverage of the NAIAS and the Charity Preview to assure that they are consistent with this policy. All media credentials remain the property of the NAIAS, L.L.C. and NAIAS, L.L.C. reserves the right to revoke the media credentials and access to the NAIAS of the representatives of any media organization which violates any of these policies established by the NAIAS, L.L.C. In addition, access to future NAIAS events may be restricted or denied to any individuals or organizations which do not comply with these policies established by the NAIAS, L.L.C. ACKNOWLEDGEMENT OF POLICY All media credentials issued in the name of members of your organization are the property of the NAIAS and are revocable at any time and for any reason by the NAIAS, L.L.C. As a condition of the receipt of these credentials, holders agree that in the event the media credentials issued to them are revoked by the NAIAS while they are within the Show Premises, they will relinquish them to the NAIAS and exit the premises immediately and without protest. Further, it is a condition of issuing credentials to your organization that each person to whom they are issued acknowledges that in the event their credentials are revoked, they will not attempt to enter the Show Premises other than as a patron in which event they will not carry or use any recording devices of any kind or participate in the recording of any material while within the Show Premises or the broadcasting of any material recorded while they were in the Show Premises. Your signature below acknowledges your understanding and acceptance of the NAIAS Television Broadcast, Film, Video and Internet Policy. As the main contact for your media organization, you acknowledge that it is your responsibility to make sure the policy is communicated to any person(s) you register for media credentials and that as the designated representative of your organization you have the authority to accept these conditions on behalf of each person receiving credentials on behalf of your organization.
