Daily Team Planner (DTP) Click on the Client Details icon Select Daily Team Planner from the Drop down Menu The Daily Team Planner for your team will be displayed. Use the Filter Panel on the left to check the correct team is being displayed (use the drop down box to change to another team, if you are able to) Use the blue arrows / calendar to change to the date you want to see. Click on any of the following column headings to sort information on this screen: Frequency, Client, HCP, Time, Location Filter what appears on the screen by ticking one of the boxes under Appointment Type, then clicking Filter. 1

Adding a Client to the Daily Team Planner Select Add Client at the bottom of the screen. Search for the Client on this screen. NB. The client must have a valid referral to be able to add them to the Daily Team Planner 1. Complete the required fields (eg Intended Activities) which will be pulled through to the Daily Team Planner screen.) 2. Tick Book Repeat Appointments if applicable, select the number of appointments you want to make, how often and the days you want them to occur on. (This will start from the date you are working from on the DTP). 3. Click Add at the bottom of the screen. Note: If more than one visit per day is needed, add the patient to the DTP as many times as needed, with a note in the comment field to specify the purpose of the visit(s) The client will appear on the Daily Team Planner screen and is coloured green, (meaning their appointments (contacts) have not yet been booked) 2

Booking an Appointment with a Client to an HCP Automatic function Select the tick box for the relevant patient. Select Place in Diary Select Automatic Please only select Automatic to make the appointment. This ensures that patients are directly allocated/booked into the HCP s Diary and not lost. Choose the HCP Select Location, Duration and Appointment Select AM or PM and Earliest or Latest. Click OK. The patient s entry will have changed colour to brown, showing they have a contact booked with an HCP. To view the contact in the HCP Diary, select the link at the bottom of the screen 3

Changing an Appointment to Another HCP This must be done via Daily Team Planner. Select the tickbox next to the patient(s) you want to re-allocate. Select Remove HCP at the bottom of the screen Choose the Reason and Date. Click Remove HCP. The patient colour will return to green (showing they aren t currently booked with a HCP). To allocate to another HCP, tick the box next to the patient. Select Place in Diary. Proceed as for Booking an Appointment with an HCP. 4

Viewing a Patient s Future Un-booked (Unallocated) Appointments This is available if you have chosen to schedule repeat appointments when adding the patient to Daily Team Planner. Open Daily Team Planner (check you have the correct team selected.) If you can see the patient: Click on the blue action button next to the patient whose contacts you want to view. Select Cancel from the menu If you can t see the patient: Click on Cancel Other Use the search screen to find the patient. A list of the patient s planned appointments will be displayed. To exit this screen, WITHOUT cancelling any appointments - click on the Daily Team Planner hyperlink at the bottom of the screen. 5

Cancelling a Patient s Future Un-booked (Unallocated) Appointments Open Daily Team Planner (check you have the correct team selected.) If you can see the patient whose appointment you wish to cancel: Click on the blue action button next to them. Select Cancel from the menu If you can t: Click on Cancel Other Use the search screen to find the patient A list of the patient s planned appointments will be displayed. Select the appointment(s) that you want to remove (tick them), then select a Cancellation Reason. Click Cancel Appointments. Select Yes. The appointments will be cancelled and you will be returned to the Daily Team Planner screen. 6
