PAL Vancouver Studio Theatre Rental Guidelines & Technical Specifications @ May 4, 203 Basic Theatre Description The PAL Studio Theatre is an intimate and dynamic space on the 8 th (top) floor above the Performing Arts Lodges (PAL) Vancouver residences in beautiful Coal Harbour. The theatre is surrounded by the Pat Armstrong Lounge and a rooftop patio garden which is cared for PAL Vancouver residents. Theatre Dimensions The studio theatre is approximately 50 feet long (north to south) by 30 feet wide (east to west). The west wall is floor to ceiling windows overlooking a landscaped courtyard and with a view to Lost Lagoon in Stanley Park. Capacity Maximum occupancy for the PAL Studio Theatre is 220 people, including audience, performers, crew, volunteers, and staff. The theatre has 50 audience chairs. Seating configurations vary and are at the discretion of the rental client as long as they meet safety guidelines. Most productions or events sell/issue anywhere from 60 to 50 audience seats, depending on the chosen stage size. Rental clients should check the dimensions on the theatre s default floor plan to calculate the amount of available stage space given their chosen seating configuration. Theatre Floor The theatre floor is an unsealed, sprung hardwood surface, stained a dark oak colour. Nailing or screwing into the floor or walls is not permitted. Work crews must be cautious when moving sets and equipment so as not to scratch the surface of the floor or the walls. Sets using drywall are not permitted. Tap dancing is also not permitted. Walls & Drapes The walls are a dark purple and the curtains covering the windows are a lighter purple. There is an inner track for black draping that goes around the entire room. The theatre can be blacked-out to about 97% dark. The ceiling and piping are painted black. Technical Bridge The technical bridge is located at the south end of the theatre. Access to the bridge is by a ladder. The railing of the bridge is draped to conceal the storage underneath. Stage Risers There are eight (8) 4 foot by 8 foot stage platforms and eighteen (8) each of 2 inch and 6 inch box stands for the platforms. Seating & Seating Risers There are 5 seating risers on casters that can be moved in any configuration. When set up, the seating risers are 8 feet wide by 0 feet deep. The 50 theatre seats are padded and have arms. Theatre Floor Plan The studio theatre may be arranged in any configuration during a rental. Rental clients may consult the floor plan to get a sense of the theatre s default configuration; the space must be returned to this default set-up by the end of the rental period. In the event that the theatre is not restored to its default set-up, a venue restore fee will be added to the client s final invoice. Please consult the theatre s default floor plan for more details. Our house hang allows for staging in either the north or west end of the room. Instruments may be moved and re-focused, however they must be returned to the house hang location and focus by the end of the rental period. In the event that the theatre is not restored to its default set-up, a venue restore fee will be added to the client s final invoice. Piano Rental The Yamaha C-3 6 foot grand piano may be rented for $50 plus tuning fees. The grand piano is on special loan and as such may not always be available. Please confirm the piano s availability with the theatre manger. There is no charge for our upright piano. Tables Rental clients may also rent the following tables: 6 (6 foot) rectangle tables; 2 (4 foot) rectangle tables; 2 (3 foot diameter) round cabaret tables. Dressing Room The dressing room contains counters and lighted mirrors, shelves, wardrobe rack, laundry sink, fridge and one washroom. There is a curtain to divide the room to allow for visual privacy. For multiple day rentals, rental clients have exclusive use of the dressing room and so may store valuables and props here. Load in All set pieces must be brought in through the loading area located in the underground parkade on level P. Protective pads for the elevators must be used during move in and out. The north elevator opens directly into the theatre to allow for load in and out of sets and equipment. The elevators are 2 feet high. The elevator doors are 7 feet high and 3 feet 5 inches wide. Strike & Load Out PAL Studio Theatre must be returned to its original, default set-up following each production or event. This restore will be part of the rental client s booking and the rates will reflect the time spent returning the theatre to its default set-up. Please consult the theatre s default floor plan and lighting house hang documents for more details. Access Patron access to the theatre is through the lobby located on Cardero Street. A box office space is located in this main floor lobby however the rental client may choose to set up a box office table in the 8 th floor lobby. Both the front door and elevators are secured and require fobs for access. Fobs are made available prior to the company move in. Producers are required to have staff or volunteers assigned to the lobby to allow access for crew and audience members. 8 th Floor Amenities Theatre rentals may include the Pat Armstrong Lounge, located on the eighth floor with a small kitchen, a seating area with a fireplace and male and female washrooms. The lounge opens on to a large patio and rooftop garden that residents and theatre patrons are encouraged to enjoy. Insurance Rental clients will need to acquire and provide a copy of a $2 million certificate of insurance naming PAL Vancouver and PAL Studio Theatre as the additional insured parties. If alcohol is being served, liquor liability insurance is also required. We require a copy of insurance at least 2 weeks prior to the event. If proof of insurance is not received in advance of the event, the rental will be cancelled at the client s expense. Concession/Bar Service Rental clients may operate a concession and keep all proceeds. Alcohol may only be sold or served if the rental client has obtained the special occasion licences required by the BC Liquor Stores and the appropriate liquor liability insurance. Copies of these documents must be provided at least 2 weeks prior to the first day of the rental. Theatre s wine glasses for a small fee, however glass is not permitted inside the theatre during live performances. Rental clients must provide their own lock for the refrigerator for beverages and kindly asked to leave the concession area in its original condition after each performance. Producers must schedule bartenders. PAL Studio Theatre Staff At least one staff member is required to be present for all events to assist with set up and take down of technical elements and to ensure building and patron safety. During public events this staff person performs Front of House Manager duties and can troubleshoot technical issues if needed. If rental clients would like a PAL Studio Theatre staff person to act as lighting and/or sound operator during live performances, a second staff person will be scheduled to perform Front of House duties at the expense of the rental client. Ushers Although a PAL Studio Theatre staff person acts as the authority on Front of House and technical issues, it is important for the rental client to also schedule volunteers or staff to act as ushers. Due to the unique location of the theatre, ushers must be stationed on both the st and 8 th floor of the building to aid patrons in finding their way from the front door on the first floor to their seats on the 8 th floor. Publicity The rental client is responsible for promotion and publicity for the event at their expense. Proper credit and copy must be used in all promotional materials, naming PAL Studio Theatre as the venue. The rental client must agree to include in its program an insert which will be provided by PAL. PAL Studio Theatre must receive relevant publicity details such as ticketing, creative team names, show times, etc., at least one month prior to the first performance date. PAL Studio Theatre requests copies of the program, publicity materials and a few pictures for each production for archival purposes. Box Office Rental clients must agree to provide their own box office service through an outside ticketing agent. Rental clients must also schedule box office staff to work each public performance or event. The theatre s maximum seating capacity is 50 seats; please check with the Theatre Manager on seating capacity before putting any tickets on sale. Smoke Effects & Flammables No artificial smoke, mist or fog machines may be used. The use of any liquid or solid substance of an explosive or highly flammable nature is not permitted. Smoking of any kind is not permitted in the theatre or surrounding areas. There is a designated smoking area located on the outdoor patio. Rooftop Garden The residents of PAL Vancouver may access the garden at all times, including during events unless exclusive access has been arranged. PAL residents are asked to use the north entrance past the washrooms if a reception or audience is in the Pat Armstrong Lounge, and to not disturb the proceedings. Monday Policy We are a shared space facility and as such, the theatre is not available for rentals on Mondays. Mondays are set aside for use by PAL Vancouver residents. Rental clients using the space for more than a week in duration must ensure that the theatre and lounge is left in a condition that allows for resident use on Mondays. Theatre Supplies & Equipment Rental clients must purchase their own equipment not found in PAL Studio Theatre s inventory as well as any disposable supplies such as tape and lighting gels.
