Classroom Technology Committee 2009-10 Report Submitted by Stephanie Smullen The committee met 4 times during the Fall 2009 semester and once during the Spring 2010 semester. The committee also contributed to the ITD Assessment request for proposals and proposal evaluation during the Spring 2010 semester. Committee Members: Stephanie Smullen, Chair, Virginia Cairns, Charles Hart, Nicholas Honerkamp, Edward Rozema, Roger Thompson, Gavin Townsend, Cynthia White, Joe Wilferth 1. Meeting of August 28, 2009 Monty Wilson was invited to discuss ITD issues. He and his staff told us:! Campus internet access was upgraded from 50 megabits in Fall 2008 to 200 megabits now! Internet access schedule give priority to campus classrooms and labs during the day and switches to the dorms at night! University portal will be converted to Sharepoint next year, MS forefront will replace Mcafee virus protections! System wide agreement have made MS Office available for $9.95, as well as, Matlab and the online Microsoft training classes! Podiums o Updates done weekly at 2 am o The projector filters are scheduled to be cleaned once a semester or so o The button panels have been replaced with touch panels in Fletcher. The touch panels have been (or will be) updated to fix a problem with power interruptions. o $6900 is needed to update the podiums there are about 125 podiums on campus! $1000 for computer replacements! $1000+ for touch screens to replace button panels o $50,000 budget increase for maintenance is available this year! Bradford checks that computers have an updated operating system and virus checker. UTC has 5000 licenses. Charles Hart brought 2 clicker systems and we discussed Karen Adsit s and Charles concerns.! iclicker and Turning Point are 2 of the competing systems. Currently the Teaching Learning Center supports iclicker and provides several hundred units for student use.! Some publishers are bundling the clickers with the textbooks. This could result in student purchasing multiple devices.! The clickers can be used anonymously or identified.! The committee is going to ask colleagues for input on this issue. Roger Thompson chair of the committee last year presented the committee s report and recommendations. The report is posted on the Blackboard site.

! Results from a survey will be available soon! The request for sustainable funding should be continued by the committee! The report will be forwarded to Faculty Senate 1. Meeting of September 11, 2009 Clint Smullen talked about Banner implementation and BlackBoard.! Banner is a UT system wide implementation. All TBR schools have already implemented Banner.! The Admission module will be used, beginning on Oct. 5 th for Fall 2010 admissions. Document imaging is included in the system.! The Financial Aid module with be ported from the old Banner implementation and will be available on the new system sometime in December or January.! The Registration module! Tested with a Mock (Moc?) Registration in late January-early February. Faculty, staff and student volunteers will be asked to test the system with as many people simultaneously using it as possible! Used for Fall 2010 registration during the regular pre-registration period begining March 29, 2010! The old registration system will be used for Summer 2010 registration. WebASIS will be used for RAP sheet information until the Fall 2010 semester.! The Billing system will be moved to new Banner in early July, 2010.! The Degree Audit system will be used for December, 2010 graduates.! Banner can check prerequisites but it will not do so during pre-registration for Fall 2010. It will be turned on with the full system in Fall 2010.! Online course rolls and grade entry will be available in Fall 2010.! Banner does have the capability of scheduling class rooms. However, most class rooms on campus are controlled by Deans. Only 72 rooms are free to be scheduled for any class.! BlackBoard has increased UTC s annual fee 7% (primarily due to increased enrollment) this year. The cost per student for the BlackBoard system is about $3. This compares favorably to UTK s cost of $4.70/student. 2. Faculty were surveyed to determine their classroom equipment needs. The results of the survey are attached as Podium Survey Results.pdf. 3. Meeting of October 16, 2009 Clint Smullen came to discuss Faculty/Staff Computer Refresh! Selection of 4 types of machines: Dell desktop, Dell laptop, Mac desktop, Mac laptop! It appears that ITD (Monty Wilson) is now in charge of ordering machines. They will be ordered in mass.

Mac Office 07 4. Meeting of November 13, 2009 Monty Wilson and James Spruill came to discuss the podium update and faculty/staff computer refresh.! The common software installed on podiums will be the following. A * indicates that the program will be on the desktop. Disk space will be available for users to save files. The podium machines will be replaced January-March 2010.! Faculty/staff machines will be replaced during the Spring semester priority is given to machines 5+ years old. It is anticipated that more money will be available next year.! The Classroom Technology Committee will serve on the IT Assessment and Strategic Plan 2010-2015 committee. A consultant will review IT needs in the Spring and the Committee will assist with a vision for the future.! The prioritized completed survey of podium classrooms will be forwarded to Monty Wilson and facilities. Review the spreadsheet for any errors or additions that might be needed. 5. The committee completed a survey of all of the rooms with podiums to determine classroom needs. A prioritized list of the needs found is attached as Classroom Needs Results Prioritized.pdf 6. Meeting of April 12, 2010! Monty Wilson, Ray Soldano brought a report on the podium and faculty staff computer refresh. Podiums: There are now 137 podiums (15 new podiums). The computers have been replaced in 31 podiums. The replacement work has been slowed down due to problems finding times to access the rooms when classes are not meeting. They expect to be able to change out many more computers during the spring-summer break. The computers on the 3 rd and 4 th floors of EMCS and EMCS 220 are not are part of the ITD computer replacement. Comments about these computers should be addressed to the Dean of Engineering and Computer Science or the Engineering and Computer Science Technical Support group. Note that the red phones in the classrooms are ordinary campus phones if you need help with a podium system, use this phone to call. ITD will request funds to replace the control panels and projectors from next year s stimulus money.

Faculty-Staff Computer Refresh: About 100 computers have been distributed to faculty or colleges. An additional 200 will be distributed during the summer. Some of these machines have not yet arrived on campus. If faculty prefer to wait until close to the fall semester to have their machine replaced, they can do so. None of these machines the newest of which was purchased in mid-2005 will be reused since they are such old and unreliable technology. Funds will be requested from next year s stimulus money to replace an additional 300-400 machines. These machines will be 2 years old or older. The relatively new machines will be used to replace older lab machines.! ITD Assessment The firm that won the bid to do the ITD Assessment is BDMP Associates. They will conduct focus groups on campus next Monday and Tuesday, April 19 th and 20 th. Any faculty with concerns, comments or suggestions about IT are asked to help the assessment process by going to a focus group. If you can t go yourself, please recruit some of your colleagues. We want the faculty to have input into how the money available from stimulus funds might be spent. To get an idea of how money might improve classroom technology we asked faculty in our areas for suggestions and we asked faculty to respond to a survey about Classroom Podiums. A summary and detailed results of this survey are attached. This survey and the one conducted by the committee during Spring 2009 reveal that classroom technology desperately needs updating. We have developed a prioritized list of needs based on input from our colleagues: 1. Replace the computers on all Smart Podiums and Smart Carts that have not been updated within the last year a. Purchase a supply of the parts that commonly need replacement on the podiums so that repairs can be made quickly b. Purchase a supply of projector bulbs and other consumables for the podiums 2. Install projection equipment in more classrooms. a. Install podiums in rooms that are large enough to accommodate them and in buildings not already supplied with podiums (such as Guerry). b. Install simpler projection configurations (a ceiling mounted projector, audio speakers and a place to plug in a laptop or cart computer) in small lecture and class rooms. 3. Correct the lighting in all classrooms with projection capability. Install dimmers, remove bulbs over the projection screen and install new opaque window shades (especially in Holt Hall) 4. Repair the screens so that they will stay down until they need to be retracted. Replace screens or add hooks and cords. 5. Replace chalk board with white boards (especially in Hunter Hall). 6. Update or replace projectors that do not automatically turn off 7. Add smart boards to appropriate rooms While not directly related to classrooms, faculty office computers are essential for faculty to develop presentations to be used in the classroom.! Faculty machines should be replaced with either laptops and docking stations or desktops, as appropriate for each faculty member. Priority should be given to faculty with equipment older than 3 years.! Additionally, departments should be provided with a pool of departmental laptops or portable computers that part-time faculty could use as needed for their classes.
