HIRING ST JOHN S SMITH SQUARE 2018/19 INTRODUCTION In order to secure the booking of your event at St John s Smith Square, you must complete this Application Form, ensuring you provide all details requested in full. This form serves as an Appendix to your contract; it is therefore crucial that all of the information provided by you is clear and correct. ABOUT THIS DOCUMENT Thank you for your interest in working with St John s Smith Square. Please read all of the information carefully before completing your Application Form. You may contact our Administration Office on 020 7222 2168 if you have any queries before sending in your application. On receipt of your fully completed Application Form, a contract and a request for deposit payment will be issued. DATES HELD DEPENDENT ON CONFIRMATION (PENCIL) We will hold dates, following the initial enquiry, for up to 30 days. After this date we will ask you for your confirmation and deposit. Hire includes one tuning (to A440, A415 or A430) prior to rehearsal. Mander will invoice the Promoter directly for hire and tuning. Subject to adequate notice and provision of full specification, St John s Smith Square can apply for these on your behalf, to be charged back to the Promoter. 8/22

ACCESS & ADDITIONAL NOTES DELIVERIES Delivery and collection times for instruments and/or equipment must be indicated on the Technical Schedule, otherwise we cannot guarantee access. Deliveries and collection must be after 10.00am, unless otherwise agreed in advance of the date. If you are arranging delivery for instruments and/or equipment, please ensure that you provide sufficient crew to move them in and out of the hall, as St John s does not provide staff for this. We require all instruments and equipment to be removed immediately after the performance, unless otherwise agreed in advance of the date. If it is agreed for items to be left overnight, this is at the Promoter s own risk, and items must be removed at a time as arranged with St John s Smith Square. REHEARSAL Access for set up before a rehearsal is from five-anda-half hours before the scheduled concert start time, although extra access/rehearsal time at extra cost may be booked (subject to Hall availability). Your rehearsal should end no later than 60 minutes before the concert start time; or 90 minutes before if you require piano tuning. CONCERT Doors open for ticket holders 30 minutes before the start of the performance. Due to Westminster Council regulations, all performances must be finished by 10.00pm. The stage, hall, and backstage area must be clear 30 minutes after the end of the performance, unless additional get out time has been agreed and booked in advance. HOUSE STAFF St John s Smith Square provides a Duty Manager and ushers for all events. We are not able to provide stage management in-house, and you are advised to provide your own for both rehearsals and events. You must specify on the Technical Schedule if you require any additional ushers, page turners or merchandise/programme sellers and float. FACILITIES FOR DISABLED PATRONS Wheelchair and mobility scooters can access the Concert Hall and lower ground (Box Office and Restaurant) levels by a lift. The code for the lift can be obtained from the Box Office. A platform lift is available for performers to gain access to the stage level. FOOTSTOOL RESTAURANT AND HOSPITALITY The Footstool Restaurant is located in the Crypt. It is open to patrons before public events for buffet and à la carte meals and during the interval of public events for drinks and nibbles. The Restaurant may also be open after the event, depending on demand. Our restaurant partner, Leafi, has the exclusive contract for all catering at St John s, and frequently caters for private events here at St John s, whether in the Hall or the Crypt. Leafi are able to provide catering for receptions, pre and post concert events, artists catering and any other hospitality requirements you may have. HIRING ST JOHN S SMITH SQUARE 2018/19 BOX OFFICE INFORMATION ON SALE DATES Concerts Sep-Dec 2018 Patrons: Monday 2 July / Friends: Friday 6 July General public: Monday 9 July Concerts Jan-Easter (21 April) 2019 Patrons: Monday 15 October / Friends: Friday 19 October General public: Monday 22 October Concerts 22 April-Aug 2019 Patrons: Monday 14 January / Friends: Friday 18 January General public: Monday 21 January COMMISSION For public concerts, we charge commission on all gross ticket sales at the rate of 15%, subject to a minimum of 350+VAT. It is the concert organiser s responsibility to pay VAT on ticket sales to the Inland Revenue. We will send you a detailed return and the sum owed to you, less any costs to us, or an invoice for the amount due to us, shortly after your event. TICKETING Ticket printing is undertaken by St John s Smith Square exclusively. We do not give permission to other agencies to sell or print tickets for public events. You are asked to submit your ticket pricing structure in the Box Office Schedule; we may contact you to discuss your proposed pricing structure. Booking fees, which are retained by St John s Smith Square, are charged at 2.75 per transaction for telephone bookings, 1.75 for online bookings. CONCESSIONS AND REDUCTIONS St John s aims to be accessible to all and to offer a range of concessions to encourage as wide an audience as possible to enjoy our concerts. We require all concert organisers to share this commitment to widening access and to support us in offering concessions to senior citizens, full-time students, registered unemployed, schoolchildren (under the age of 16), and registered disabled. It is St John s Smith Square s policy that we recognise concessions, as laid out above, and offer a discount of at least 10% on each price band. SALE OR RETURN TICKETS Tickets may be sold by the Promoter on a sale-or-return basis. Commission is taken on the full face value of the ticket (or an advertised concession price). Tickets must not be sold via any ticketing agencies or websites. Sale-or-return tickets are issued with a form detailing all sale-or-return tickets which must be completed and returned to the Box Office, with any unsold tickets, by 4.00pm on the day previous to the concert or on a Friday for concerts taking place on weekends or Mondays. Any tickets and/or forms not returned by the required time will be considered sold at full face value. If any of your patrons have special access requirements please contact the Box Office Manager before allocating seats. Sale-or-return ticket requirements should be requested on the Box Office Schedule. GUEST & PRESS TICKETS (Commission Free Tickets) A total of 42 complimentary tickets are available to the Promoter commission free. These are usually split into 26 guest tickets and 16 press tickets. Additional complimentary tickets will be charged at 15% commission based on the full standard price of the ticket. Press enquiries are handled by St John s Smith Square via Jo Carpenter Music PR Consultancy. Please contact Jo directly, jo@jocarpenter.com, with any requests. Any press tickets that are not needed can either be transferred over to the Promoter to use as guest tickets or released for general sale. Guest ticketing requirements should be requested on the Box Office Schedule form or via the Box Office Manager, kelly@sjss.org.uk. TICKETS FOR COLLECTION All tickets for collection before the concert need to be left at the Box Office at least one hour before the concert, accompanied by a list of names and seat numbers (if reserved seating). 13/22

TICKET PRICE STRUCTURE Rows in the main body of the Concert Hall are divided as follows to accommodate a one, two, three or four-tier price structure. We are not able to vary these row divisions. ACCESSIBILITY Wheelchair and mobility scooters can access the Concert Hall and lower ground (Box Office and Restaurant) levels by a lift. The code for the lift can be obtained from the Box Office Wheelchair and mobility scooter users are asked to make their requirements known to the Box Office staff so that tickets may be allocated in suitable positions. An additional seat is allocated free of charge to disabled patrons who require a carer to accompany them. Assistance dogs are welcome in the Concert Hall and Restaurant. They also receive London wide distribution. Please note, our season brochures are a core marketing device and failure to meet the supplied copy deadline will put your event at a serious disadvantage. WEBSITE Each concert benefits from a dedicated event page and online booking facility on our website from the date when booking opens. Content is based on the information and images supplied by the Promoter. We can embed rich media content hosted on sites such as SoundCloud or YouTube on your event page, if links are provided. EMAIL NEWSLETTER Our email newsletter is sent out to subscribers once or twice a month. Items regularly featured include information and updates about selected upcoming events in our own concert season. Events are included in the newletter this at our discretion. PRESS AND MEDIA Each brochure is mailed to approximately 200 journalists with a season launch press release, to coincide with the opening of booking. Concert/series specific and themed media relation is undertaken at our discretion. St John s Smith Square works with PR consultant Jo Carpenter. SOCIAL MEDIA As well as receiving a dedicated event page on our website, concerts are also featured on the St John s Smith Square Facebook page and Twitter feed where possible. Please note, however, that events are included at our discretion and we aim to avoid exclusively event-led posting in order to maintain a more varied and community-led presence online. We will only accept marketing materials which adhere to our current brand guidelines and use our current logo as set out in the brand guidelines document. When designing our brochures, images supplied with negative space (rather than tightly-cropped headshots) are much more likely to be considered for spreads. Images must be supplied with this application form at the highest resolution available, ideally 300dpi minumum, and be accompanied by appropriate photographer credits. In the event that we receive files which do not meet minimum print requirements, we reserve the right to request or source alternative files. 17/22

YOUR PRINTED MARKETING MATERIALS Unless otherwise agreed, you are responsible for producing all printed marketing materials (flyers, posters and programmes) for your concert. Proofs of ALL publicity material and programmes must be submitted for approval at least 2 working days before your print deadline. Failure to comply with these regulations may result in the loss of display facilities. We reserve the right to withhold approval on the basis of quality, legibility or omission of the required information. The logo and required wording must be included at a legible size on all marketing material. Company No. 3028678 MAILINGS 300 In addition to mailing our annual brochure and other pieces of regular print, we send mailings to our Friends and Patrons on a regular basis. Mailings currently require approximately 1000 pieces of print, however please ensure that you request the current figure when sending your proof. Due to restrictions of the small letter size, items can be no larger than A5 and can weigh no more than 12 grams. Space in the mailings is limited, so if you would like to be considered for inclusion please select this option on the Marketing Schedule. Inclusion in the mailing is dependent on the timely receipt of print and is at the discretion of St John s Smith Square. DELIVERY OF YOUR PRINTED MATERIAL Following approval, you are welcome to provide us with up to 500 A5 flyers for our leaflet racks, and up to 4 A3 posters for display around the building. We do not accept flyers advertising events at other venues. Refreshments are permitted only in the Footstool Restaurant. Please ensure that all digital watch alarms, pagers and mobile phones are switched off. During the interval and after the concert* the Footstool Restaurant is open for licensed refreshments. * If the Crypt is to be closed to the public after the concert for a private function then this should be stated instead: The Footstool Restaurant in the Crypt will be closed to the public after the concert.
