Have they seen the new audition forms? Have you discussed what will happen?

What the flow of the day will be? What to bring? (water, supplies, etc) How to dress? What to expect? Have they played the audition in an empty classroom? If you have a parent bringing their child share this information The list is endless As with any activity, being prepared is important Please read through the following for details concerning auditions ************************************************************* 1 Print & Share this information with all participating staff members & chaperones who will be attending the auditions 2 I have enclosed a copy of your student registrations (see below) Please check through them and send me corrections (spellings!) via e-mail These spellings will be used in the Final Concert Program I can make changes, substitutions, electronically for no additional charge until Friday, January 25 th, 6 PM After this time I lock down all the electronic files and I can not make any changes After Jan 25 th, you are only allowed the official (day of audition) 2 changes/subs/etc per school at a cost of $7 each 3 BRING an accurate copy of your registration print out with you to auditions * Use this to verify attendance at the registration desk * You are in charge of having an accurate attendance * This will also speed up the whole check in process Tell your student musicians their school code in advance to avoid confusion Hey, download the audition form and go over how to fill it out correctly Schools arriving via bus Students are to remain on the bus while the director enters and registers for auditions The director will then return to the bus, inform the students on procedure, school code, etc, and then escort their students to the area designated for filling out forms 4 Please plan on arriving at least one-half hour prior to your audition time so as to allow students time to warm-up and resolve issues 5 All Director/Chaperones are asked to register their students at the desk located in the lobby (Nicole will be glad to help you) At that time she will give you all your audition forms You will pass them out and the students fill them out neatly

6 Have your registration information - absences, additions, substitutions, and any additional payments ready in advance (checks made out to: CDMMEA) ********* Registration is important and your cooperation is vital ************* ****** It also allows us to be accurate when publishing audition results ****** 7 REMEMBER: No more than a total of TWO (2 yes only 2) changes per school!!!! (substitutions, part changes and/or additions) are allowed, and may not exceed audition limitations The full fee ($7),is charged for these changes There will be no refunds for cancellations Your changes cannot exceed instrument/voice limitations (ie 6/instrument, 7/voice), as outlined in our Handbook Yes changing from Soprano to Alto is counted as a change Yes, changing from Clarinet to Violin is counted as a change Remember, I will accept online changes up to 1 week before the auditions 8 Once you have checked in and have given updated information to the registration desk people you will be asked to pick up your schools student AUDITION FORMS The musicians will be asked to neatly print their name - instrument - and School code on these forms Please emphasize the importance of being neat and accurate!! Once again this will insure that the audition process is tabulated accurately and avoids mistakes I suggest giving them a sample sheet to bring home and read You can help by bringing a few Pencils/Pens for your students to use 9 Once you have passed out your forms to your students and they have checked for accuracy lead your students to their designated warm-up areas Directors are to remain in the warm-up area until their students are called to audition **************************************** Reread pages 18, 19, 20 & especially 21 of our Handbook for audition day information 10 If you have any questions or concerns please contact me as soon as possible Our goal in Central District is to make the audition process as stress free as possible Ask often, don t assume Also, on the day of auditions After your students have auditioned - double check with them for any issues and report them to the Auditions Coordinator (Steve Archambault), immediately - Once you leave the auditions we may not be able to address/resolve issues 11 DIRECTORS, PARENTS, AND/OR PRIVATE TEACHERS

ARE NOT ALLOWED IN THE AUDITION AREAS 12 Over 60 schools are participating in this year s Junior Central District Festival Due to the large numbers of students auditioning on this day please be patient if your audition time (both beginning or ending), is delayed slightly As always, problems arise and we try to deal with them fairly and efficiently The members of the Festival are volunteers and should be treated respectfully at all times 13 Results I will spend most of Sunday double checking Saturday s results and creating the final results file I am mailing out all official results Monday afternoon (Feb 4 th ) The post office during the last 2 years has been a bit spotty in delivery Some results arrive within a day Others have taken over 2 weeks! ***NEW***NEW***NEW***NEW*** Once the managers have verified the audition information I will be emailing every director on this list, usually by Sunday night, with their official results & other audition information Do not email me for results I will email you This is different than previous years If my email says your student is accepted then they are accepted even if it is later discovered there was an error on their score sheet I will email you your list of students, their scores and whether or not they have been accepted to the CD Festival I will not be sending out placements or seating The CD board & managers usually takes a week or so to finalize seating and ensemble placement FYI!!!!!!All Junior CD Festival ensemble placements and seating s will be determined using the new CDMMEA Seating Procedure Guide (as posted on the web & on page 40 of the handbook) Placements and seating s will be announced when festival folders are delivered to the students In the event of a tie the managers will use the tie breaking guidelines outlined on page 41 of the CDMMEA Handbook The Official 2019 junior CD Festival cut off sheet will be posted on the web Tuesday, Feb 5 th
