Easy airport access is on offer with the Airport Express Hong Kong Station (where city check-in is available) minutes away and the limousine journey is just thirty-five minutes. From Hong Kong International Airport at Chek Lap Kok on Lantau Island: - Airport Express Line (High Speed Rail Link): The Airport Express train is one of the most convenient ways to arrive at the Hotel. The train departs every eight minutes, and reaches Hong Kong Station in 23 minutes, one way costs HKD100. The Hotel is a five-minute walk from Hong Kong Station or a HKD20 taxi drive to the hotel. 3

- Taxi: Red taxis are available at the Taxi Station, which can be reached by the left-hand ramp outside the Arrivals Hall. Taxis in Hong Kong are color-coded according to their operating areas. Red Taxis serve the main destinations throughout Hong Kong including the hotel. The approximate cost for a taxi is about HKD400 for a 40 minutes drive to the hotel. - Limousine: The hotel provides a service of meet and greet with transfer to the hotel by limousine. A minimum of 48 hours reservation is required for this service. (5) Information about receiving Exhibitor kit Exhibitors should visit to the committee ROOM (#618) on February 24th (Thursday) from 18:00 ~ 20:00 to receive exhibitor kit including exhibitor pass, appliances (easels and lights) and catalogues. All appliances you rented should be returned to the committee room from 20:00 to 21:00 on last 5

day, February 27th (Sun). Allocation of Booths: Notification of the booth assignments will be posted on January 14th (Friday) 2011 through the website (www.hotelartfair.kr, Floor map category) 6

3. Installation/Dismantlement (1) Check-in Each exhibitor should check in on February 24th (Thursday) at the 1 st floor lobby desk after 15:00. Each exhibitor will be asked to open a credit card for deposit from the hotel. (2) How to carry in artworks All exhibitors should bring artworks in and out via the staff elevator. Please note that one staff elevator can be used only for Hotel Art Fair from 15:00 to 17:00 on February 24th (Thursday) 2011. Please follow the green line to get to the LOADING DOCK as below. (3) Parking Lot Please note that the public parking next to City Hall charge as follows; Mon Sat : 07:00 19:00 : HKD20 nett per hour (day parking 07:00 19:00 : HKD150 nett) 19:00 07:00 : HKD14 nett per hour (overnight parking 19:00 07:00 :HKD50 nett) Sun & PH : 08:00 24:00 : HKD90 nett *The above rate is subject to change without prior notice. 7

(4) Early delivery of art works: Art works sent via Fedex and delivered in advance can be kept by the hotel for 72 hours before the exhibitor s check-in. The hotel and the committee are not responsible for any lost and damaged of art works. The detailed information will be forthcoming. (5) Installation: All installations MUST be completed by 11:00 on February 25th (Fri) 2010. Each exhibitor can freely set up so long as there is no damage to the hotel. Scheme of Exhibition -Please understand that there are many restrictions regarding exhibition due to the characteristics of the fact that the event is being held in a hotel. -In the case that the walls are damaged due to nails or tapes, the gallery in use of the room will be responsible for compensation of damages. Therefore, other than using the nails already in place, the works will be displayed using other furniture or easels. -Please use the two-sided tape hook (3M command Hook, Weight S-500g, M-1.3kg, L-2.4kg) designated by the executive office. -The use of 3M on mirrors, tiles, and windows are permitted. They will not be sold at the art fair by the operations committee, and please handle carefully since the safety cannot be guaranteed 100%. Please remember and be careful as the participating gallery will be responsible for compensation of any damages to the wall (Using 3M is not allowed in the wall and furniture). -As above the picture, there is a scheme of displaying 50-100 exhibits and small trifling articles in harmony. Large exhibits may be displayed by leaning against the wall, and displaying sculpture exhibits using a variety of space in the room may also be a way to accentuate the particular 8

characteristics of a hotel art fair. -Rearranging of the furniture within the room is allowed, but please return to the original arrangement before checking out. -Please pay particular attention to the custody and exhibition of the works, bearing in mind that lodging and exhibition are occurring at the same time. In case of the rooms accommodating both lodging and exhibition, we ask that each gallery manage and operate responsibly. -A VTR and a DVD player are installed in each room. All exhibitors could install media installation artworks if the exhibitors want to use them. (6) Dismantlement All exhibitors can start packing at 20:00 on February 27 th, until the check-out time of 12:00 on February 28 th, using the same elevators utilized on arrival. Nothing must be removed before 20:00 or until the venue is clear of the public. Contractors/shippers will not be allowed into the halls until such time. All spaces used by exhibitors should be inspected by hotel staff. If there is any damage, the exhibitor is responsible for payment regarding occurred damages. (See insurance category for more details) Make sure that you take everything with you when you leave. Anything left behind will be disposed of. (7) Check-out Check-out should be completed by February 28th at 12:00 -Please check-out and return the room key at the lobby desk on the 1 st floor as you have checked in before. Please note: If exhibitors lose the room key, extra charge about the key will be deducted from your credit card deposit. 9

4. Exhibition Information (1) Exhibitor s pass: Each individual from the participating galleries should be issued a pass in advance. Only the director and staffs from the galleries can carry the pass, which is not transferable. Each gallery can get up to 4 passes for its staff. Extra fee will be charged if a gallery submits an application form for more than 4 passes. (Imposed a fee, HKD 40 on extra pass) (2) Entrance: Participating galleries will be provided with 8 VIP cards and 30 invitation tickets by the committee. VIP cards and invitation tickets can be used as admission tickets. (No extra tickets and cards will be issued.) The invitation ticket may be used by only one person to enter one time. Admission tickets (HKD 100) can be purchased on the 1 st floors lobby during the fair. Also, please visit the website www.hkticketing.com for purchasing a ticket in advance. <VIP benefits> The VIP card is allowed to enter with one person accompanied, and it can be used as a free pass through the duration of the fair. VIP ticket holders would receive a catalogue and would be able to use the VIP lounge freely. (3) Insurance: Beginning from the day for setup, each exhibitor should be responsible for the safety of all exhibits onsite until the closing of exhibition. Each exhibitor must obtain insurance coverage for damage or loss of any article at the show due to fire, theft, burglary, breakage, leakage and water damage, and the risks of transport to and from the show grounds. The organizer or staff of the committee will accept no liability for any direct and indirect damages or loss caused during exhibition at the venue. In any event, the exhibitor assumes all risks of loss or damage to any of his/her articles. The operations committee purchased PUBLIC LIABILITY INSURANCE, but each exhibitor is responsible for damages incurred in the hotel. (The exhibitors have to pay deductable regarding damages incurred to the insurance company; HK 250 for any one occurrence, but HKD 500 in respect to movable property) 10

(4) Security: To ensure security, no exhibits should be removed from the venue during exhibition, unless a permission slip is shown and signed by the manager of the booth. During set-up preparation and exhibition, no staff should enter the venue without a working pass. (5) Storage spaces: As none of the participating galleries have separate storage space in the premises, it is highly recommended that galleries reserve some space (such as bathroom or closet) for storage in their booths. (6) Appliances application: Appliances ( Easels and table lamps) - Each exhibitor should apply easels beforehand if it is needed. Please find the enclosed form on the last page of this manual. (Fee: HKD 110 per each one during the 3days) - The hotel has about 50 table lamps. Each exhibitor could borrow table lamps if it is needed. Please find the enclosed form on the last page of this manual. (Fee: HKD 80 per each one during the 3 days) It is applied a first-come, first served because of the limited number of table lamps. -Each exhibitor should individually prepare 3M and packing materials. Sandwiches for Lunch - The AHAF HK Committee is accepting applications for lunch sandwiches during the three days of the exhibition. Please fill out the request from if you are interested. You MUST take and return all the appliances from the Committee Room. Please note: You will be charged for any lost or damaged of the appliances. (7) Translator Service This year, to help get over language barriers, we have introduced a new service of translating. There is a charge for this service. More details will be notified later. (8) Shipping company for exhibitors The AHAF HK Committee recommends exhibitors to use this company. (9) In case of selling an art work Rental card devices - Please note that it is impossible to rent a card device for international art galleries which do not have a business license in Hong Kong. ATM Information -There is an ATM installed across the street at the Mandarin Oriental, Hong Kong. The operating committee of the hotel art fair will not be involved in the sales of the exhibits. However, when an exhibit is sold, please attach a carry out coupon. (10) Cancellation of Participation: The booth fee will not be refunded at any time or under any circumstances after the confirmation of acceptance is issued. 12

5. Exhibition Booth Rooms (1) Allocation of Booths Notification of the booth assignments will be posted on January 14th (Fri) 2011 through the website. www.hotelartfair.kr Floor map category (2) Usage of Booths Please comply with check-in time (from 15:00, February 24th Thu. 2011) and check-out time (till 12:00 February 28th Monday, 2011) The mini bar in the room will be removed from the room. If you open the mini bar, it can be charged about the details. No smoking in any booths. During the event, daily cleaning services will be provided for exhibitor s rooms before 12:00. There is no storage for boxes or packages used to store the works. You may use your closet in the room as storage. During occupancy, all exhibitors will cover their own expenses in the hotel. LAN line for internet service is prepared in each room. The fee is HKD 160 (including VAT 10%) for each day. If you want to use it, you can utilize it and should pay it when you check-out from the hotel. (3) The Pictures of the Booth Rooms and Floor Plan Please find the enclosed images for your reference of the room you have registered. According to the location of the room, the floor plan and the collocation of the furniture looks different. As to Deluxe room type, you have to refer to Taipan style image and there are something different parts from only bath room (A, B). The room numbers of the hotel including #03, 27, 13, 18 lines should refer to Taipan B type. As to Premier rooms, it is divided by Taipan style and Verandah style. (4) EXTRA ROOM It is possible to book an extra room for accommodation until Dec. 10th (Friday) 2010. The type of room is STUDY ROOM. Catalogue (1) Submission of the catalogue information All information regarding the catalogue will be uploaded and downloaded by WEBHARD. www.webhard.net -> Guest folder ->Upload only folder -> each gallery name folder (WEBHARD ID: hotelartfair10 PW:2010) All exhibitors will receive two complimentary pages in the fair catalogue. (2) Important date and deadline for the catalogue In terms of catalogue, please keep in mind the following date. 12.1 (Wed): Distribution of the catalogue information from the participating galleries. 12.9 (Fri): Closing of the collection of the catalogue information 12.21 (Mon): Upload the 1 st draft 12.24(Fri): Request the 1 st modification 12.29(Fri): Upload the 2 nd draft 12.31(Fri): Request the 2 nd modification 1.5(Tues): Upload the final draft No modifications will be permitted after final draft, so please check your copy very carefully. Please note: all spelling including gallery name, director name, and telephone number should be marked accurately. (3) Form of Request for the Materials of the Catalogue The form can be downloaded by our home page www.hotelartfair.kr (Exhibitor s Service) or please find the enclosed form on the last page of this manual. Please write out all the contents exactly and upload the images (EPS/JPG) with CMYK format with the minimum resolution 300dpi to the webhard. Please refer to the attached sheet for details. (4) Catalogue distribution -All exhibitors will receive up to four catalogues. -As for supplementary catalogue, there will be a charge about HKD 50 per a catalogue. 15

<Form1> Form of Request for the Materials of the Catalogue (SAMPLE) The galleries participating in the Asia Top Gallery Hotel Art Fair HK 2011 need to send us the information necessary, referring to the contents below. The pages allotted to the catalogue for each gallery is 2 pages, regardless of the type of the hotel room. The size of catalogue is 19 x 21 cm (width x height). The number of the images that will be contained in the catalogue is from 2 images minimum to 3 images maximum, regardless of the artists participating. AHAF CATALOG SAMPLE The size of catalogue is 19cm x 21cm (width x height). The exhibitor could be included minimum 2 images or maximum 3 images. Please note: allotted 2 pages for every gallery and 4 pages for the Oriental Suite room. <Form 4> Form to Request Exhibitor s Pass and Rent Easels Please forward the following document to the Committee by 12.17. 2010(Fri) via FAX 02-741- 6319 or hotelartfair@nate.com and a bill for additional cost will be sent by 12.24.2010 (Friday) (1) Extra exhibitor passes: Each gallery can get up to 4 passes for its staff As for extra exhibitor passes, there will be a charge about HKD 50 per a pass. (2) Extra catalogue: As for supplementary catalogue, there will be a charge about HKD50 per a catalogue. The catalogue will be sold on the site of art fair. (3) Translator Service: Details of the service fee will be forthcoming. (4) Table lamp: There will be a charge about HKD 80 per a lamp and each gallery can apply up to 2 lamps. It is applied a first-come, first served because of the limited number of table lamps. It will not refunded at any time under any circumstance after the confirmation of acceptance is issued. (5) Rental of prepared easels (write in the number needed during the event): < Aluminum easel > There will be a charge HKD 110 per each one during the three days. (8) Early delivery of art works: Art works sent via Fedex and delivered in advance will be kept by the hotel for 72 hours before the exhibitor s check-in.
