The Hutto Performing Arts Center is an educational venue available for outside rentals that provide opportunities for students seeking a theatre endorsement and enrichment opportunities for the community of Hutto. Rental Process Contact the fine arts secretary to check for availability and provide a brief description of the event. Once an available date is selected and initial paperwork is submitted the fine arts secretary will schedule a pre-event tour with the technical director and PAC manager. During this tour you will be able to view the facilities, ask questions and finalize equipment and staffing forms. Coverage provided by such policy or rider must apply to death or injury of any person, and damage to property that result directly or indirectly, from the intentional or negligent act or omission of users, officers, agents, employees, guest or invitees during the use or occupancy of the district. Such insurance shall be with an insurance company or companies authorized to do business in Texas, under policy or policies acceptable to the district and provided no later than 14 calendar days prior to use. The user must provide the district with a certificate of insurance attesting the existence of the policy or policies providing coverage required, or, if requested by the district. If the policy or policies require a deductible the user shall be responsible for the payment of the deductible amount for any claim(s). Note: No reservation is considered complete until a certificate of insurance has been received. Jeffrey Smith Jeffrey.smith@huttoisd.net Renter s signature and Date Hutto Independent School District Performing Arts Center Rules for Use by outside groups Sponsors of organizations which use the Hutto ISD Performing Arts Center (PAC) are responsible for reading the following rules and communicating them to their performers, staff, students, parents, and audience members as appropriate. Please sign one the next page where designated and return with all relevant documents to the High School Fine Arts Secretary. 1. At least one PAC Administrator approved by the PAC Director must be actively supervising and easily accessible throughout the event. This individual will be responsible for locking and unlocking doors and will arrive 15 minutes prior to the time listed for your event. 2. Sponsoring organization s staff and administration are responsible for their students (performers) and their patrons. Children shall be supervised at all times and remain in their assigned areas. The sponsor must remain on site until all guest and participants have left the PAC. 3. The sponsoring organization is liable for remaining within the safe occupancy limits. Fire code dictates that no more than 750 people occupy the seating area of the auditorium. The aisles shall be used only as passage ways and shall be kept unobstructed at all times. No standing or sitting in the aisles during an event. Once the maximum occupancy limit is reached we will no longer admit anyone into the Auditorium. 4. Prior approval must be given by PAC Director before signs, Banners and/or pendants are erected and they shall not deface property. In no event shall signs, banners and /or pennants be attached to the walls, doors or seats of the auditorium using any type of adhesive. 5. Events that are scheduled for multiple hours must allow the PAC technicians a 15 minute break every 2 hours to use the restrooms and get a drink of water. Every 4 hours a 30 minute break will be given to allow the technicians to eat. Any event lasting consecutive days must have a minimum of 8 hours between one evening s end time and the following mornings begin time. 6. The PAC student technicians are responsible for operating lighting, sound, and stage equipment in the PAC. Organization sponsor concerns should be directed to the PAC administrator. Sponsors will only be admitted into the Control Booth if permission is given by the PAC administrator. 7. Contract time limits shall be strictly observed. Rental organizations must clear the stage and backstage area within the rental hour or additional fees will be charged. Any event running over one hour past contracted time will be asked to clear the building.

8. Hutto ISD events will have priority over any outside event. The district shall have first priority on facility use and may cancel any agreement on any facility by giving notice twenty-four hour prior to a requested lease period if the district determines that it must use the facility related to the operation of the district. The district also shall have the right to cancel or move an event to another location based on the availability with in the district, should a disaster occur that would require extensive repairs. In case of an emergency, a twenty-four hour notice may not be possible. 9. The building shall be left in a neat and orderly condition. All user groups are responsible for reimbursing the cost of damage, loss or excessive cleaning charges incurred through their use of the facility. The following items are strictly forbidden from the Auditorium at all times. a. Helium balloons b. Food, drinks( except water bottles) and gum. c. Glitter, confetti or similar decorations d. Open flames (candles, matches, lighters, bonfires) 10. Event organizers will be notified of infractions and given the opportunity to correct issues. However, HISD PAC staff is fully within their rights to refuse to continue the event until the infraction(s) are corrected. If resolution is not reached in a timely manner, Hutto ISD PAC staff is authorized to end the event. Billing will continue until all event equipment, personnel, and audience have left the facility. It is the responsibility of the event organizer to interact with their guests, and any issues of reimbursement or restitution. The building shall be left in a neat and orderly condition. All user groups shall be held responsible for reimbursing the cost of damage, loss, or excessive cleaning charges incurred through their use of the facility. As an Event organizer I understand I will be notified of infractions and given the opportunity to correct the issues. However, the PAC Administrator is fully within their rights to refuse to continue the event until the infraction(s) are corrected. If resolution is not reached in a timely manner, the PAC Administrator is authorized to end the event. Billing will continue until all event equipment, personnel, and audience members have left the facility. It is the responsibility of the event organizer to interact with their guests, and any issues of reimbursement or restitution.
