Symphony Board Minutes May 13, 2017 Call to order: 10:10 Roll Call: Allanna Jackson, James Stevens, Toni Irwin, Anna McCleve, Kim Applegate, Ted Vives via video, Ken Dewitt Opening Prayer: James Stevens Summary of minutes: Anna James made a motion to accept minutes. Ken seconded the motion. Motion passed Treasurer's Report: James presented the treasurer's report and stats about April concert with comparisons from December concert. April December Raffle $ 254 $ 251 Attended 174 20% at dinner 296 32% at dinner Fundraiser Dinner $175 net 110 after exp $ 480 Income $ 980 $ 2001 1 student from Music IS concert (didn't have yellow voucher, but mentioned it.) 5 Blood Donation vouchers 17 Season ticket holders April Concerto concert - projected $ 1948 Actual= $ 980 Short -$968 (-$2532 total short on concert income) Discussion on April concert shortfall - Easter Weekend, need more staff to be able to sell raffle and dinner tickets, Distance from lobby to cafeteria= lose people, smell in lobby from recently shampooed carpets not appetizing, busy time of year, newspapers accidently failed to print our articles about the concert, limited signage available for concert due to town of Pinetop restrictions, Blue Ridge failed to put WMSO concert message on school electronic sign. Will look into additional electronic signs for future concerts. (Library, school, city) Budget expenses - Music and Venue/facility expenses higher than anticipated. Ken made a motion to allocate $ 600 for Venue/facility and $ 780 for Music expenses to come from income overage money to cover expenses to finish out the season.

James won't be able to continue as treasurer next year unless employment change allows him to work from home. Stephanie won't be able to be ticket master. James is willing to emcee and requests description for donated items and announcements. Conductor's Report: Overall, I am extremely pleased with the progress on the music for June. Everyone seems to be putting in the time to prepare their individual parts which makes rehearsals run much more smoothly and efficiently. I am very pleased with the number of cellos and basses. As always, we can use to have more violins and violas. Please keep seeking out players. I am somewhat concerned about numbers and attendance, but overall, I believe we will be ready for the concert. Thank you all around! Looking forward to next season, we have concerts scheduled on the following dates: September 23 December 2 March 8? June 9 The missing concert date will need to be scheduled for April 7 or April 14. The reason for this is our guest soloist for this concert needs to have concerts with WMSO and LACW on consecutive weekends. LACW cannot schedule its concert on April 21 due to a conflict. I would prefer to have WMSO before LACW, but I can go either way on it. While the September concert is bit sooner than I would like, I think that if we start back on August 17, it will at least give us 6 rehearsals to prepare the music. While not as much time as I feel necessary, the difficulty of the repertoire will reflect the shorter time allocated. With this in mind, the repertoire for the season opener will be Bergsma Paul Bunyan Suite Bernstein Candide Overture Broughton Themes from Silverado Copland Variations on A Shaker Melody Dvorak New World Symphony (possibly just selections)

WMSO make take a break after the Sept. concert, or if musicians want to add a short fall concert maybe at NPC at the end of October, or begin in fall to work on spring repertoire. Reapplied for funding with Town of Snowflake. June 10 Concert: Homemade Bake Sale in lobby with set prices + free cookies for patrons to greet guest performer and musicians in lobby. Raffle: 2 donated hand stitched quilts, Afghan, Kitchen Faucet, & $50. Plan to put out donor board. Lobby volunteers: Ken and Lori Dewitt, Diana, Galen, Stephanie and Kim Stevens (hopefully Ken & Karen McByrd-Bell) could use additional help. May do a patron survey to gather info. (Name, address, email address, age, where heard about concert...)
Musician Survey: John Spadaccini email musician survey out to 65 members and thus far 27 have been completed. Website Report: Ken communicated with WMSO website administrator Mike Burks. Current website is not set up to handle mass communications. Purpose is for distribution list for emails for internal communications with board, Musicians, FOS. Would need to create a gmail account for emails. Board recommends musicians sell more season tickets for next season as have in past. Maybe lower Family ticket price. Discussion about season ticket design and pricing, different color for family and individual tickets with possible tear off stub if NPC can do. Ken made season ticket motion: Family season ticket price $ 65 for 2 adults (no more) and children (unspecified number of youth) Individual season ticket price $ 30. (same) Toni seconded motion.
