FMAT and INSTRUCTIONS F PREPARING PRE-TENURE DOSSIERS (AY 2018-2019) The promotion, tenure, and pre-tenure review document submission process has transitioned to an electronic process. What had traditionally been included in the Volume II notebook will now only be submitted electronically. This change was made to increase efficiency, and will reduce the time and resources needed for printing and transporting documents. To facilitate the committee review and recommendation process, candidates will still prepare a single dossier binder with Volume I - Required Printed Materials to be submitted to the school/unit to initiate the review process. No other hard copies of materials should be included or submitted in this binder. All other documentation will be submitted electronically and available for review. ALL Applicants will submit the following items by the deadline specified by the school, if applicable, but no later than the deadline posted on the Office of the Provost Website: Hard copy of Volume I - Required Printed Materials to the school director to initiate review process (see school/unit guidelines for specific information on submission process and deadlines). Complete electronic file of ALL dossier materials (including those in Volume I), in PDF format, via the link found on the Office of the Provost website: https://www.usm.edu/provost/promotion-andtenure. Review committees will have access to candidate materials via an online link. All documents should be uploaded as PDF files refer to the Dossier Component Format File Name for specific instructions. Acrobat Pro or other software application may be needed to prepare the document files. Please review and adhere to the instructions for preparing and submitting the dossiers to be considered in the promotion, tenure, and pre-tenure review process. VOLUME I - REQUIRED PRINTED MATERIALS BINDER Standard, three-ring binder, with a spine, no thicker than one inch and materials organized into three sections separated by dividers. In addition to your school/unit guidelines, Chapter 9 of the Faculty Handbook and the following information should guide your dossier preparation. INSTRUCTIONS ON REQUIRED PRINTED MATERIALS BINDER ASSEMBLY Binder Cover: The applicant s name, rank, school, college, and the action (e.g., pre-tenure review, tenure and promotion to [rank], or promotion to [rank]) must be indicated clearly on both the front cover and spine of the binder. Emfaculty College, School Please note the directions below: Do not use plastic document sleeves or spiral binding Documents should not be stapled or paper clipped together Use only white paper, when possible Dividers: Please do not use tabs with inserts as these can fall out VOLUME I BINDER CONTENTS: GUIDELINES: A copy of the school tenure and promotion guidelines should be included in the front pocket of the binder. Section A: RECOMMENDATION FMS Most recent pre-tenure recommendation form, located on the Provost s web page, and a copy of the USM initial offer letter, showing years of credit toward tenure, if any. Please redact salary information. The Pretenure review decision letters from school committee, school director, CAC, and Dean must be included, in reverse chronological date order, after this form. Section B: CV, ESSAY Current curriculum vita, with the percent contribution and impact factor of the journal indicated for each publication (where applicable). An essay highlighting special accomplishments should be placed before the curriculum vita. Section C Annual Evaluations Annual Evaluations for all years at USM, in reverse chronological order. DISPOSITION OF DOSSIER BINDERS: Volume I - Required Printed Materials Binder may be permanently retained by the Office of the Provost.
ONLINE DOSSIER SUBMISSION INFMATION In addition to electronic versions of the Volume I - Required Printed Materials (Sections A, B, and C), the Online Dossier will ALSO contain sections for teaching/librarianship; research, scholarship, and creative activities; and service (what has traditionally been the Volume II ). While the presentation of this material is left to the discretion of the candidate, care should be taken to ensure that the materials are clear and easy to read. It is recommended that whenever possible, documents/items be printed to PDF, rather than scanned. This helps with both clarity and with file size. If items must be scanned, they should be scanned to PDF, not a.jpg or other image file. In addition, it is recommended that scanning should be in black and white unless absolutely necessary. Again, this helps with file size and clarity. For assistance and information on creating PDF documents, please refer to the website. Candidates should submit files according to the instructions on the Office of the Provost website - https://www.usm.edu/provost/promotion-and-tenure TEACHING/LIBRARIANSHIP: This section file includes documentation of teaching effectiveness and should contain the mandatory student evaluations administered during all previous semesters. Check unit guidelines and criteria for additional specific documentation to be included. RESEARCH, SCHOLARSHIP, AND CREATIVE ACTIVITIES: This section file includes items such as solicited letters of support, summary listing (articles, chapters, performances, etc.), with external links to electronic copies of documents, if available (it is not necessary to include the entire item unless specified by unit criteria/guidelines), summary of successful grant applications (it is not necessary to include the entire application), summary of citations, etc. For books/chapters, a copy of the front and back covers, and a link (if available). It is not necessary to include entire books or chapters, unless specified by unit criteria/guidelines. SERVICE: This section file will include a summary of university, professional, community service activities, as well as any economic development activities. Documentation supporting the value and effectiveness of the service should also be included.
