Through The Presidents Lens Welcome I hope everyone who attended our last club meeting enjoyed hearing the Australian director Chris Kennedy. Yes I know his film budget s are out of our league but just to hear someone start out with passion and the drive to make it happen and then succeed is a great story. This months club night we are continuing the travel video theme. Neville Waller will be screening a selection of travel videos and a panel along with the audience will suggest what changes could be made to improve them. I have asked Jim Whitehead and new member Ilma Cave to join Neville and myself on the Chris Kennedy panel. Travelling usually involves a minimum of equipment and a maximum of expectation. It is hard to get the balance right especially when we are presented with stories and sometimes once in a lifetime scenes. So if you have some tricks and tips you would like to share bring them along. I would like to thank this years committee for all their support during the year and welcome those new members that have put their hands up to serve on the committee next year. The November Focus night is an opportunity to give the committee feedback on what you would like to see in the club next year. I will be sending out an on line survey as well this will be another way to give us feedback if you can t make the Focus night. So think about what you liked this year and maybe what was missing and bring those ideas along. Also if you have ideas for video competitions, they would be more than welcome. If you have any contacts in the industry we are always keen to have external speakers, so pass on their contact details to one of the committee. 2

I m looking forward to VOTY this year as I keep hearing rumours of entries being finished and polished up for the big night. Your committee is planning a night not to be missed. If anyone has photos or video from VOTYs past please contact me as we would like to put together some displays to show off the clubs 21 years. Remember we have dropped the ticket price this year to only $25. So please invite some friends along. Where else in Sydney can you take your partner out for drinks and nibbles and see a selection of short films for only $50. All VOTY entries are due in at the October club meeting. PROTOCOL FOR VOTY ENTRIES Ref: Numbers in brackets relate to the relevant section s of the SVMC Screening procedures Ver. 5. Screening procedures (rules) are on the club website to read or download. USE THE FOLLOWING CHECKLIST TO ENSURE THAT YOUR VOTY ENTRY WILL NOT BE DISQUALIFIED FOR INCORRECT COMPLIANCE WITH ENTRY REQUIREMENTS. 1. NAME OF ENTRANT This is the name that will be used associated with the Title on any certificate or award. Note that for team entries only one award/trophy is presented. The entrant Name should be chosen appropriately. 2. YOUR MEDIA Clearly mark the entry discs and associated file (4.6) with the Title and Entrant s Name as well as runtime, aspect ratio and category. Blue ray and Mini DV are unable to be accepted for judging. 3. BACK UP OF MEDIA Accidents do happen and a backup copy may be required, it is the entrant s responsibility to retain backup copies. (4.7.3) 4. SCREENING DETAILS It will greatly assist VOTY organisers if you provide clear details of the category for your submission together with runtime and aspect ratio as 4:3 or 16:9. This information is used to sort and plan the screening program to achieve optimum audience interest. 5. CATEGORY Please ensure you indicate the category under which the entry is submitted. Ensure also that you have complied with the Rules (3.3) in respect of the allowable number of entries per Member and categories of submission. 6. QUEUING To ensure that your complete entry is able to be viewed for judging you must provide DVDs with a ONE BUTTON MENU. Tape files provided for consolidation copying must have a 10sec. leader preceding the actual entry. A leader is not acceptable as 10 secs of blank tape, a countdown timer must be included, which may incorporate audible tone count signals as well. Files in.mov. and.avi. format do not require a leader. 7. COPYRIGHT SVMC is serious about copyright compliance. The VOTY entry form has clear indications of the Copyright compliance required. Entries without the appropriate declaration correctly prepared and signed off will not be accepted. COMPETITION MANAGER SVMC 12 September 2012 Version 2 4

MINUTES OF ANNUAL GENERAL MEETING 2012 Held during September Club night meeting on 28th of September 2011 1. Call to Order The Secretary establish by head count that there were 33.attendees. The Club constitution calls for a 25% 2. attendance for an AGM quorum, current membership is 58 so an attendance of 15 or more is required for a 3. quorum. With a quorum established the meeting proceeded. Apologies received from; Mike Elton, Beryl Stephens and Margaret Tulloh. no other apologies received. 2. Previous minutes A copy of the previous minutes was posted on the notice board during August and Sept club nights so that all attendees had the opportunity to read them before this meeting. G Benjamin proposed that the mins be accepted as read, seconded by M Blanch Motion carried. There was no business arising from these minutes. 3. President s report. President Andy Doldissen reviewed the year s activities. He commented in particular on the noted improvement in the quality of Member s Videos and further on the Major contribution to Club activity being made by teams participating in competitions. He concluded by thanking the committee for their solid contribution during the year. 4. Treasurer s report D Rodgers Treasurer presented the financial report for the year ending 30 June 2012. The report was posted on the notice board for access by all attendees prior to the meeting. David explained some of the entries for the benefit of attendees however no queries were raised requiring the explanation. M Blanch proposed that the report be accepted as read, seconded by R Nercessian Motion carried 5. Election of Officers and Management Committee for 2013 President A Doldissen handed over the meeting to a meeting chairman, Past President E Hanham. After thanking the Committee for their efforts the meeting chairman declared all Committee positions vacant, and called for nominations to the following positions. President One nomination A Doldissen elected unopposed Vice President One nomination Ruskin Spears elected unopposed Secretary One nomination Ian Scott, elected unopposed. Treasurer Two nominations Peter Frohlich and David Rogers Both accepted P Frohlich elected Treasurer with D Roger s as assistant Treasurer. 5

The following members nominated for the committee and all nominations were accepted. Specific allocation of duties will be made by the committee before 31 Dec 2012. WE NEED YOUR INPUT FOR 2013 COMPETITION THEMES. Competitions and team participation is a very important facet of the Club Activities. The 2013 year is coming up fast and this is your last opportunity to provide your suggestions for the 2013 competition themes. Commencing this year we will have a Creative Montage category in every competition to allow individual members to submit that style of video. No doubt these will be of special interest to those of you who shoot with DSLR equipment. As in past years the theme for the Over the Holiday shoot closing in February will be open for both traditional and creative montage videos. VOTY will of course be open according to Club Competition Rules. Between the Holiday Open comp and VOTY there are three other comps closing in Apr, Jun and Aug. I would like to have suggestions from members and teams for both the creative montage and traditional comps themes. Members may even decide that the 60 sec Ad comp should be normal. So put your thinking caps on and send me those suggestions so I can put them all on the table and select some good ones. I will hold those that we don t use this time for the 2014 round of comps. HOW TO GET YOUR VOTY ENTRY DETAILS CORRECT. Ok! you or the team have made the grade and produced an entry for VOTY, that was the difficult bit. Now for the easy bit, submitting the entry for judging and hopefully screening at VOTY. Did I say the Easy bit? I probably did but each year we have considerable difficulty with incorrect detail provided with the entries. As you might imagine the process of getting all the entries together and getting them judged is a key task which is in the critical path of VOTY preparation tasks. Errors in the entry can flow right through the system to an embarrassing conclusion. How would you like your name to be incorrect on your VOTY trophy? So let s go through what you need to do the get it right. 1. Get onto the club website and download a 2012 VOTY entry form. Note entries will not be accepted on our general comp entry form. 2. Hold it! don t just leap in, download the entry protocol instructions and read them. 3. Having read the protocol the job should be easy, if you follow the tips correctly. 4. Pay special attention to the requirements about using Copyright Protected Media. Your entry will be rejected if these requirements are not followed correctly. 5. Category, duration and aspect ratio are very important to assist with the 6. assembly of the VOTY screening program. 6. It is also a good idea to check that your entry complies with the Club Competition rules. If you are not sure down load the Screening Procedures from the Club website and in them read the rules pertaining to competitions general and VOTY. 7. Another point, I have to send your five DVD s to separate judges and if you put all of them in one protective envelope I need to send them to four of the judges without protection, prone to scratching and damage. Avoid damage ensure each DVD or disc is in a separate protective envelope. I don t wish to come across as Draconian on this entry thing but past experience shows a bit of ear bashing is required. October Travel Focus Night October's Focus travel night once again proved to be popular with a good roll up. It was nice to see Clare Waterworth in attendance after her recent illness. We hope to see some of Clare's lovely videos soon. Jim Whitehead gave us a fascinating view of modern day Shanghai and Hereford. Ian Howard took us down the Darling River and a visit to a marvellous old homestead. Lee and Barry Crisp gave us a glimpse of their Caribbean cruise. Phil Brighton took us off to Goat Island for a history lesson on Sydney's early years. My offering was a trip to Chester City to witness their Town Crier in action. Also still in the UK, we visited The Beatle's Story Museum in Liverpool. Neville Waller 9

FOCUS NIGHT 10 OCTOBER 2012 TRAVEL VIDEO SCREENINGS Twenty nine members turned out to enjoy another popular Travel Video night. Neville Waller was the organiser and had arranged a varied program for our entertainment. Travel locations varied from the romantic Caribbean to good old out back Oz with all sorts of other interesting ones in between. The quality of the productions shows just how much members are benefiting from club technology activities. We do need to resolve an issue with the connection of some laptops to the Club system when using an HDMI connection. The difficulty arises because the audio is contained within the HDMI cable for use by the receiving device. The receiving device in this case is the projector which does not have audio capability so the audio needs to be separated out of the HDMI cable and redirected to an audio unit to be heard. The Club HDMI equipment is capable of the required separation; if correctly setup to include the HDMI to VGA splitter box. On focus night it is usual that a reduced setup is in use to suit the needs of the event presenter. If HDMI is to be involved then the intended user needs to advise the organiser in advance of the event, so that the correct full component system can be set up. Despite the technical glitch the evening went well and by the looks of the conversation over a cup a it was enjoyed by all attending. Don t forget the next focus night in Nov is an open discussion session to gather input from members about Club program content. Member s guests may be invited to meetings; the first visit is free, subsequent visits are $5. New members are always welcome. Annual membership is single $56, self and spouse $76, country member $28 - with an initial joining fee of $10. Note: Equipment brought to a Club night is not covered by the Club s insurance. Members should study their household insurance and check whether their video equipment is covered away from their premises and consider whether their cover should be extended.
