Special Events at the Hockey Hall of Fame Meeting Space Rental Package

The Esso Theatre The Esso Theatre is a prime location to hold annual meetings, seminars, and presentations. This very versatile space can be set up in any configuration: from theatre style to half-rounds to classroom style. The theatre also features a 10ft by 8ft high definition screen as well as a built-in stage. Conveniently located at the front entrance of the Hockey Hall of Fame, this space is easy to get to and is connected to Toronto s extensive underground PATH system. Space Capacity Theatre: 100 guests Half rounds: 60 guests Classroom: 80 guests Full Rounds: 90 guests Reception: 125 guests Rental Fees The cost of renting the Esso Theatre for a half day until 2:00 p.m. is $1,500 plus HST. The cost of renting the theatre for a full day is $2,000 plus HST. The rental rates include exclusive access to the Esso Theatre as well as set up and tear down. The rental fee also includes your onsite event supervisor and guest services staff. Entrance The Esso Theatre entrance is located at the regular HHOF museum entrance. This is situated one level below street level in the Brookfield Place Complex. SOCAN Fees SOCAN is the Society of Composers, Authors and Music Publishers of Canada and fees are applicable for playing music in the Esso Theatre. The charge is $20.56 plus HST. We can supply jazz music or you are welcome to bring an ipod to play your own music selection at the event. Registration Tables We are able to rent 6ft or 8ft tables for the event. The charge is $30.00 plus HST for each table and linen. Linen colour will be black unless otherwise requested. Coat check If a coat check is required, the cost will be $1.00 per guest and we will order this in advance for the event. Our HHOF staff will check coats and bags for you and take care of the coat check throughout the event. Access to HHOF Museum When renting one of the HHOF s meeting spaces, guests will automatically be provided access to the whole of the Hall of Fame s displays and exhibits for no additional charge during opening hours of the museum. A great way for guests to enjoy meeting breaks! TSN Theatre and Esso Theatre Rentals We also offer the opportunity to rent the Esso Theatre in combination with the TSN Theatre. In this way, the TSN Theatre can be used for the meeting portion and the Esso Theatre for meal breaks. The daily rental rate for both Theatres is $3,000 plus HST.

Esso Theatre Audio Visual Services AV Technician: $60.00 an hour (Four hour minimum) Esso Theatre AV Package: No Charge o Includes the following: Podium, microphone and sound system Screen and projector (Lap top is required) Wired internet connection at the podium and wireless internet for guests We can also provide up to two handheld microphones and two tabletop microphones if required. Esso Theatre AV Package with Lavalier Microphones: Approximately 4 hours of a technicians time Includes Esso AV package plus two lavalier microphones. If additional lavalier microphones are required we will need to rent externally. Please ask for a quote. Esso Theatre AV Package for Press Conferences: $100 plus approximately 4 hours of a technicians time Includes Esso AV package as well as media pool feed.

The TSN Theatre The TSN Theatre is perfect for those formal presentations, Annual General Meetings and Town Halls. It has 125 comfortable seats set in a tired theatre-style format. The Theatre features a 10ft by 25ft HD screen and an 8.5ft by 34ft built-in stage. The TSN Theatre set up will make any presentation impactful and powerful. Space Capacity Theatre: 140 guests (The theatre includes 125 fixed seats and we are able to add in an additional row of 15 seats) Rental Fees The cost of renting the TSN Theatre per day is $2,000.00 plus HST. The rental rates include exclusive access to the TSN Theatre as well as set up and tear down. The rental fee also includes your on-site event supervisor and guest services staff. The Founders Room and Vault Conference Room The Founders Room and Vault Conference Room are located on the second floor of the Hockey Hall of Fame s Esso Great Hall in the historic Bank of Montreal building. These rooms are rented as a pair for your exclusive use for the day. The Founders Room was originally the bank manager s office and is elegantly set with one main board room table. The Vault Conference is the more modern meeting space with built-in AV capabilities. Space Capacity Founders Room: 12 guests set boardroom style Vault Conference Room: 10 guests set boardroom style (We can add in additional chairs to the exterior of each room if required.) Rental Fees The cost of renting the Founders and Vault Conference Rooms for a daytime event is $500 plus HST. The rental rate includes exclusive access to both rooms as well as set up and teardown. The rental fee also includes your on-site event supervisor. Entrance Guests will arrive to the regular HHOF Admissions Entrance located on the lower level of Brookfield Place. Your on-site supervisor will guide you to the second floor meeting rooms. Access to HHOF Museum When renting one of the HHOF s meeting spaces guests will automatically be provided access to the whole of the Hall of Fame s displays and exhibits for no additional charge during opening hours of the museum. A great way for guests to enjoy meeting breaks! Audio Visual Services Guests will have access to the screen, projector, wired and wireless internet in the Vault Conference Room for no additional charge. A lap top will be required. If you require a 60 plasma to be set up in the Founders Room, you are able to rent one for $250.00 plus HST.

Catering at the HHOF The Hockey Hall of Fame works with two approved caterers; Marigolds and Onions, and Eatertainment. Both have proven themselves within the venue and have excelled in off-site catering. The caterers will work with you directly to customize a menu and quote to suite your event. We are confident that both caterers will be able to provide you with outstanding service and quality for your event at the HHOF. The only outside food and beverage permitted will be celebratory cakes. Marigolds and Onions /Eatertainment will take care of the rentals required for your event and will order them from our exclusive rental company Chair-man Mills. These items may include tables, linens, glassware, flatware, china etc. The wait staff and bar tenders for your event will also be arranged through the caterers. The serving staff are responsible for the set up as well as the strike after the event and will provide excellent customer service throughout for your guests. Both catering companies are also full service event planning companies so they can assist you with other aspects of your event including florals and centerpieces, décor and furniture as well as DJ s and musical entertainment. Alcoholic beverages are to be provided by the caterer. They will take care of alcohol permits at no additional cost. The HHOF has an exclusive Wine Supplier, and a preferred Beer Supplier. The caterer will work with you to find the optimum beverage menu for your event at the HHOF.

Additional Information for HHOF Meeting Space Rentals Availability During peak times of the museum, the Esso Theatre and TSN Theatre are unavailable for rent as meeting spaces. This includes weekends or long weekends, July and August, March Break and Christmas Break. Start Times for Meeting Set-up The earliest time we are able to begin set up for each meeting will be 6:00 a.m. on the day of the event. Deliveries and Storage We request that all items for your event are delivered the day of the event as we have limited storage areas. We will be able to advise on delivery times for your specific event. For larger deliveries, you can use the Brookfield loading dock. The Loading Dock is located on the P1 level of Brookfield Place and is accessible from the Front Street parking garage entrance. The deliveries must be transported via the service elevators. To reach the HHOF, you will need to use Elevator B. The maximum parking time permitted in the dock area is twenty minutes. We please ask that all items are removed from the venue at the event s conclusion. Event Insurance We require a Certificate of General Liability Insurance with a minimum of $2 million liability. This must be provided to the HHOF for every event. The HHOF should be added as an additional insured for the duration of the event. The certificate should be provided at the latest 48 hours prior to the event. Important Dates Contract and Rental Fee Payment Selection of Caterer and Menu Final guest numbers due to Caterers Signed Billing Summary and Full Event Payment Event Insurance An event will be considered booked when we receive a signed contract and payment of the venue rental fee When possible this should be confirmed at least a month before the event to ensure the caterer has enough time to obtain licenses, book staff, order food and beverage etc. 5 business days before the event 3 business days before the event 48 hours prior to the event Payment Options The HHOF accepts payment by wire transfer, cheques and credit cards. If you wish to pay using a credit card, this method will be subject to an administration charge. HHOF Staffing For each event, we will schedule an appropriate number of HHOF event staff and building services staff. There will also be an Event Supervisor scheduled who will be your main on-site contact for the day of your event.

Merchandise Purchases For any client booking an event at the HHOF, we are able to offer a 20% discount on items purchased from our retail store, The Spirit of Hockey. The billing would go through the event invoice. For larger orders please provide as much notice as possible to ensure that your required items are available on time. Please provide your design in Adobe Illustrator format with the pantone colours. We will supply a mock-up for approval before they go into production. The cost is $6.00 per puck and the minimum order is 100 pucks. Where possible, please provide the design 6 weeks in advance of the event to avoid any rush fees. Parking For your convenience, there is paid parking in the Brookfield Place Parking Garage which is located in the same building as the HHOF.
