Bath Film Festival Placement and Volunteering Opportunities 2015 ABOUT THE FESTIVAL Bath Film Festival (BFF) is the biggest and most respected festival of its kind in the South West of England. 2015 will be our 25 th year. The festival will be on 3 13 December when we will screen 35-45 features (previews, art house, documentaries, sci- fi, family etc) and 30 40 shorts at locations around Bath. As well as the festival, BFF has two IMDb Awards, a new feminist film rating (the F- rating), a FilmScore competition for 14 19 year olds and Community Cinema screenings in the areas around Bath.

Health & Safety and Insurance Safety: The volunteer or intern will work in a low- risk environment, and any specific risk will be identified, assessed and mitigated. The volunteer or intern will not be expected to drive a vehicle and there will be no travel. Induction: The volunteer or intern will receive an induction to the organisation which covers health & safety issues and procedures Insurance: Bath Film Festival holds both Employer s and Public Liability insurance. ASSESSED PLACEMENT OPTION We are aware that if you are a student, you may be looking for placement opportunities that can be assessed as part of your academic studies. We would be happy for this opportunity to be considered as such. 4

PLACEMENT OPPORTUNITIES FESTIVAL ASSISTANT Number of placement opportunities: 1 Brief details of the placement role and responsibilities: Assit with managing the day- to- day running of Bath Film Festival; assist the Festival Producer with the festival s expansion, funding, advertising, marketing and organization. Role Description: Festival Assistant Role Manage the volunteers/ Manage the Volunteers Rota Order supplies and services from outside organisations Maintain relationships and manage accounts with suppliers Attend meetings with potential suppliers as required Provide IT support to BFF staff as required Manage telephone system Provide support in the company administration Answer phones and undertake secretarial duties if required including typing, copying, making social and travel arrangements Festival Support Assist the Festival Producer with the 2 IMDb Awards Support the rural Bath Film Festival Community Cinema outreach programme Contact distributors for screeners of potential festival films based on requests from the Programming Committee Manage and implement planning systems to keep content and IT current and systems up- to- date and easy to access Support Festival Producer s management of publicity and marketing during the festival Assist in the production and distribution of all aspects of print for the festival: film notes, posters, main brochure and flyers. Assist the festival Producer with filling the advertising space in the brochure 5

Sponsorship assistance Update the sponsorship database Help to keep the sponsorship database up to date. Assist the fundraising team with any potential sponsor background research. Placement specification Essential: At least in the 2 nd year/3 rd year of Graduation or graduate. General attributes requires: Clear thinking, dynamic, intelligent, self starter with good IT and creative skills. Must be happy working in what can be an intense, high- octane environment. Must have a can do, problem- solving mindset. Particular knowledge & experience required: Good working knowledge of Microsoft Office and a working knowledge of Apple Mac computers Good telephone manner Ability to communicate (in English) with individuals in a one- on- one or group setting by any means appropriate Produce organised, structured, and well written documents (written in good English). Establish cooperative working relationships with service contractors and the public. Work safely without presenting a direct threat to self or others. Work effectively to deadlines and cope calmly with demanding and/or stressful situations that might sometimes arise. o Desirable! Good working knowledge of Photoshop! MARKETING ASSISTANT Number of placement opportunities: 1 Brief details of the placement role and responsibilities: Assist the Festival Producer in the management, marketing and PR of Bath Film Festival and Bath Film Festival events. Role Description: Marketing assistance Work with Producer to develop a Marketing Plan for 2015 and beyond. Assist Festival Producer in maintenance of website. Assist Festival Producer s press campaign which includes: writing and sending out press releases for deadlines; targeting editorial in local, regional and national press; approaching journalists, reviewers and broadcasters for festival coverage; sourcing and sending images and film press packs; responding quickly to requests from journalists Create the press pages on the website (with help from the Website Manager) which will include PDFs of Press Releases and packages of stills for print Assist Festival Producer with festival launch preparations, invitation list, working with media and sponsors Liaise with sponsors to maximise publicity for events and branding Arrange interviews and photo opportunities with print media, radio and TV Liaise with Bath Box Office during the Festival to find out what is selling and what is not in order to focus promotion on less popular events. Organise street publicity and marketing Organise and check specific brochure distribution, liaising with marketing volunteers Organise empty shop window displays Market individual events Compile and archive press coverage from 2014 and 2015 Placement specification Essential: At least in the 2 nd year/3 rd year of Graduation or a graduate. 8

The Marketing Assistant will work 2 day a week in September, and 3 days in October, November and December. This work can be arranged around other commitments and some of it can be done from home. Duration of placement: 4 months After 2 months the position will be appraised by the Producer. At any time either party may terminate the contract with 1 month s notice except in the case of gross misconduct or by mutual agreement. WEBSITE MANAGER Number of placement opportunities: 1 Brief details of the placement role and responsibilities: Oversee the Bath Film Festival s website in the lead up to the festival and during the festival. Role Description: Website Manager Help populate the website (re built last year) Populate and update the website: copy, video and stills (copy provided by Festival Producer, some stills and video sourced by Marketing Assistant) From Oct to Dec: update the website with the films and events (approx 45) of the festival. o Festival Support:! Update the homepage of the website regularly! Source and post stills and videos/trailers etc. for relevant films! Update and manage the Withoutabox Bath Film Festival site! Manage the Bath Film Festival website Placement specification Essential: At least in the 2 nd year/3 rd year of Graduation or graduate. General attributes requires: Clear thinking, dynamic, intelligent, self starter with good IT and creative skills. Must be happy working in what can be an intense, high- octane environment. Must have a can do, problem- solving mind- set. Particular knowledge & experience required: Excellent computer skills Knowledgeable of and very good at using Word Press Working knowledge of Photoshop Mac proficient Ability to communicate (in English) with individuals in a one- on- one or group setting by any means appropriate 10

COPY EDITOR Number of placement opportunities: 1 Brief details of the placement role and responsibilities: This role involves proof ready and copy editing ALL of the promotional material, and Film Notes for the festival. There is also the opportunity to write copy. Role Description: Copy Editor Proof reading and correcting copy for the website Proof reading and correcting copy for the brochure Proof reading and correcting copy for Film Notes (one for each film, written by volunteers) Writing copy for all of the above Placement specification: Essential: At least in the 2 nd year/3 rd year of Graduation or graduate. General attributes requires: Intense attention to detail, clear thinking, dynamic, intelligent, self starter with good IT skills. Particular knowledge & experience required: Excellent written English, advanced use of language and understanding of grammar, syntax and spelling. Good working knowledge of: Microsoft Office, Apple Mac computers Good research skills Produce organised and structured documents (written in excellent English). Work safely without presenting a direct threat to self or others. Work effectively to deadlines and cope calmly with demanding and/or stressful situations which might sometimes arise. o Desirable:! Good working knowledge of Photoshop or other photo editing package! An interest in and love of film 12

VOLUNTEERING OPPORTUNITIES FILM NOTE WRITER Duties & Responsibilities: This job involves writing film notes for the festival screenings (there are likely to be 40 to 50 films across the festival). Film notes should be between 500 600 words. We can provide copies of some films and point you in the direction of websites where you can find reviews and other articles. We can also provide press pack information for some films. Film Note writing can be as demanding as you want to make it - it could simply be a case of re- presenting found material, or you can take the opportunity to really research the film and film- maker. If you have seen the film you are welcome to write a personal review. Volunteers duties and responsibilities include: Writing the film note for agreed films Ensuring the content of the notes is appropriate for the audience Ensuring the content is of the correct length Ensuring that the notes are in your own words and ANY content cut and pasted from other sources is referenced Delivering the notes on time, in the agreed format Abiding at all times by the festival s Equal Opportunities and Health & Safety policies (these are included in the festival s Volunteer Pack) Benefits to You: Free festival seats for selected screenings (one Film Note, one ticket) An opportunity for you to communicate your enthusiasm for film Benefits to the Festival: Customers are able to read clear and informative film notes prior to screenings Screenings are enhanced through the provision of appropriate notes A chance to have your written work published 14

STEWARDING Brief details of the duties and responsibilities: Attend volunteer briefing and training sessions (November) Ensure you arrive at venues 45 minutes before the advertised start time Handing out Programme Notes or publicity material on behalf of sponsors to festival attendees Providing a quality customer service experience to all customers by checking tickets, directing people to their seats and assisting late- comers Welcoming any sponsors who approach you at their screenings and directing them to their reserved seats Liaising with venue management and staff At venues other than the Little Theatre Cinema, selling tickets before screenings and checking purchased tickets on admission Assisting with dissemination and collation of customer evaluation forms Abiding at all times by the festival s Equal Opportunities and Health & Safety policies (these are included in the festival s Volunteer Pack) Benefits to You: Free festival seats for selected screenings (one free ticket for each of the 3 screenings you have stewarded) An opportunity for you to communicate your enthusiasm for film An opportunity to meet others with a shared passion for film Benefits to the Festival: Customers are made to feel welcome and enjoy their experience of the festival Screenings of films progress in a smooth and timely manner Sponsors receive a quality service 16

Mostly the photographer/s will be needed in the evening and at weekends during the Festival, to photograph the audiences and special guests of Bath Film Festival. These photographs will be used on the website, on the blog, on Facebook and on Twitter to promote the festival. 17

MARKETING Duties & Responsibilities: Volunteers are required in the run- up to the festival to promote the programme and activities to members of the local community so that we can maximise awareness of, and attendance at, the festival. Volunteers duties and responsibilities include (but are not limited to): Attending the main mail out day, ALL DAY 6 November 2015 o You can still apply for this position, even if you can t attend this day, but attendance is appreciated Collecting brochures / posters and blu- tac from the festival publicity depot Distributing brochures in appropriate shops, cafes, restaurants, venues and libraries Ensuring you are friendly and polite when dealing with staff in the above places Being aware of how much you are capable of carrying and not exceeding your own limits Assisting (if applicable) with staffing the promotional gazebo in the city centre Assisting (if applicable) with helping to design window displays and Bath Central Library displays before the festival Abiding at all times by the festival s Equal Opportunities and Health & Safety policies (these are included in the festival s Volunteer Pack) Benefits to You: Free festival seats for selected screenings (3 marking jobs = one ticket, exception is main mail out day which = one ticket) Benefits to the Festival: News of the festival is spread across the local community Attendance at screenings is maximized An opportunity for you to communicate your enthusiasm for film A chance to network with businesses across Bath 18

Our Commitment to You: A training session for all volunteers interested in stewarding will be organised in advance of the festival start In the run up to the festival, you will receive regular emails keeping you up- to- date with the festival s progress On the night/s you are stewarding you will be supervised by a venue volunteer manager and/or supported either by a Festival Committee member or member of BFF staff BFF t- shirt and lanyard will be provided. These must be worn to identify you to the audience Time Commitment: We request a minimum of a 6 hour commitment (i.e. working 2 screenings) across the festival Location for Volunteering: You can choose to steward at any of the festival venues across the city. It is better to steward at films which you do not want to see because waiting for late- comers means you might miss the beginning of the film. At each screening and event there will be a Bath film Festival member present who will introduce the film and any speakers. RUNNER Brief details of the duties and responsibilities: Assist the Festival Producer, Festival Administrator and the Marketing Manager with the day to day running of the festival including among other tasks: Updating the Bath Film Festival website Assisting the Marketing Manager with window displays and additional promotional events Editing and photocopying Film Notes Assist the Producer and Administrator with the preparation of venue boxes, ticket collection and floats Production of Festival signage, collection of A- frames and daily update of venue signs Manning the Festival office in the absence of the Producer and Administrator to pick up and relay last minute messages (phone/emails). Liaising with venue staff Collecting from stewards and storing festival feedback slips, evaluation forms and Audience Award Voting slips Collating data from feedback slips, evaluation forms and Audience Award Voting slips Updating the festival mailing list Abiding at all times by the festival s Equal Opportunities and Health & Safety policies (these are included in the festival s Volunteers Pack) Any other duties that can be reasonably expected 20

PHOTOGRAPHER Number of placement opportunities: 5 Brief details of the placement role and responsibilities: Take stylish, high- resolution photos at Bath Film Festival and during its events (End of November Early December). Placement specification: Essential: At least in the 2 nd year/3 rd year of Graduation or graduate. General attributes requires: Clear thinking, dynamic, intelligent, self starter. Particular knowledge & experience required: A good eye. Own SLR camera kit. Tripod (cinemas are dark, even with the lights on). Excellent technical knowledge of the kit. Reliable. o Desirable:! Good working knowledge of Photoshop!
