A b o u t K i o s k s G u i d e P a g e 3 About Kiosks A Visitor Kiosk is a Windows All-in-One PC, Windows laptop, Windows tablet, or ipad located on or near the reception desk facing out to the general public. A kiosk can also be a touchscreen mounted on the wall or a custom kiosk stand located in the reception area. Elements to a Kiosk WhosOnLocation supports the following equipment Add-ons installed with your kiosk: Labelwriters for visitor pass printing Barcode Scanners for visitor pass scan out using barcode Windows compatible RFID reader/scanner for scan in and out using RFID cards Best Screen / display resolution Setting for PC/Mac WhosOnLocation is optimised for a minimum Display resolution settings of: 1920 x 1080 WhosOnLocation will also visually look good using higher resolution settings like; 1366 x 768 or 1440 x 900 or 1280 x 768 Ideally as long as the display aspect ratio is 16:9 your User Interface should look great. Multiple Kiosk Support WhosOnLocation does not limit the number of kiosks an account can setup at a specific location. Furthermore there is no license fee element related to kiosk numbers. So whether you have one or 1000 kiosks at a location there is no impact on your license fee. You can have a Kiosk at your main reception and another at the courier and deliveries entrance in your dock-way. We are aware of some of our users having up to 15 kiosks setup across a specific location. Each visitor transaction is reconciled between all kiosks. If you have receptionists, they too can be logged in and see what is going on at any kiosk. 3 P a g e

A b o u t K i o s k s G u i d e P a g e 4 Kiosk Examples In this example the user has setup a standard PC, and keyboard with mouse on the reception counter. The PC is an all-in-one, meaning the actual PC and monitor is integrated. This reduces the footprint of the Kiosk as there is no PC box sitting on the floor beside the receptionist. In this mock example we have a touchscreen, wall mounted with a desk position underneath with a keyboard (as some users still prefer to type using a keyboard), a visitor label printer, and a barcode reader. In this example the client has setup an ipad mounted on a simple Bouncepad stand. There are of course many custom kiosk service providers that can integrate a PC into a stylized stand to suit your own branding requirements. 4 P a g e

A b o u t K i o s k s G u i d e P a g e 5 Branding Options for Kiosks Elements of a Kiosk Homescreen you can Customize The following kiosk elements can be personalised for each kiosk. To clarify; you might have 1, 2, 3, 4, 5+ kiosks setup in a single location and they can all be configured to look and work I an identical manner. Alternately each kiosk can be different to reflect where that kiosk is located within the building, campus, or location. The Homescreen of your Kiosk You can change: 1. The background image of your kiosk. 2. The colour of your sign in and out buttons 3. The colour of the words Sign In and Sign Out (but not the words themselves or the font) 4. The tag line underneath the sign in and out buttons. This can be static or it can scroll from right to left (much like a stock market share price board) 5. You can add a logo that sits just above the sign in and out buttons. If it has a transparent background it can sit over the top of the background image or you can incorporate your logo into your background image. 6. You can NOT have a background image and just have your logo. Overleaf we share some ideas for kiosk branding. 5 P a g e

A b o u t K i o s k s G u i d e P a g e 7 Elements of a Kiosk Sign in Workflow process When a visitor signs in they will be asked: 1. Their name 2. Where they are from 3. And if they are visiting someone today On the last question; if they are they are then asked to enter the name of the person they are visiting. After they have completed these 3 basic sign-in questions they can either be taken to a Welcome Greeting screen which they read and then simply click Acknowledge to end the sign-in process OR they can be guided through a questionnaire workflow that can be as short or as long as you wish ending in the Welcome Greeting. Questionnaire Elements. Your kiosk can consist of custom questions which have the following attributes: Image Acknowledgement A powerful way to convey quickly a visitor policy rule. The visuals we can source for you otherwise you can create your own. You cannot change the colour of the I Understand button but you can edit the wording of this button (I accept, I agree, etc ) and the question itself. You cannot change the colour of the Previous or Continue or Cancel buttons or their position on the screen. Waiver Statement A great way to present visitor NDA or policy. Regarding buttons; the same rules apply as per above. You can change the font colour of the policy statement and/or headers. So in this example the heading: Example Inc Visitor Policy could be red or orange or a different header size. You cannot choose the font. 7 P a g e

A b o u t K i o s k s G u i d e P a g e 8 Single Choice Answering You can present a question that requires the visitor to select from two or more answers but they can only select one before selecting the blue Next button. You can tailor the answer buttons wording, but not the colour of the button or the font colour within the button. Regarding the Cancel, Previous, and Next or Continue buttons these cannot be altered in any way. You can make answering this question mandatory if required. Multiple Choice Answering You can present a question that requires the visitor to select one or more answers that apply to the question before selecting the green Continue button. You can tailor the answer buttons wording, but not the colour of the button or the font colour within the button. Regarding the Cancel, Previous, and Next or Continue buttons these cannot be altered in any way. You can make answering this question mandatory if required. The Welcome Greeting This screen is the very last screen a visitor is presented with. You can customize the colour of the Welcome screen wording, the statement itself, but not the buttons in the footer of the screen. 8 P a g e

A b o u t K i o s k s G u i d e P a g e 9 Tips and Hints for Kiosk Setup For standard non-touch PC Kiosks We recommend placing your PC behind the reception counter so that only the monitor, visitor pass printer, and barcode reader are visible to the visitor. For touch screen Kiosks We recommend if using a touchscreen that you go to the Windows Control Panel on the kiosk, select Pen and Touch, select the Touch tab, and un-tick the Enable multi-touch gestures and inking. This will stop the touch screen from accidentally expanding and contracting the display when visitors accidentally double-tap the screen with their fingers. Just like an iphone or Android phone, touch monitors are sensitive and are designed to (magnify) increase and decrease display resolutions with double taps. Browser Support We recommend IE 10+, or Firefox Other Kiosk Settings Turn off Hibernation so when visitors arrive on site and the kiosk has not been used for a period of time the kiosk screen does display a requirement for an Administrator password after x time of no activity. Set the login screen as the Default home page. So Location Managers don t have to remember the URL address https://login.whosonlocation.com/login for the WhosOnLocation login screen. Remove all other printers setup on the Kiosk so that only the Labelwriter is installed. Screensaver Message: Set up a screensaver scrolling message that comes on after 20-30 minutes of no activity saying something like: Visitors sign in here please. Touch (or click) screen to activate 9 P a g e
