IAML Conference Dublin 2011 (July 24-29) Cataloguing commission: Sub-commission on UNIMARC Working meetings (28/07/2011, h. 9.00-10.30; h. 14.00-15.30) MINUTES On 28 July 2011, the IAML Sub-commission on UNIMARC gathered twice at the Trinity College, in Dublin, for its ninth annual meeting which was held during the 60th IAML Conference. The two sessions were co-chaired by Isabelle Gauchet Doris (Centre de documentation de la musique contemporaine, Paris), current chair, and Massimo Gentili-Tedeschi (Ufficio Ricerca Fondi Musicali, Milan), past chair and member of the Italian UNIMARC Committee. The secretary, Tiziana Morsanuto (Venice) could not attend the conference. The attendees were: - Cristina Farnetti (Direzione generale per gli Archivi, Roma, Italy) - Robert Foster (Kings College, London, United Kingdom) - Anke Hofmann (Hochschule für Musik und Theater, Leipzig, Germany) - Marguerite Iskenderian (Brooklyn College Library, Brooklyn, USA) - Mari Itoh (Aichi Shukutoku University, Aichi-gun, Japan) The topics which were discussed are the following: 1. Decisions of the PUC (22th meeting, Lisboa, 2011) The French UNIMARC Committee (CfU) presented in Lisboa several proposals of modification of UNIMARC bibliographic and authorities format in order to accommodate FRBR (and RDA) Work and Expression levels. The Work entity and the Expression entity, which does not exist in the UNIMARC format, would be described in U/A (the Manifestation in UNIMARC/B, the Item in UNIMARC/H). The U/B and U/A fields to be changed or added are listed in the UNIMARC Bibliographic/Authorities Change Proposal 2011/23 (4 fields to be added in U/B, 33 fields to be added in U/A, 11 fields to be changed in U/A). The PUC accepted the CfU s proposals in principle. The ones concerning the Expression were accepted as provisional. Among the main points: For titles identifying Works and Expressions: o New U/A and U/B fields to be defined for FRBR-ized data. o U/A Block 5XX will be developed similarly to U/B Block 7XX. o Subfield $5, Position 4 to be defined in 5X0 to create a relationship to field 200, which is not currently possible. Unimarc/A -- Work records (creator s name associated with title) 5x0 Name of Creator associated with the Work $5, pos. 4 (new) : a Creator 5x1 Subsequent Name associated with the Work (new) The new proposals of the French UNIMARC Committee related to the work and to the expression are recorded in the PUC's report. The main are quoted above: 2011/7: U/A 231, 431, 531, 731 (Defining corresponding U/A Title Access Point fields for FRBR Work ). 2011/9: U/A 241, 441, 541, 741 (Defining corresponding U/A Name/Title Access Point fields for FRBR Work ). 2011/11: U/A 500, 510, 520 (Limiting repeatability of fields to cases when they are used for the name of a FRBR creator). 2011/12: U/A 501 (Defining field for Related Access Point Personal Name with Responsibility for the Work ). 2011/14: U/A 511 (Defining field for Related Access Point Corporate Body with Responsibility for the Work ). 2011/19: U/B 506 (Defining Preferred Title Identification of a Work field for FRBR 2011/20: U/B 507 (Defining Preferred Title Identification of an Expression field for FRBR 2011/21: U/B 576 (Defining Name/Preferred Title Identification of a Work field for FRBR 2011/22: U/B 577 (Defining Name/Preferred Title Identification of an Expression field for FRBR i. To get detailed information on the content of these new fields. 2. Labels mentioning the old field 145 instead of the new 146 This action anticipates the publication by the PUC of the UNIMARC Bibliographic Format 4 th ed. and/or an online errata for U/B 3 rd edition. Labels to be pointed out to the PUC are 128, 302 and 500. Label 128: all the examples were revised during the 2 nd session. ii. To have the revised examples proofread by the members of the Sub-commission; then to send the revised version of the field 128 to the PUC. iii. To write a recommendation for labels 302 and 500 to the PUC (replacing 145 by 146 in U/B and U/A).

3. Definition of the code 755 Vocalist The current definition (755 - Vocalist = Person or organization who principally exhibits singing skills in a musical or dramatic presentation or entertainment) is not precise enough. Users have difficulty in knowing when they can use the code 755 instead of the code 721 (Singer). After a discussion, the attendees agreed on the following definition, according to the analysis proposed in the Minutes of Moscow (third point): 755 - Vocalist = Person or ensemble who principally exhibits special vocal skills and/or techniques in a musical or dramatic presentation or entertainment. iv. After validation by the members of the UNIMARC Sub-commission and information given to the French UNIMARC Committee (CfU), to send a proposal of the new definition to the PUC. v. To add a comment and examples on the webpage of the Sub-commission. 4. Information concerning the lists of musical codes published in the Bibliographic Manual The Sub-commission should inform the PUC and users, by mail and on the web, that lists of musical codes published in the Bibliographic Manual may be less updated than those published on the webpage of the Sub-commission. vi. To check that the lists are updated. vii. To ask the PUC to publish the information above both in the UNIMARC manual and on the PUC official website (with a direct link to the IAML online lists of codes). 5. Proposals for new fields 128 and 146 in UNIMARC Authorities Christiane Kriloff, who was to work on the proposals of the two new fields 128 and 146 in UNIMARC Authorities, retired in 2010. The proposals are still pending. They have to be completed, paying particular attention to the review of the examples. Concerning the revision and rewriting of the UNIMARC Guidelines for Music, the Subcommission has concluded that it is not possible to develop this task with existing human resources. viii. To ask the PUC if this project of proposals has already been approved. ix. To ask the French UNIMARC committee for collaboration to complete the proposals. 6. Evolution of the list of codes medium of performance A/8. Electric / electronic instruments and devices ect computerized tape eta tape With the evolution of the technology, electroacoustic music is not stored on and presented by tape anymore, but by both electromagnetic and digital medium. Which code and term can be used for this music? (music for digital medium? musique pour support numérique in French?)

Can we use the existing code ect, and should we think about a revision of the term "computerized tape"? Or should we create a new code? x. To contact contemporary composers, musicians and centres specialized in electroacoustic music for advice. 7. Management of the list of codes The Sub-commission is in charge of the online lists of codes for medium of performance (146) and musical form of work (128) and of their updating. Following the decision taken in Moscow 2010 (to identify and contact national UNIMARC Committees of the national branches of IAML and/or members of IAML and/or other institutions or organizations which can be involved in the upgrading of the list), there has been no further development. A further work on the lists of codes could be done in the next years: adding definitions in some of the terms. xi. To ask the members of the Sub-commission to check the terms of the list of codes and to suggest upgrading when necessary. 8. IAML Website Authorized members can now work by themselves on their webpages to do changes or updates, with the support of the webmaster. xii. To give the webmaster the list of the authorized members (active members of the Subcommission), namely: Isabelle Gauchet Doris, Massimo Gentili-Tedeschi, Tiziana Morsanuto). xiii. To ask the webmaster if an online collaboration tool could be installed for the members of the Sub-commission (eg. PBworks). 9. Varia We suggest a review on the future of the Sub-commission: - on the way the Sub-commission works (active members vs observers, more active members being necessary if we want to work on future aims), more links with the Cataloguing Commission to get a better visibility of the Sub-commission; - on the definition of its topics and scopes, considering both the context (evolution of the MARC formats resulting from the emergence of the model FRBR and of the new cataloguing code RDA) and the work done by the national UNIMARC committees (France, Italy, others).
