Alumni Equipment Rental and Facility Use Policy This document outlines the policy and procedures for the rental and use of equipment and facilities of the L.A. Film Studies Center (LAFSC) by its alumni. L.A. 2 PART ONE: GENERAL INFORMATION I. General information and guidelines a. This policy applies only to those who are alumni of the LAFSC. b. To make an equipment rental request, fill out an Equipment Rental Request Form via this link: www.supersaas.com/form/lafsc/equipment c. To make a facility use request, fill out a Facility Use Request Form via this link: www.supersaas.com/form/lafsc/facilityuse d. Once a form has been submitted, an LAFSC staff member will contact the requestor to arrange details and rental/use costs. Other LAFSC faculty and staff members are not responsible for and will not approve any equipment rental or facility use requests. e. Payments are to be made through PayPal. II. Special considerations a. All special considerations may be discussed and approved by the Director of the LAFSC in coordination with the LAFSC Program Administrator or Technology Director. b. Rental and/or use of LAFSC equipment and facilities by non-alumni or friends of LAFSC may be discussed and approved by the Director of LAFSC in coordination with the LAFSC Program Administrator and/or LAFSC Technology Director. Non-alumni may be subject to special requirements and/or different rental rates, determined on a case-by-case basis at the discretion of the LAFSC Staff. III. Failure to comply a. If an alumnus fails to comply with any of the policies and guidelines outlined above, LAFSC reserves the right to do the following: i. Retain the full deposit amount. ii. Revoke future rental requests.
3 PART TWO: EQUIPMENT RENTAL I. Equipment rental policy and procedures a. Equipment is generally available year-round for alumni rental except in the following cases: i. Whenever LAFSC is officially closed: holiday and winter break. ii. Whenever students are using the equipment during the semester. iii. Whenever LAFSC staff members are unavailable to process requests. b. LAFSC rents equipment for one-day weekends and three-day weeks i. Equipment rented on Friday and returned on Monday will only be charged for one day. ii. Equipment rented for more than three but less than eight days will be only be charged for three days. c. Alumni must fill out and turn in an Equipment Rental Request Form at least one week in advance of the time that they want to rent equipment. d. Equipment must be checked in and out by the Technology Director based on his/her availability. e. Equipment must be physically checked in and out from the LAFSC facility during business hours. Equipment will not be shipped or transported by the LAFSC. f. Equipment must remain within the continental United States. g. A $500 deposit is required prior to rental. i. Deposit will be returned within 7 business days after equipment return. ii. Deposit will be returned upon the following conditions. 1. All equipment is checked in on time. 2. All equipment is present, neat, and in good working order. 3. All missing and/or broken equipment is paid for. h. Alumni must sign a liability form before checking out any equipment. II. Missing, damaged, stolen, and/or late equipment a. Alumni are responsible for all costs resulting from missing, damaged, and/or stolen equipment checked out to them up to the deposit amount of $500. b. Additional amounts not covered by LAFSC insurance will be the responsibility of the Alumni renter. c. All repair and replacement costs will be take out of the deposit. Deposit will not be returned until costs have been determined. III. Late equipment a. All equipment must be returned and check-in by the agreed-upon scheduled return time. b. A full day s rate will be charged for late return. c. If any item is missing, then full day rates will be charged until all items are returned. d. Late fees may be taken out of deposit.

Additional accessories include: top plate, bottom plate, top handle, quick back mount with V-mount battery adapter, XLR adapter iii. One Canon 24-105mm f/4l EF zoom lens iv. One filter kit for Canon zoom lens including one.3 ND filter, on.6 ND filter and one circular polarizer v. One 512GB RedMag vi. One Petrol carrying case vii. One Bogen tripod and case viii. One battery charger ix. One AC adapter x. Three camera batteries b. Canon T3i camera package ($25/day) i. One Canon EOS Rebel T3i DSLR camera with 18-55 zoom lens ii. One 16GB flash card iii. 5 FACILITY USE AND RENTAL I. Facility use policy, procedures and guidelines a. For facility rentals, alumni must fill out and turn in a Facility Use Request Form at least one week in advance of the start of the requested time. b. LAFSC students and staff have priority over Alumni when it comes to facility use. c. Facility rentals require signing of a liability waiver. d. Some facility rentals require a $500 deposit. e. Free facility use is based on a first-come basis. i. Alumni may use free facilities if they are available. ii. Alumni can ask the LAFSC receptionist about current availability. II. Free facility use for alumni a. Computer Lab ii. Each imac is equipped with Microsoft Office, MovieMagic Screenwriter, Budgeting and Scheduling. iii. The lab is also equipped with a scanner, photocopier and printer. b. Student Lounge ii. The lounge is equipped with HD TV, Bluray player and DirecTV. c. Library ii. Study tables are available for alumni use. iii. Books and movies may be checked out by alumni between May 15 and August 1 each summer. 1. Alumni may use their former student IDs to check out movies. 2. Alumni without student IDs may check them out with an LAFSC staff member. 3. Library items may be checked out for a maximum of two weeks.
6 III. Facility rentals for alumni a. Edit Lab ($10/day) ii. Alumni must sign up with the LAFSC receptionist before using lab. iii. The Edit Lab includes 6 edit bays with the following: 1. One Apple Mac Pro tower 2. Two computer displays 3. One pair of speakers and headphones 4. Software installed: Avid Pro Tools and Adobe CC software iv. Alumni must provide their own external hard drive in order to use mixing suite. They must store all of their media on their external hard drive. The lab is USB 3.0 and Thunderbolt compatible. v. Alumni may not move, remove, unplug, or change settings on any hardware and/or peripheral devices in the lab. This includes the monitors, speakers, and mixers. vi. Be aware that each Mac Pro is equipped with hard drive protection software. The computer will reset itself when it is restarted and erase any changes to the internal hard drive. vii. Alumni may not use any of LAFSC s music or sound effects libraries. Only films copyrighted to LAFSC can use these resources. b. Mixing Suite ($10/day) ii. Alumni must sign up with the LAFSC receptionist before using lab. iii. The suite includes: 1. One Apple Mac Pro tower 2. Two computer displays 3. One Avid Artist Mix/Control/Color mixing board 4. One pair of speakers and headphones 5. Conference table with 6 chairs 6. Software installed: Avid Pro Tools and Adobe CC software. iv. Alumni must provide their own external hard drive in order to use the suite. They must store all of their media on their external hard drive. The suite is USB 3.0 and Thunderbolt compatible. v. Alumni may not move, remove, unplug, or change settings on any hardware and/or peripheral devices in the suite. This includes the monitors, speakers, and mixer. vi. Be aware that each Mac Pro is equipped with hard drive protection software. The computer will reset itself when it is restarted and erase any changes to the internal hard drive. vii. Alumni may not use any of LAFSC s music or sound effects libraries. Only films copyrighted to LAFSC can use these resources.
c. Recording Suite ($10/day) ii. Alumni must sign up with the LAFSC receptionist before using lab. iii. The Suite includes the following: 1. One Apple Mac Pro tower 2. Two computer displays 3. One pair of speakers and headphones 4. Software installed: Avid Pro Tools and Adobe CC software. 5. One projection screen 6. Voice-over recording mic 7. Keyboard iv. Alumni must provide their own external hard drive in order to use the suite. They must store all of their media on their external hard drive. The mixing suite is USB 3.0 and Thunderbolt compatible. v. Alumni may not move, remove, unplug, or change settings on any hardware and/or peripheral devices in the mixing suite. This includes the monitors, speakers, and mixer. vi. Be aware that each Mac Pro is equipped with hard drive protection software. The computer will reset itself when it is restarted and erase any changes to the internal hard drive. vii. Alumni may not use any of LAFSC s music or sound effects libraries. Only films copyrighted to LAFSC can use these resources. d. Screening Room ($25/hour) i. 60-seat stadium seating. ii. Features a full audio/visual/multimedia system, which includes: 1. Digital 7.1 surround sound 2. 4K projector 3. Multi-media podium iii. Capable of screening DVD, Bluray, DirecTV, Web streaming and digital files. iv. Includes PA system with a wireless headset mic and a wireless handheld mic. v. Multimedia podium includes: 1. imac equipped with Adobe Creative Cloud, Avid Pro Tools, Microsoft Office and iwork 2. Inputs for laptop projection e. Casting Suite ($15/hour) i. Features two casting rooms and a reception area. ii. Alumni are expected to clean up the room after use and return furniture to its original locations. 7
f. Production Suite/Standing Sets i. Features several standing sets. 1. A hospital room, including bed and medical equipment. 2. A jail cell, including bed, toilet and cell bars. 3. A restaurant/bar/café, including tables, chairs, bar, stools, bar accessories. ii. Each standing set has limited overhead lighting. 1. Some of the lighting has color temperature control. 2. Some of the lighting is dimmable. iii. Rental of the Production Suite includes rental of all the sets and free rental of the Casting Suite for staging use. iv. Two rental packages are available for alumni. 1. Skeleton Crew Package ($250/day) a. There must be less than 10 total people using the facility at one time. b. There is an additional $150 cleaning fee. c. There is a $400 deposit due prior to rental. d. Access card and code must be picked up during LAFSC office hours. 2. Full Crew Package ($500/day) a. There is an additional $150 cleaning fee. b. There is a $500 deposit due prior to rental. c. Proof of production insurance is required. d. An LAFSC representative will meet you at the time of rental. e. On-call support is available. f. Includes 2 all-day parking validation stickers per day (no in/outs). 8
