Slide 1 Text Captions: While one of the key features of RefWorks is its availability from any computer with Internet access, you may think you have to be online to use RefWorks when writing a paper or document... Well, there are actually two ways to work offline. Note: Working offline pertains only to document writing -- not adding or editing references in your RefWorks database. All RefWorks users can work offline using the traditional method (which we will cover first followed by the Write-N-Cite method). The other method for working offline requires users to use Write-N-Cite III for Windows. Slide 2 Text Captions: First, we need to print out a list of the references to use when we write our paper. We can do this from the Export section in the Tools area (also from the References area). Slide 3 Slide 4 Page 1 of 12 RefWorks 2008
Slide 5 Text Captions: The Export section is where you can save your references to your computer as a text file in a variety of formats. Slide 6 You can export All References, references you have placed in My List, or specify a Folder of references. In this example, we only need the references from a particular folder. Slide 7 Slide 8 Text Captions: The format we recommend for use when writing a paper offline is the Citation List. We recommend this format as it provides you with the Ref ID (which is absolutely essential when working offline), the Author names, thetitle and the Pub Year in a compact format. If you want a more detailed copy of your references (one that includes every field), use the RefWorks Tagged Format option. Be warned that navigating this format when writing your paper will be cumbersome (it will be a lot of printed pages!) when compared to the Citation List. Page 2 of 12 RefWorks 2008
Slide 9 Slide 10 Text Captions: Save this to your computer. If you want to print this out, we recommend saving it first, then printing from the saved file. Here's the file -- remember -- it's a compact version for you to print out and take with you -- not necessarily designed for beautiful viewing! The most essential piece of information from this list is the Ref ID which is what you use to tell RefWorks which reference to use when formatting the paper. Once you have the saved file, you no longer need to be online and logged in to RefWorks. Slide 11 Text Captions: Use the saved citation list to gather the information needed to insert the temporary citation placeholders in the document -- two opening curly brackets {{, the Ref ID (taken from the saved list), then the two closing curly brackets }}. If you have more than one reference you want to cite at the same time, just separate the Ref IDs with a semi-colon (for example: {{ 8234; 8233}} ) Once the paper is finished and ready for formatting, we need to get back online and logged into RefWorks. Slide 18 Text Captions: As we mentioned in the beginning of this lesson, there is another way you can work offline -- using Write-N-Cite III for Windows. Slide 19 Text Captions: To use Write-N-Cite III offline, you must first be online in order to download your RefWorks database. Start by launching Write- N-Cite III and logging in... Slide 20 Text Captions: In order to work offline, you must first download your RefWorks database to your computer. Anytime you make changes to your RefWorks account, you will want to download a new update for offline use. RefWorks does not automatically send changes to your offline version of Write-N-Cite. Slide 25 Text Captions: Once the download has completed, you are free to disconnect from the internet and work offline. Click on the Work Offline option... Note: If you do not see the Work Offline option here -- it means that the Allow Working Offline option was not selected when Write-N-Cite III was installed. You will need to uninstall Write-N-Cite III and re-install it selecting that option in order to be able to work offline. Slide 41 Text Captions: And format your paper in the same style (or a different one, as long as you have the style in your Output Style Manager). Slide 42 Slide 43 Text Captions: Also, RefWorks "remembers" how you last used Write- N-Cite. So, if you close out of it and re-open it later -- Write-N-Cite will open in offline mode. Simply uncheck the Work Offline option to be connected online. There are a few other features in the Tools area you should know about... Slide 44 Text Captions: Convert to Write-N-Cite III Document allows you to take a draft document created with Write-N-Cite v.2 and convert it so you can continue writing it using this version of Write-N-Cite. Display Unformatted Citations takes your formatted paper and "unformats" it. It removes the bibliography and turns the formatted in-text citations back into temporary citation placeholders. Revert to WNC v.2 Document converts a Write-N-Cite III document to an unformatted version 2 document. This allows you to share it with Mac users or users who still use Write-N-Cite v.2. Remove Field Codes takes out all the Write-N-Cite III coding from your formatted paper (which you cannot see, but is in your Word document). This option converts your paper to plain or static text.
