INTRODUCTION TO ENDNOTE What is it? EndNote is a bibliographic management tool that allows you to gather, organize, cite, and share research sources. This guide describes the desktop program; a web version and ipad app are also available. Getting Started OU has a license for EndNote for all students, faculty, and staff. To download the program: 1. Go to https://itstore.ou.edu. 2. Log in with your OUNetID and password. 3. Click Free Software Downloads. 4. At the right, choose your platform (Mac or PC), then choose Academic Resources. 5. Select EndNote X7 for Windows or EndNote X7 for Mac. 6. Download the program (as a zip file). 7. Extract the zip file and install the program. 8. Open EndNote and install updates if prompted. Once you ve installed the program, begin by creating an EndNote Library. Go to File > New, name your library, and save it to your computer. EndNote 1
Importing Sources into EndNote Option 1: Import PDFs If you already have PDFs of articles saved to your computer, you can add them to your EndNote library. Go to File > Import, then select either file (to import a single item) or folder (to import all the items in a folder). Specify Import Option: PDF. It may be necessary to edit the records of the imported PDFs to add bibliographic data if EndNote is not able to create a record automatically. Option 2: Import References from Databases Many library databases include features that allow you to export search results into your EndNote library. In EBSCO databases: 1. Add the articles that you want to export to your folder. 2. Click the Folder icon at the top of the page and select the items that you want to include. 3. Click Export at the right. 4. Choose Direct Export in RIS Format and download the file. 5. Go to File > Import File. Select Import Option: Reference Manager (RIS). Select the RIS file you downloaded. EndNote 2
In ProQuest databases: 1. Check the articles that you want to save. 2. Click the Folder icon at the top of the page and select the items that you want to include. 3. Click Save at the right. 4. Choose RIS and download the file. 5. Go to File > Import File. Select Import Option: Reference Manager (RIS). Select the RIS file you downloaded. In JSTOR: 1. Check the articles that you want to save. 2. At the upper right, click Export Selected Citations > Export a RIS file and download the file. 3. Go to File > Import File. Select Import Option: Reference Manager (RIS). Select the RIS file you downloaded. EndNote 3
Editing EndNote Records Select an entry in the center column. You ll see a preview of its reference information in the column at the right. Double-click to view the record full-screen. You can edit the reference by clicking the field that you want to update, making your changes, then choosing File > Save. Select the Attach file option to associate a file with your reference s record. This is especially useful for adding PDFs that were not downloaded with their bibliographic records. You can highlight and annotate the PDFs within EndNote. Click Open PDF, then use the Highlight Text and Sticky Note features. EndNote 4
Finding Full Text Connect to the OU Libraries to search for full-text PDFs of references in your EndNote library. Under Edit > Preferences, choose Find Full Text, and enter the following in the OpenURL Path and URL fields. To search for full text, right-click a reference and choose Find Full Text > Find Full Text. You may be prompted to log in to the library website with your OU 4+4. If you do not find full text using this feature, try right-clicking the reference and choosing URL > Open URL Link. This approach searches the library website for the selected article, which you can then download and add to your EndNote library. EndNote 5
Organizing References Use Groups to organize your EndNote references by topic or project. By default, all new records will be imported into the Unfiled group. The most recent batch of records imported (e.g., from an RIS file) is also listed under Imported References. To create a new group, select Groups > Create Group and type in a name. Drag and drop references from the Unfiled section into the new group. Note: References can be added to multiple groups. Group Sets: Initially, all your groups will be listed in the group set My Groups. You can rename that or choose Groups > Create Group Set to create levels of organization. Smart Groups: Go to Groups > Create Smart Group. Name the group and set search parameters for inclusion in it (e.g., journal, year of publication). As new records are added to EndNote, your Smart Groups will be updated with the records that match these criteria. EndNote 6
Creating Citations and Bibliographies EndNote includes Cite While You Write features that allow you to create and modify citations in Microsoft Word documents. Open your Word document, then select EndNote X7 > Insert Citation > Insert Citation. Search by title or author to find the correct record, then select it from the results. Zotero will generate both an in-text citation and a bibliography at the end of the document. Select your citation style. About nine styles will be available as options from the initial dropdown menu. Choose Select Another Style to view a list of about 500 more styles, or visit endnote.com for another 6,000+. EndNote 7
Syncing and Sharing To back up your EndNote library, access it from multiple computers, or share it with another user, you ll need to create an EndNote account. First, click the blue Sync Library button. Follow the instructions to register for an EndNote account. Click the Sync Library icon to back up your library to the EndNote servers. You will then be able to sync more than one computer to the same EndNote account, so that you can work in multiple locations. You can also access your EndNote library online at www.myendnoteweb.com or via the EndNote for ipad app. Finally, you can use your EndNote account to create research groups and invite other users to view and contribute to shared libraries.
