Box 716 501 Industrial Drive Sandersville, GA 31082 (478) 552-3981 FAX (478) 552-3128 Request for Proposal Classroom Multimedia Presentation System, Intercom, Public Address System New Washington County High School Facility Description The Washington County Board of Education (WCBOE) is accepting proposals for the installation of a wired and wireless local area network in the new Washington County High School facility with opening planned for August, 2014. This RFP is for a turnkey installation of a professional-grade Classroom Multimedia Presentation System for all regular classrooms and an integrated school wide intercom / PA system for the new Washington County High School facility at 420 Riddleville Road, Sandersville, GA. Overview: The proposed system should include as a minimum the following items and features: Classroom Multimedia Presentation System o Interactive short throw projector Wall mounted Mounted over standard dry erase board Comparable to Hitachi Model CP-AW2519N Network connected by cable Software to connect and display to the projector via the network so that it could be shared with other computers in the room Include one spare lamp per projector Include 20 spare styli If ultrasound is used for interactivity the projector must be certified to NOT interfere with or be interfered with by the classroom motion sensor for lighting control. See Pages 5 & 6 of this document for specifications of motion sensors. o Classroom audio system At least two speakers per classroom Integrated with building intercom system described later. Audio should duck if intercom call or announcement comes into the classroom.
Must play audio without projector being powered on. Include 5 spare amplifiers Provision to add teacher or teacher and extra microphones. Microphone capability and equipment should be added as option on the proposal. o Wall connection plate Should provide VGA and HDMI input for projector Audio connection o Wall control Power projector on and off Volume control Programmable to work with different brands of projectors Intercom / PA System o 2 way intercom in classrooms o Wall mounted call button o Ability to signal emergency through call button o Incorporated into the classroom audio system o Zones for hallways and other common areas. o IP connection o Integrated bell system o Speakers in all hallways providing adequate one way coverage o Speakers in all common areas providing adequate one way coverage o Office display with microphone o Manageable via remote Windows computer o Capable of integrating with WCBOE telephone system so that users can call into the system and connect to a specific classroom through intercom. Telephone system is ShoreTel VoIP, but analog extensions can be provided by WCBOE. o Mass audio and video notification/emergency notification Document Cameras List as an Option Room Counts: Numbers could change, proposal should be scalable up or down. 43 classrooms with projector, Audio, A/V hookups, 2 way intercom 17 classrooms with Audio, A/V hookups for future projector, 2 way intercom 6 Classrooms/Areas with Audio, 2 way intercom Regular Classrooms : 53 o 43 will have projector and audio/intercom system o 7 will be audio/intercom only with connections for future projector Computer Labs: 6 o 3 will have projector and audio/intercom system o 1 will be audio/intercom only with connections for future projector
o 13 Audio/intercom only Science Labs: will have projector and audio/intercom system Vocational Classrooms/Shops: 3. 2 way intercom Common Areas: o Media Center: 2 way Intercom Projector, screen. o Cafeteria: One way intercom, Zone o Auditorium (Later construction) o General Purpose Room (Old cafeteria): One way Intercom o Faculty Dining: 2 way intercom o Hallways: One way Intercom, zoned o Field House (Later construction) o Old field house, Intercom General Instructions All cabling in ceilings must be Plenum Rated All cable hangers and cable ties must be plenum rated. Cable must be supported every 4 to 5 feet A single Network drop will be provided in each classroom. Other network connections will be provided by proposing vendor or arranged with WCBOE and data cabling vendor. The service provider must meet the following minimum requirements: 1. Have a minimum of three years experience in installation of systems as required by this RFP, including the installation and configuration. 2. Possess a current Georgia Electrical Contractor s license Submit license number with bid 3. On-site vendor support should be available within a twenty-four (24) hour period 4. Provide proof of liability insurance and worker s compensation insurance 5. Provide references of three completed projects of similar size and complexity with bid Include contact person s name, address, and telephone number 6. Ability to complete the project within the negotiated time frame Proposals The Washington County School District reserves the right to reject any or all responses. The District will disqualify any proposal that is determined to be incomplete or nonresponsive. The District reserves the right to negotiate with the apparent acceptable vendor(s).
Price alone will not be the determining factor. Award will be based upon those considerations, which are in the best interest of the District and will be made to the most responsive, responsible bidder whose proposal is judged to be the most effective and economical for the purpose intended, according to the requirements and specifications stated in the Request for Proposal. Proposals will be evaluated on the following criteria: Overall Product Pricing 30 points Proposed products meet functional specifications 20 points Vendors experience and ability to perform 20 points References 10 points There will not be a walk-through for this RFP.
