Conditions and procedures for the orchestras and the choirs to participate in the Eurochestries festivals Stage 1 - to acquaint and to accept the specifications of the festival in which the orchestra or the choir wishes to participate. Stage 2 - to make a request of participation with the Federation of the Eurochestries festivals by using the means of the form "Application for the participation to a festival 2016" Stage 3 - After favourable opinion of the president of the Federation of the Eurochestries festivals and the organizer of the festival, sign the contract of participation signed jointly by these, by paying the contribution to the Federation of the Eurochestries festivals. No orchestra or choir will be authorized to participate in a festival without having followed this procedure: preliminary request with the Federation of the Eurochestries festivals, the signature of the contract of partnership by the three parts, payment of the contribution at the time of the signature of the contract. The registration of the orchestra/choir will be effective only after the payment of this contribution. The Eurochestries Charter Québec 2
These International Orchestras Meetings for Young people will be organized respecting the Charter of Eurochestries. The Eurochestries Festival Charente-Maritime will take place from the 14 th till the 25 th of August 2016. Arrival of the musicians: Sunday, August 14 th, from 2:00 pm till 8:00 pm Departure of the musicians: Thursday, August 25 th, after breakfast Transport charges for trips back and forth in the country of origin to the Musical Camp of St-Alexandre (Rivière-du-Loup) are paid by every orchestra. The ensembles are expected at the Musical Camp of St-Alexandre Sunday, August 14 th, from 2:00 pm till 8:00 pm. Thereafter, the Festival commit to look after all the transport needed during the festival to insure the continuity of the event. Transport charges back and forth between the Musical Camp of St-Alexandre and the concerts location are paid for by the festival Eurochestries in Quebec. The leisure displacement are to be paid for by each participant. The organisers commit to taking care of the logistics linked to the transport. Predict that yellow (school) buses will be proposed. The accommodation full board will be taken care of by the Festival of the Eurochestries in Quebec, starting Sunday, August 14 th until Thursday, August 25 th after breakfast. From the 14 th till the 20 th of August 2016, the instrumentalists and the accompanying adults will be accommodated at the Musical Camp of St-Alexandre (267, rang St-Gérard Est, Saint-Alexandre de Kamouraska, G0L 2G0). An accommodation as a double or single will be reserved for the conductors and organisers. Two dormitories each being of 40 beds, will be reserved for the participants. On the 20 th and the 21 st of August, the instrumentalists and the accompanying adults will be accommodated within families, in the town of Baie-St-Paul. The members of the formation who wish to be accommodated at the hotel, at their own expenses, throughout the festival, will have to warn the organisers before the 1st of July 2016. It is not necessary to bring bed sheets, only towels. Québec 3
The orchestras must necessarily come with: - A person in charge of the supervision of the musicians. Every orchestra is responsible for the discipline and for the supervision of their musicians. A person in charge must be named by the orchestra. This responsible will be in charge of watching his musicians manners and will be the interlocutor of the festival if there s any problems. Under aged musicians are also under the responsibility of the orchestra which have to plan a suitable supervision. - An interpreter speaking French - A manager. To help with the organization of the rehearsals, the concerts and the journeys, every orchestra and choir will have to name a manager asked to coordinate all the technical problems with the general state control over the Festival (transport of the material ) There s no specific restriction age wise for the stay in Quebec in 2016, however a priority will be given to the meeting of young people (15 to 25 years old) The organisers don t have any specific restriction regarding the number of musicians per ensemble. However, for this edition, a maximum of a 100 could be welcomed. For an additional person (accompanying adult) the orchestra will pay, by day, the sum of 62,00$. The accommodation of these people will only be at the Musical Camp of St-Alexandre in the limit of the available spots, to the same title and conditions as the musicians. The number of accompanying adults will be defined as a common understanding between the orchestra and the Festival according to the numbers and ages of instrumentalists. The orchestra will provide : -The list of names of the musicians, indicating the instrument played the distribution girls and boys, names and first names, dates of birth of every musician, and special meal or allergy. -The list of names of the supervision, by specifying: conductor, director, manager, interpreter, personalities accompanying the group, the drivers, by indicating names and first names, date of birth. Specify the number of couples for the booking of rooms. (according to its availability) Various concerts in the area : In the churches of Kamouraska, Bas-Saint-Laurent, Baie-St-Paul and the Town of Quebec. - every ensemble will give several concerts, with their own program. Every concert has to contain at least an hour of music. A part of the program must be dedicated to the composers of the country of origin of the orchestra. A soloist part (high instrumental or vocal level) will be welcome. The musical program must be sent before the 15 th of May. Every orchestra will arrive with its set program ready. One hour rehearsals on the stage of the concert will be organized. Groups extracted from the orchestras (quartet, string or wind quintet) can be called to participate in the public places. 19 th of August in Kamouraska 21 st of August in Baie-St- Paul 23 rd and/or 24 th of August in the Town of Quebec Québec 4
The closing concert of the Festival is the originality and strength of the Eurochestries Festivals. One or two orchestras will be formed bringing together all the musicians. These orchestras bring different nations and cultures together. The theme of the 2016 festival will be communicated shortly. Every morning will be dedicated to the international rehearsals to prepare the closing concerts. (at the Musical Camp of St-Alexandre) Technical organization of the international concert is assured by the Festival, with the help of the orchestra s managers. Every orchestra has to come with all the necessary material and equipment: instruments, percussions, music stands for musicians and conductor. The instruments of percussions (timpani, bass drum, etc.) bigger will be furnish on site. We invite you to use your own music stand. The instruments used by the orchestra will have to be furnished by each ensemble. The orchestra has to provide the list of the equipment s that it will need. Rents can be planned (at the expense of the orchestra). Make the demand for the festival before June 1 st. The Festival s team will do all that s possible in order to supply all the necessary equipment s. Please identify your requirements. For the concerts, each orchestra has to bring the necessary original music sheets and scores. The possible expenses of rent are chargeable to the orchestra. For the final concert, every conductor provides music sheet which he will conduct (to be discussed with the Festival s organisers). We ask every conductor to forward us before the 20 th of May 2016 a complete copy of the chosen piece for this final concert (in pdf if possible), so that we can prepare the equipment for the orchestra beforehand. Every orchestra will have to cover itself with an public liability insurance as well as an insurance against the deterioration and the theft (supply us with an insurance certificate). The festival for itself takes out an insurance policy for civil liability for the damages caused by their actions. Participants agree to respect the rules of community life, in particular the internal regulation of the Musical Camp of St-Alexandre, as well as the schedule of the activities of Eurochestries Festival in Quebec. Respect sleep of others: to keep silent in and outside the premises. It is forbidden to smoke and to transport alcohol inside the MCSA and within the place of accommodation. The failure to respect these regulations can lead to severe sanctions against the orchestra. Any recognized deterioration caused by the members of the orchestra will be charged to the orchestra. Meetings will take place every day, with the conductors, the interpreters and the whole team of the Festival. These meetings aim to make a synthesis of the day and at re-clarifying the organization (departure time of buses toward the places of concerts, hours of rehearsals, meals, technical problems, transport of the big instruments, ). In a spirit of exchanges and life in common, the musicians can be asked to help punctually. Québec 5
The orchestras wishing to participate in the Eurochestries festivals have to release a membership contribution to the Federation of the Eurochestries Festivals in Quebec. In 2016, the amount for the festival in Quebec is 50 per orchestra + 50 per participant (musicians and accompanying adults). This contribution must be paid with the registration. The registration will be effective in the payment of this contribution and the sum payed by the participant. The contribution is not refundable in case of withdrawal.
